HVAC CUSTOMER PORTAL SOFTWARE GUIDE
Best HVAC Customer Portal Software
HVAC customer portal software gives an existing customer a secure place to review work, respond to estimates, pay invoices, request service, and retrieve account information without calling the office or searching old emails. This comparison examines how Jobber, ServiceTitan, Housecall Pro, FieldPulse, and FieldEdge handle access and authentication, multiple properties and contacts, appointments, service history, estimates and signatures, deposits and invoice payments, saved payment methods, scheduling requests, memberships, installed equipment, projects, files, messages, branding, permissions, and multi-location administration. It treats an authenticated customer account as different from a public lead-booking form and labels the payment, scheduling, financing, and communication products that must be added to make each portal fully transactional.

QUICK VERDICT: BEST HVAC CUSTOMER PORTAL SOFTWARE
RECOMMENDED
Jobber
Best overall HVAC customer portal for most small and midsize contractors
- Best for: Residential and light-commercial HVAC companies that want a mature, mobile-friendly customer account with quotes, approvals, change requests, deposits, appointments, invoices, partial payments, receipts, a wallet, work requests, referrals, and contact details.
- Key strengths: Client Hub is included in Jobber's current plan matrix; passwordless email/text access; website login link; requests, quotes, appointments, and invoices with history; signature approvals; optional quote items and images on eligible plans; Jobber Payments or supported payment integrations; deposits; tips; partial invoice payments; downloadable PDFs; wallet management; customer referrals; and an administrator delegate view.
- Important limitation: A Client Hub link is effectively an access credential: Jobber warns that anyone who receives it can view the same account information, including a person copied on an email. Clients can request work and view appointments, but the base portal is not an HVAC equipment, warranty, or maintenance-membership system, and direct rescheduling depends on the separate Receptionist workflow rather than a universal calendar control.
- Package note: Client Hub is listed under Customer Management across the current Jobber plans. Online payments require Jobber Payments or a supported integration; optional quote line items and richer visuals are plan-gated; automated notifications begin above Core; Receptionist is a separate add-on included with Plus.
RECOMMENDED
ServiceTitan
Best enterprise HVAC customer portal and highest capability ceiling
- Best for: Midsize, large, commercial, multi-location, and enterprise HVAC organizations that need controlled customer access to appointments, jobs, estimates, invoices, equipment history, memberships or service agreements, documents, payments, financing, and several service locations.
- Key strengths: The broadest HVAC-specific account model in the comparison: customer-portal users and bulk invitations; customer and location access; billing permissions; configurable feature tabs and fields; jobs by lifecycle status; appointment details; work summaries; proposals and multiple estimate options; e-signatures; ACH/card invoice payments; saved payment methods; invoices across Bill To records; self-scheduling; equipment search, filters, warranty data, proposal history, and service history; memberships; commercial service agreements; and associated visits and invoices.
- Important limitation: ServiceTitan's new portal is powerful because it exposes a large operational data model, which also makes setup and privacy more demanding. Account configuration, billing access, location permission, business-unit visibility, invoice filters, equipment fields, scheduling rules, ServiceTitan Payments, financing connections, and invitations must all be correct. There is no separate project-level checkout object: customers pay the project's eligible invoices, although several can be selected for full payment in one charge.
- Package note: The New Customer Portal is generally available but requires account configuration. ServiceTitan Payments is required for portal payment processing; financing is separately configured; appointment availability depends on the selected first-party scheduler; and online-estimate deposit collection remains Private Preview. Do not equate the portal's scheduler with every separately licensed Scheduling Pro acquisition feature.
RECOMMENDED
Housecall Pro
Best simple residential HVAC account portal
- Best for: Residential HVAC contractors that want customers to reach appointments, estimates, invoices, online payment, saved cards, booking, appointment-change requests, maintenance-plan details, sent Photo Reports, and referrals through a clean branded account.
- Key strengths: Passwordless seven-day magic links; automatic, bulk, or individual invitations; website login button; company branding; upcoming and past appointments; open and historical estimates with approval; invoice status and payment; My Money card management; Online Booking; message requests for appointment changes; Service Plan terms, billing schedule, and card updates when that product is licensed; a persistent Gallery for sent Photo Reports; and referrals.
- Important limitation: The Send a Message control asks the office to make a change—it does not directly move or cancel a calendar event—and it appears only when the business has a registered custom SMS number. Current portal documentation does not show installed-equipment records, warranty/service-history-by-unit, project progress, or the maintenance-plan depth of ServiceTitan.
- Package note: Customer Portal is native. Online payments use Housecall Pro Payments/My Money; the message button requires a registered custom SMS number; Book Online and referrals depend on Online Booking; Photo Reports are included on standard Essentials and in the HVAC package; and recurring Service Plans are standard Max but bundled as Membership Plans from HVAC Essentials. See the HVAC package overview and current pricing.
FieldPulse
Best portal for project and customer-equipment visibility outside ServiceTitan
- Consider if: Your customers care about seeing open jobs, project completion, files, comments, estimates, invoices, payment history, installed assets, and—when optional FieldPulse Payments is enabled—paying invoices from the same account.
- Key strengths: Per-customer links with optional password protection; granular toggles for jobs, projects, estimates, invoices, payments, assets, files, notes, dates, completion, and asset history; editable contact information; estimate acceptance; job/project documents; two-way Job and Project comments with staff notifications; asset files and updates; and a Submit Request link to Booking Portal.
- Important limitation: FieldPulse does not document a Jobber/HCP-style customer wallet, ServiceTitan-style multi-invoice and user-by-location payment governance, or native financing inside Customer Portal. The Booking Portal also opens as a separate tab, and content controls are global across customers rather than scoped by contact or service location.
- Package note: Customer Portal is a native feature enabled under Features & Plugins. Project visibility depends on the Professional/Enterprise Project Management capability; asset visibility depends on Asset Management data; payment requests use FieldPulse Payments when licensed; and Submit Request connects the separate native Booking Portal.
FieldEdge
Conditional invoice-and-quote portal, not a category leader
- Consider if: You otherwise prefer FieldEdge and need established customers to see and pay invoices, review or accept quotes, save a payment method, and submit a service request from a separate account experience.
- Key strengths: Existing-customer signup based on an emailed record; property filtering; outstanding invoice viewing and payment; quote review and acceptance; deposits when configured; saved payment methods; and service requests that enter the FieldEdge lead-to-work-order process. The portal is useful for commercial or recurring customers who already exist in FieldEdge.
- Important limitation: CMP's service request is not a confirmed booking. A dispatcher accepts the Lead, creates a Work Order, and schedules it; the office need not honor the requested date/time. Registration requires an email already associated with the customer record, while a request can select only a stored address. Current CMP docs still name a required Clearent integration and exclude Canada/Payroc; current product branding is FieldEdge Payments powered by Xplor Pay.
- Package note: FieldEdge pricing includes CMP with Elite and prices it separately on Select/Premier. Using CMP documents its record and payment constraints; FieldEdge Payments has separate merchant activation, processing terms, and regional compatibility. CMP is separate from the native public Online Appointment Requests feature.
How We Tested
In August 2026, the Tools in the Wild editorial team evaluated the five portals against the same existing-customer scenarios: gaining secure access, switching among properties or billing records, reviewing upcoming and completed work, approving an estimate, paying a deposit and invoice, managing a saved payment method, requesting another service, changing an appointment, reviewing a membership or service agreement, finding installed-equipment history, downloading documents, and controlling what different customer contacts can see. We verified the workflows and package boundaries through current help centers, end-user guides, settings references, pricing pages, payment documentation, booking materials, release notes, and integration guides. The ranking emphasizes completed self-service actions and safe access—not the number of links on a portal home page. Vendors neither reviewed the article nor influenced its conclusions. Read our full editorial methodology.
Our Verdict
There are two different winners in this category: Jobber is the best overall portal for most small and midsize HVAC contractors, while ServiceTitan provides the strongest enterprise and HVAC-specific customer account.
Jobber is the best overall choice for most small and midsize contractors. Client Hub covers the customer actions that reduce the most office work: quote review, signature approval, change requests, deposits, appointment details, invoice payments, partial payments, tips, receipts, wallet management, work requests, and referrals. It is mobile-friendly and included in the current plan matrix rather than positioned as an enterprise portal project. Buyers must take Jobber’s link-sharing warning seriously and should not mistake recurring Jobs for a native HVAC membership or installed-equipment account.
ServiceTitan is the enterprise winner and has the highest functional ceiling. Its new portal connects appointments, jobs, work summaries, estimates, documents, invoices, payments, equipment, warranty and service history, memberships, commercial service agreements, self-scheduling, and financing inside a governed customer-and-location access model. No other product here covers as much of the HVAC lifecycle. ServiceTitan ranks second overall because the platform, implementation, and data-permission model are disproportionate for many smaller contractors—not because the portal is less capable.
Housecall Pro is the best simple residential alternative. Its branded magic-link account is easy for a homeowner to understand: appointments, estimates, invoices, payments, wallet, booking, messages, Service Plan details, sent Photo Reports, and referrals. It pairs especially well with Housecall Pro’s broader Online Booking and membership workflow. It falls behind Jobber on quote-change and payment flexibility, behind ServiceTitan on account governance and equipment depth, and behind FieldPulse on project and asset transparency.
FieldPulse is the specialist choice for customer-visible projects, records, and equipment. Administrators can expose or hide unusually specific categories of job, project, financial, file, comment, date, completion, and asset data. With optional FieldPulse Payments, customers can also pay invoices from the portal. It still trails Jobber and Housecall Pro on documented wallet-style card management and ServiceTitan on multi-record billing governance, membership depth, and per-location permissions.
FieldEdge is a conditional portal rather than a leading reason to buy the platform. Invoice payment, quote response, deposits, saved methods, property filtering, and service requests are useful. Registration depends on a matching customer email, requests use stored addresses and manual Lead-to-Work-Order conversion, and payment compatibility must be reconciled between the CMP guide’s Clearent/Canada-Payroc rules and current FieldEdge Payments/Xplor Pay branding. Its documented portal model is still the narrowest.
Start with Jobber when the goal is an accessible, broadly transactional portal for a small or midsize service business. Choose ServiceTitan when customer/location permissions, installed equipment, agreements, and enterprise data depth justify the platform. Choose Housecall Pro for a simple residential portal that works closely with Online Booking. Choose FieldPulse when project and asset transparency matter more than wallet and multi-location billing sophistication. Do not buy FieldEdge primarily for its customer portal.
WHICH HVAC CUSTOMER PORTAL SOFTWARE IS BEST BY USE CASE?
| Software | Overall position | Access and account scope | Work and estimate experience | Payment experience | Service, agreement, and equipment self-service | Admin and branding | Main caveat |
|---|---|---|---|---|---|---|---|

| Housecall Pro | Best simple residential portal | Seven-day magic link; automatic, bulk, or individual invites; website button | Upcoming/past appointments; estimates/approval; persistent sent-Photo-Report Gallery | Invoice payment; Wallet/card management through My Money | Online Booking; change requests by message; Service Plan terms/billing/card update; referrals; no equipment view | Company branding and referral message | Message is not direct reschedule/cancel; plan/photo tools and SMS have package/prerequisite boundaries |
| FieldPulse | Best project/equipment transparency outside ServiceTitan | Personal link; optional password; editable profile | Open jobs; project status/completion; estimate acceptance; files/comments | Invoice PDFs/history; online invoice payment with optional FieldPulse Payments; no documented wallet or multi-invoice checkout | Booking Portal link; assets, updates, files/photos; project visibility | Extensive global content toggles by record/detail type | Per-contact/location governance and payment breadth are narrower |
| FieldEdge | Conditional, narrower portal | Record-matched email; stored addresses for requests; separate CMP signup | Quotes and deposits; invoices; property filters | Activated FieldEdge Payments merchant processing; CMP guide still names Clearent and excludes Canada/Payroc | Service request becomes Lead for office acceptance and WO creation | Limited portal controls documented | Elite or priced add-on; record, merchant, and regional constraints |

INVITING USERS AND CONTROLLING PROPERTY ACCESS
Making self-service easy without showing the wrong invoice or service history to the wrong person
ServiceTitan separates portal users, customer and service-location permission, and billing access. Housecall Pro uses short-lived magic links and supports bulk invitations. FieldPulse can require a password for an individual customer’s portal. FieldEdge and Jobber both rely heavily on the accuracy of the existing customer record.
Test Results
ServiceTitan has the strongest access-governance model; Jobber has the simplest small-business access but the most important link-sharing warning.
What we compared
- ServiceTitan — strongest users, locations, and billing permissions
- Housecall Pro — best simple invitation and magic-link workflow
- FieldPulse — personal links with optional password protection
- Jobber — convenient passwordless access with a consequential sharing rule
- FieldEdge — existing-record registration with email and address constraints
ServiceTitan — strongest users, locations, and billing permissions
Native/configuration-gated New Customer Portal. Administrators can invite users individually or in bulk, resend invitations, send password resets, and remove access from the Customer Portal User Management screen. Each user can be granted access to selected customer records and service locations; billing access separately determines which estimates and invoices the email address can see. A user connected to multiple Bill To customers can switch among them. See Set up and customize the New Customer Portal, Invite customers, and the end-user experience.
This is the right model for property managers, commercial clients, family members, and multi-location accounts because operational and financial permission are not assumed to be identical. It also creates more administrative work: every contact, email, customer relationship, location, and billing entitlement must be maintained correctly.
KEY FINDINGS
- Administrators can invite users individually or in bulk, resend invitations, send password resets, and remove access from the Customer Portal User Management screen.
- Each user can be granted access to selected customer records and service locations.
- billing access separately determines which estimates and invoices the email address can see.
DOCUMENTATION

Housecall Pro — best simple invitation and magic-link workflow
Native/core portal. Housecall Pro can automatically invite the customer when a Job is scheduled, automatically include a portal link in Job, invoice, and estimate emails, bulk-invite selected customers, or invite an address from a customer profile. The primary recipient receives a seven-day magic link and is logged in without creating a password; an expired click triggers a fresh link. Invitations and the portal show the contractor’s company identity. See Using the Customer Portal and the customer guide.
That is lower-friction than account registration. Current documentation centers on a customer profile and primary email rather than ServiceTitan-style per-contact location and billing rights, so commercial buyers should demo a parent account with several contacts and properties before relying on the portal for sensitive statements.
KEY FINDINGS
- Housecall Pro can automatically invite the customer when a Job is scheduled, automatically include a portal link in Job, invoice, and estimate emails, bulk-invite selected customers, or invite an address from a customer profile.
- The primary recipient receives a seven-day magic link and is logged in without creating a password.
- an expired click triggers a fresh link.
DOCUMENTATION

- Official source: customer guide.
FieldPulse — personal links with optional password protection
Native/core portal. From a customer profile, an administrator copies a personal Customer Portal link. For a password-protected portal, the customer follows a registration link, enters an email, creates a password, and signs in on future visits; FieldPulse shows whether that customer remains Unregistered or has Registered. Portal-link and password-link variables can be inserted into email or SMS templates. See Customer Portal and the customer-facing walkthrough.
Optional authentication is useful, but the documented content controls apply globally to all customers rather than defining different record visibility for each contact or service location. Businesses with related customers and several locations should test exactly which records the personal link aggregates.
KEY FINDINGS
- From a customer profile, an administrator copies a personal Customer Portal link.
- For a password-protected portal, the customer follows a registration link, enters an email, creates a password, and signs in on future visits.
- FieldPulse shows whether that customer remains Unregistered or has Registered.

Jobber — convenient passwordless access with a consequential sharing rule
Native/core Client Hub. Clients enter through a quote, invoice, confirmation, reminder, payment-method request, direct login email, or website button. Jobber uses passwordless email/text access and may require the email address or last four phone digits when more than 14 days have passed since the last portal link. It is mobile-friendly and the provider can use Delegate Login to inspect the customer’s view. See What Clients See in Client Hub and Client Hub Settings.
Jobber explicitly warns that anyone given a Client Hub link can access the same information as the client—including someone copied on an email. That does not make the portal unusable, but it makes recipient discipline and forwarded-link policy essential, especially for commercial invoices or landlord/tenant accounts.
KEY FINDINGS
- Clients enter through a quote, invoice, confirmation, reminder, payment-method request, direct login email, or website button.
- Jobber uses passwordless email/text access and may require the email address or last four phone digits when more than 14 days have passed since the last portal link.
- It is mobile-friendly and the provider can use Delegate Login to inspect the customer's view.
DOCUMENTATION
- Official source: What Clients See in Client Hub.

FieldEdge — existing-record registration with email and address constraints
Native/plan-gated Consumer Management Portal. An existing customer reaches CMP from an invoice or quote email, registers using the same email address, and completes verification. Service requests can select only an address already stored for that customer. The account can filter invoices by property and use the saved billing context. See Using the Consumer Management Portal and FieldEdge pricing.
This protects against open prospect access but makes data hygiene a prerequisite: a different email or missing property record blocks the intended workflow. The published documentation does not establish ServiceTitan-style contact-by-location and billing permissions or Jobber/HCP-style public website login access.
KEY FINDINGS
- An existing customer reaches CMP from an invoice or quote email, registers using the same email address, and completes verification.
- Service requests can select only an address already stored for that customer.
- The account can filter invoices by property and use the saved billing context.
DOCUMENTATION

REVIEWING APPOINTMENTS, JOBS, AND SERVICE HISTORY
Answering “what is happening, who is coming, and what did you do last time?”
ServiceTitan distinguishes jobs by lifecycle status and can expose summaries, custom fields, invoices, and equipment-linked history. Jobber shows past and upcoming appointments with assigned-person details. Housecall Pro cleanly separates upcoming and past bookings. FieldPulse emphasizes open Jobs and Projects, while FieldEdge’s portal is more invoice- and quote-centered.
Test Results
ServiceTitan gives customers the deepest HVAC work history; Jobber has the best uncomplicated small-business appointment view.
What we compared
- ServiceTitan — strongest lifecycle and service-history view
- Jobber — best simple appointment timeline
- Housecall Pro — clean upcoming and past booking history
- FieldPulse — open Jobs plus project progress and files
- FieldEdge — invoices and quotes carry more history than appointments
ServiceTitan — strongest lifecycle and service-history view
Native/configuration-gated portal. The Jobs screen can show In Progress, On Hold, Upcoming, Completed, and Canceled work. Upcoming separates scheduled work from unscheduled service-agreement visits; the administrator can control whether on-hold reasons and comments, appointment time or date only, job and work summaries, work-performed logs, work history, selected custom fields, and related invoices appear. See The New Customer Portal end-user experience and portal feature controls.
This is the strongest answer for a customer with years of HVAC activity because the portal can preserve both operational status and completion detail. The value depends on disciplined summaries, invoice-to-equipment links, business-unit visibility, and custom-field selections; empty or inconsistent source data remains empty or inconsistent in self-service.
KEY FINDINGS
- The Jobs screen can show In Progress, On Hold, Upcoming, Completed, and Canceled work.
- Upcoming separates scheduled work from unscheduled service-agreement visits.
- the administrator can control whether on-hold reasons and comments, appointment time or date only, job and work summaries, work-performed logs, work history, selected custom fields, and related invoices appear.

Jobber — best simple appointment timeline
Native/core Client Hub. Jobber shows today’s appointment, the next five upcoming appointments within five years, and the five most recent past appointments with a Show More control. Cards can display date, time or arrival window, property address, and the first name and photo or initials of assigned team members. Requests, quotes, appointments, and invoices each provide access to the relevant history. See What Clients See in Client Hub and the client navigation guide.
It is easy for a homeowner to understand and stronger than a portal that only lists documents. However, Jobber’s current Client Hub settings documentation says disabling Receptionist appointment handling can remove the Appointments tab, while other current materials present appointment viewing as ordinary Client Hub functionality. Buyers should have Jobber demonstrate the evaluated plan and settings. Jobber also lacks installed-equipment and work-performed history by unit.
KEY FINDINGS
- Jobber shows today's appointment, the next five upcoming appointments within five years, and the five most recent past appointments with a Show More control.
- Cards can display date, time or arrival window, property address, and the first name and photo or initials of assigned team members.
- Requests, quotes, appointments, and invoices each provide access to the relevant history.

Housecall Pro — clean upcoming and past booking history
Native/core portal. The Appointments tab divides work into Upcoming and Past. Invoice banners and navigation badges surface outstanding balances; customers can move between appointment and financial views without finding the original Job email. Housecall Pro brands the experience with company logo and contact information. See Using the Customer Portal and Customer Portal feature page.
The documentation is intentionally simple. It does not show an equipment-specific service timeline, warranty context, job attachments, project completion, or the detailed status and summary controls found in ServiceTitan. For a residential service company, that simplicity may be an advantage; for multi-system commercial history, it is a limitation.
KEY FINDINGS
- The Appointments tab divides work into Upcoming and Past.
- Invoice banners and navigation badges surface outstanding balances.
- customers can move between appointment and financial views without finding the original Job email.
- customers can move between appointment and financial views without finding the original Job email.

FieldPulse — open Jobs plus project progress and files
Native/core portal; Projects require Professional/Enterprise. My Jobs lists open Jobs with date, time, and status; opening a Job reveals details and associated files. My Projects can show open-project date, status, completion percentage, details, and project files. Administrators choose whether customers see dates, files, photos, comments, notes, field notes, and project completion. See Customer Portal and What Your Customer Sees.
FieldPulse is unusually transparent for an active installation. The current guide repeatedly describes open Jobs and open Projects rather than a Jobber/HCP-style past appointment timeline, so buyers that need a complete homeowner work-history archive should test closed-record behavior.
KEY FINDINGS
- My Jobs lists open Jobs with date, time, and status.
- opening a Job reveals details and associated files.
- My Projects can show open-project date, status, completion percentage, details, and project files.
- My Projects can show open-project date, status, completion percentage, details, and project files.

FieldEdge — invoices and quotes carry more history than appointments
Native/plan-gated CMP. FieldEdge CMP lets a customer see invoices and quotes created for the account and filter invoices by property. Those documents preserve useful completed-work and financial history. The portal’s Appointments area is principally a service-request entry point; the published guide does not present a comparable self-service timeline of upcoming and past work orders, technician identity, or unit-specific service history. See Using the Consumer Management Portal.
FieldEdge’s internal customer and equipment history is much richer than this portal view. Do not award the portal credit for internal technician history that the customer cannot actually reach.
KEY FINDINGS
- FieldEdge CMP lets a customer see invoices and quotes created for the account and filter invoices by property.
- Those documents preserve useful completed-work and financial history.
- The portal's Appointments area is principally a service-request entry point.

REVIEWING, CHANGING, SIGNING, AND ACCEPTING ESTIMATES
Letting a customer make a buying decision without another email chain
ServiceTitan exposes multi-option proposals, e-signature, financing, and equipment-linked proposal history, but its online-estimate deposit collection remains Private Preview. Jobber adds request changes, optional items, images, signature, and a generally available required-deposit flow in Client Hub. Housecall Pro and FieldPulse handle estimate approval cleanly, while FieldEdge supports quote acceptance and configured deposits through CMP.
Test Results
ServiceTitan provides the deepest HVAC proposal and financing context; Jobber is the strongest accessible quote-and-deposit workflow.
What we compared
- ServiceTitan — strongest proposal and equipment context; deposit is preview-limited
- Jobber — best accessible quote collaboration
- Housecall Pro — simple estimate visibility and approval
- FieldPulse — estimate acceptance with files and status
- FieldEdge — quotes and configured deposits
ServiceTitan — strongest proposal and equipment context; deposit is preview-limited
Native proposal and e-signature; online-estimate deposits are Private Preview; financing is separately configured. The Proposals screen shows opportunities and their estimate options. A customer can inspect each option, download the generated PDF, click Sign & Accept, enter a typed signature on desktop or draw it on mobile, and accept more than one option where allowed. Equipment records can also expose proposal history, and an eligible financing offer can appear. The online-estimate deposit guide labels deposit collection Private Preview, so it cannot be scored as a standard portal transaction. See the end-user experience and Online Estimates preferences.
No competitor connects proposals to this much HVAC context. The office must still govern billing access, document templates, estimate option rules, payment processing, and the specific financing integration; the presence of a portal does not make financing universal.
KEY FINDINGS
- The Proposals screen shows opportunities and their estimate options.
- A customer can inspect each option, download the generated PDF, click Sign & Accept, enter a typed signature on desktop or draw it on mobile, and accept more than one option where allowed.
- Equipment records can also expose proposal history, and an eligible financing offer can appear.

Jobber — best accessible quote collaboration
Native/core approvals; some presentation controls are plan-gated. Client Hub lists Awaiting Response and Approved quotes, while hiding Draft and Archived records. Customers can download a PDF, request changes in a text box, sign and approve, and pay a required deposit with Jobber Payments or Stripe. On eligible plans, they can select optional line items and view line-item images. See Quote Approvals, What Clients See in Client Hub, and Client Document Settings.
The Request Changes action is a meaningful differentiator: the customer can respond without approving an outdated scope. Jobber still lacks ServiceTitan’s installed-equipment proposal history and native HVAC membership context, and its richest visual/optional presentation starts on higher plans.
KEY FINDINGS
- Client Hub lists Awaiting Response and Approved quotes, while hiding Draft and Archived records.
- Customers can download a PDF, request changes in a text box, sign and approve, and pay a required deposit with Jobber Payments or Stripe.
- On eligible plans, they can select optional line items and view line-item images.

Housecall Pro — simple estimate visibility and approval
Native/core portal. Customers can view open estimates, approve them, and review past estimates that are approved, declined, or expired; canceled estimates are hidden. Navigation badges alert them when an open estimate needs attention, and the portal opens the same customer-facing estimate experience sent by email. See Using the Customer Portal and the Customer Guide.
Housecall Pro’s broader estimating stack can provide multiple options, sales proposals, financing, and deposits, but those are not all proven by the Customer Portal article itself. The portal does not document a Jobber-style Request Changes action or ServiceTitan-style proposal history by equipment.
KEY FINDINGS
- Customers can view open estimates, approve them, and review past estimates that are approved, declined, or expired.
- canceled estimates are hidden.
- Navigation badges alert them when an open estimate needs attention, and the portal opens the same customer-facing estimate experience sent by email.

FieldPulse — estimate acceptance with files and status
Native/core portal. My Estimates shows the estimate status, sent date, expiration date, and total. Customers can open, download, print, and accept an estimate. Administrators can choose whether estimates and estimate files or photos appear; previously sent expired estimates may remain visible as PDFs even when the dynamic link is disabled. See Customer Portal and Customer Portal: What Your Customer Sees.
This is useful record access but less collaborative than Jobber. The documentation does not show portal-native change requests, multiple proposal-option comparison, a deposit-and-sign flow, or financing selection. Those actions may occur through separate estimate and payment links rather than inside the account.
KEY FINDINGS
- My Estimates shows the estimate status, sent date, expiration date, and total.
- Customers can open, download, print, and accept an estimate.
- Administrators can choose whether estimates and estimate files or photos appear.

FieldEdge — quotes and configured deposits
Native/plan-gated CMP; Proposal Pro is separate. Customers can view quotes, accept them, and pay a configured deposit through Consumer Management Portal. The deposit percentage comes from FieldEdge settings; Proposal Pro quotes follow their own proposal email experience rather than the ordinary CMP quote path. See Using the Consumer Management Portal and FieldEdge pricing.
This handles the transaction but offers the least documented estimate detail of the five. Buyers should demo multi-option visibility, signatures, change requests, declined or expired history, financing, and what happens when a CMP quote becomes a work order.
KEY FINDINGS
- Customers can view quotes, accept them, and pay a configured deposit through Consumer Management Portal.
- The deposit percentage comes from FieldEdge settings.
- Proposal Pro quotes follow their own proposal email experience rather than the ordinary CMP quote path.

PAYING INVOICES AND MANAGING PAYMENT METHODS
Turning self-service into faster cash without weakening payment controls
ServiceTitan can govern billing access across several customer records, accept multiple invoices in one charge, support ACH/card and financing integrations, and show saved methods. Jobber combines deposits, invoices, tips, partial payments, receipts, and Wallet. Housecall Pro has a strong residential invoice-and-wallet experience. FieldPulse supports invoice payment when optional FieldPulse Payments is licensed but does not document the same wallet or multi-invoice controls; FieldEdge is constrained by its processor requirement.
Test Results
ServiceTitan has the strongest enterprise payment model; Jobber provides the richest accessible small-business checkout.
What we compared
- ServiceTitan — strongest multi-account payment governance
- Jobber — best small-business wallet and flexible invoice payment
- Housecall Pro — strong invoice checkout and self-managed card
- FieldEdge — useful invoice payment with a hard merchant-compatibility boundary
- FieldPulse — invoice payment through optional FieldPulse Payments
ServiceTitan — strongest multi-account payment governance
Native portal; ServiceTitan Payments/Online Payments must be enabled, and processing fees apply. A user sees only invoices for Bill To customers to which their email has billing access. They can filter among customer records, pay one invoice partially, select several invoices for full payment in one charge, use card or ACH when enabled, and manage eligible saved methods. Payments appear in the Job audit trail. See the New Customer Portal end-user guide, portal setup, and Payments FAQ.
The administrator can hide the Invoices tab, control $0 invoices, filter invoices by export or review status, and restrict business units. There is no separate Project checkout object; customers pay associated invoices and may select multiple eligible invoices for full payment. Financing is provider-, account-, and region-dependent: current ST-79 release notes say Affirm is moving to general availability, while the current Affirm setup guide still says Early Access, so availability must be confirmed.
KEY FINDINGS
- A user sees only invoices for Bill To customers to which their email has billing access.
- They can filter among customer records, pay one invoice partially, select several invoices for full payment in one charge, use card or ACH when enabled, and manage eligible saved methods.
- Payments appear in the Job audit trail.

Jobber — best small-business wallet and flexible invoice payment
Native Client Hub; payment rails vary by region and integration. Awaiting Payment, Paid, and Past Due invoices appear; Draft and Bad Debt do not. With Jobber Payments or supported integrations, customers can pay outstanding invoices, add a tip, download invoices and receipts, and—when the specific invoice allows it—pay in full or enter another partial amount. Wallet lets customers add, select, and manage saved cards; U.S. customers can also save ACH through supported Jobber Payments workflows. See What Clients See in Client Hub, Wallet, and online payments.
Jobber’s payment model is broad without being enterprise-heavy. Processing availability, fees, ACH, Stripe behavior, partial-payment settings, and automatic charges still need to be mapped separately from the portal subscription.
KEY FINDINGS
- Awaiting Payment, Paid, and Past Due invoices appear.
- Draft and Bad Debt do not.
- With Jobber Payments or supported integrations, customers can pay outstanding invoices, add a tip, download invoices and receipts, and—when the specific invoice allows it—pay in full or enter another partial amount.

Housecall Pro — strong invoice checkout and self-managed card
Native portal with HCP Payments/My Money. The Invoices tab shows historical and unpaid invoices, payment status, and a View & Pay action. An unpaid balance also appears as a banner and navigation badge. Wallet lets the customer add, update, or remove a stored card; Housecall Pro emails the business when a portal card action occurs. See Using the Customer Portal, the Customer Guide, and Card on File.
The portal is an excellent residential collection surface. Payment processing, card-not-present fees, automatic-charge consent, bank-payment eligibility, and recurring Service Plan billing are separate payment decisions; a Wallet should not be confused with permission to charge at any time.
KEY FINDINGS
- The Invoices tab shows historical and unpaid invoices, payment status, and a View & Pay action.
- An unpaid balance also appears as a banner and navigation badge.
- Wallet lets the customer add, update, or remove a stored card.

FieldEdge — useful invoice payment with a hard merchant-compatibility boundary
Native/plan-gated CMP plus activated FieldEdge Payments merchant processing. Customers can filter outstanding invoices by property, pay eligible balances, manage a saved method, and pay configured quote deposits. The current CMP guide still says the portal requires Clearent, excludes Canada/Payroc, and cannot accept an invoice already partially paid in accounting. Current product materials brand processing as FieldEdge Payments powered by Xplor Pay, so merchant and regional compatibility must be confirmed in the order form.
Those constraints are material for a buyer. FieldEdge’s internal integrated-payments claim does not mean every processor, country, historical invoice, or accounting state works in the portal. Test partial payments, credits, deposits, several properties, and payment synchronization before purchasing CMP.
KEY FINDINGS
- Customers can filter outstanding invoices by property, pay eligible balances, manage a saved method, and pay configured quote deposits.
- The current CMP guide still says the portal requires Clearent, excludes Canada/Payroc, and cannot accept an invoice already partially paid in accounting.
- Current product materials brand processing as FieldEdge Payments powered by Xplor Pay, so merchant and regional compatibility must be confirmed in the order form.

FieldPulse — invoice payment through optional FieldPulse Payments
Native portal records; online payment requires optional FieldPulse Payments. My Invoices shows invoice date, due date, amount paid, and balance due; customers can open, download, print, and—when the supported FieldPulse Payments setup is active—pay invoices online. My Payments shows payment date and method, and administrators can separately control invoice, payment, and related-file visibility. See Customer Portal, the customer-facing walkthrough, and FieldPulse’s portal-payment release note.
The boundary remains important: FieldPulse Payments is an optional first-party premium product. Current portal documentation does not establish a customer-managed wallet, multi-invoice checkout, account-level billing permissions, or a native financing application comparable to the leaders.
KEY FINDINGS
- My Invoices shows invoice date, due date, amount paid, and balance due.
- customers can open, download, print, and—when the supported FieldPulse Payments setup is active—pay invoices online.
- My Payments shows payment date and method, and administrators can separately control invoice, payment, and related-file visibility.

REQUESTING WORK AND CHANGING APPOINTMENTS
Separating a message, a preferred date, and a calendar-confirmed booking
Jobber lets existing clients request or book through the same form system used for public acquisition. FieldPulse opens its Booking Portal in a separate tab. FieldEdge creates a Lead that staff must accept and convert into a Work Order.
Test Results
ServiceTitan offers the highest scheduling ceiling, but the best modification workflow crosses from the core portal into Scheduling Pro; Housecall Pro is the cleanest residential handoff to a strong booking product.
What we compared
- ServiceTitan — broadest scheduling, with a critical core-versus-Pro boundary
- Housecall Pro — best simple portal-to-booking and change-request flow
- Jobber — mature request and booking forms, limited direct appointment control
- FieldPulse — clear link to a capable but separate Booking Portal
- FieldEdge — service request becomes a Lead, then a Work Order
ServiceTitan — broadest scheduling, with a critical core-versus-Pro boundary
Core portal plus a configured first-party scheduler; premium logic belongs to Scheduling Pro. The portal can launch either a selected Scheduling Pro widget or Web Scheduler 2.0. ServiceTitan separately offers a migration from Web Scheduler 2.0 to Scheduling Pro Free. The basic scheduler maps supported job types, business units, zones, and capacity and may create work directly or send it to Bookings for office completion. Premium Scheduling Pro adds richer dispatch-board availability, questions, buffers, zones, skills, acquisition channels, and analytics. See Customer Portal setup, Web Scheduler setup, the Scheduling Pro Free migration, and premium Scheduling Pro.
ServiceTitan’s 2026 Modify action lets a portal user reschedule or cancel, but the action launches Scheduling Pro and sends the result back to the portal. It should be labeled a Scheduling Pro-connected capability, not a universal standalone portal control. The release note does not clearly state whether Scheduling Pro Free qualifies, so that entitlement must be confirmed.
KEY FINDINGS
- The portal can launch either a selected Scheduling Pro widget or Web Scheduler 2.0.
- ServiceTitan separately offers a migration from Web Scheduler 2.0 to Scheduling Pro Free.
- The basic scheduler maps supported job types, business units, zones, and capacity and may create work directly or send it to Bookings for office completion.

Housecall Pro — best simple portal-to-booking and change-request flow
Native portal plus native Online Booking; messaging has an SMS prerequisite. A customer with first and last name on the profile can click Book Online and enter Housecall Pro’s online booking flow. Send a Message can request a new appointment, reschedule, or cancellation and route the request to the business when a registered custom SMS number is configured. See Using the Customer Portal and Online Booking.
Housecall Pro’s operational help documentation does not say that Send a Message directly changes the calendar. The office still interprets and acts on the request. Online Booking can create scheduled or unscheduled Jobs/Estimates according to its own setup; that is a separate workflow from editing an existing appointment.
KEY FINDINGS
- A customer with first and last name on the profile can click Book Online and enter Housecall Pro's online booking flow.
- Send a Message can request a new appointment, reschedule, or cancellation and route the request to the business when a registered custom SMS number is configured.
- See Using the Customer Portal and Online Booking.

Jobber — mature request and booking forms, limited direct appointment control
Native/core Client Hub plus native forms; Receptionist is a separate add-on. When the administrator makes a request form visible, a client can submit it from Client Hub and retain the submission in portal history. Jobber forms can also be configured for assessments or directly scheduled one-off Jobs, with eligible services, questions, files, and availability. See Online Booking and What Clients See in Client Hub.
The appointment list itself does not document a customer drag-and-drop reschedule or cancel button. Jobber Receptionist can help customers reschedule when the account has a dedicated Jobber phone number and Online Booking is enabled, but Receptionist is an add-on included with Plus—not proof of universal Client Hub self-modification.
KEY FINDINGS
- When the administrator makes a request form visible, a client can submit it from Client Hub and retain the submission in portal history.
- Jobber forms can also be configured for assessments or directly scheduled one-off Jobs, with eligible services, questions, files, and availability.
- See Online Booking and What Clients See in Client Hub.

FieldPulse — clear link to a capable but separate Booking Portal
Native Customer Portal and adjacent native Booking Portal. The Submit Request tab opens the contractor’s FieldPulse Booking Portal in a new browser tab. Depending on portal configuration, the customer can send contact details, submit a service request for review, or choose a time; Smart Scheduler can account for employee eligibility, headcount, skills/tags, duration, buffers, lead time, and live schedule conflicts. See Customer Portal and Booking Portal.
The two surfaces should not be collapsed in the score. Customer Portal provides the authenticated account; Booking Portal handles the request or booking. Neither guide documents direct self-cancellation or rescheduling of an existing Job from the customer account.
KEY FINDINGS
- The Submit Request tab opens the contractor's FieldPulse Booking Portal in a new browser tab.
- Depending on portal configuration, the customer can send contact details, submit a service request for review, or choose a time.
- Smart Scheduler can account for employee eligibility, headcount, skills/tags, duration, buffers, lead time, and live schedule conflicts.

FieldEdge — service request becomes a Lead, then a Work Order
Native/plan-gated CMP request workflow. In CMP, an existing customer chooses a stored address, enters a phone number, reason, and desired date, then submits. The request appears in FieldEdge Leads; an office employee accepts it, clicks Create Work Order, and schedules the work. FieldEdge explicitly says the office is not required to honor the requested date or time. See Using the Consumer Management Portal.
This is the clearest request-versus-booking distinction in the comparison. FieldEdge’s separate native Online Appointment Requests feature handles public new- and existing-customer acquisition; it does not transform CMP into direct self-scheduling or appointment modification.
KEY FINDINGS
- In CMP, an existing customer chooses a stored address, enters a phone number, reason, and desired date, then submits.
- The request appears in FieldEdge Leads.
- an office employee accepts it, clicks Create Work Order, and schedules the work.

VIEWING MEMBERSHIPS, AGREEMENTS, AND INSTALLED EQUIPMENT
Giving an HVAC customer context beyond the last invoice
ServiceTitan connects equipment, warranties, service and proposal history, memberships, commercial service agreements, visits, invoices, and next service dates. FieldPulse exposes assets, update history, files, and photos. Housecall Pro exposes Service Plan terms and billing controls but not installed equipment. Jobber and FieldEdge do not document a comparable customer-facing HVAC lifecycle.
Test Results
ServiceTitan is the overwhelming winner for combined equipment and agreement depth; FieldPulse is the only meaningful runner-up for customer-visible installed assets, while Housecall Pro is the strongest simpler membership account.
What we compared
- ServiceTitan — strongest equipment, membership, and agreement self-service
- FieldPulse — strongest non-enterprise asset transparency
- Housecall Pro — useful Service Plan account, no customer equipment view
- FieldEdge — internal agreements and equipment, little CMP exposure
- Jobber — recurring Jobs, not an HVAC membership or equipment account
ServiceTitan — strongest equipment, membership, and agreement self-service
Native/configuration-gated portal. Equipment can be searched by Serial Number or Asset ID and filtered by location, manufacturer, installed date, manufacturer warranty, service-provider warranty, membership, or service agreement. Customers can inspect selected custom fields, service history, proposal history, and the next scheduled service or inspection. Residential users can review Memberships; commercial users can review Service Agreements, included visits, related equipment, invoices, payment history, and—when enabled—the agreement PDF. See The New Customer Portal end-user experience, portal setup, and equipment next-service date.
Administrators decide which fields and agreement statuses appear. Unscheduled agreement visits can show a call-to-schedule message, but the documentation does not establish a one-click membership-visit booking action independent of the configured scheduler.
KEY FINDINGS
- Equipment can be searched by Serial Number or Asset ID and filtered by location, manufacturer, installed date, manufacturer warranty, service-provider warranty, membership, or service agreement.
- Customers can inspect selected custom fields, service history, proposal history, and the next scheduled service or inspection.
- Residential users can review Memberships.

FieldPulse — strongest non-enterprise asset transparency
Native portal and Asset Management data. Administrators can enable My Assets, asset update history, and asset files or photos. FieldPulse Assets internally store rich equipment data, but the Customer Portal guide explicitly proves only the My Assets tab plus toggles for asset updates and files/photos; it does not enumerate every internal warranty, condition, issue, service, or custom field as portal-visible.
That makes FieldPulse notably stronger than Jobber or Housecall Pro for customer-visible equipment. Current portal documentation does not describe a Maintenance Agreements tab, agreement billing, renewal, included visits, or a direct asset-to-next-service workflow comparable to ServiceTitan.
KEY FINDINGS
- Administrators can enable My Assets, asset update history, and asset files or photos.
- FieldPulse Assets internally store rich equipment data, but the Customer Portal guide explicitly proves only the My Assets tab plus toggles for asset updates and files/photos.
- it does not enumerate every internal warranty, condition, issue, service, or custom field as portal-visible.

Housecall Pro — useful Service Plan account, no customer equipment view
Native portal plus plan-gated Service Plans. Housecall Pro customers can accept and pay for a Service Plan, then use their client account to review plan terms and billing schedule and update the stored payment card. Standard pricing places recurring Service Plans on Max, while the HVAC package bundles Membership Plans beginning at Essentials. See How to Sell a Service Plan, the HVAC package overview, and current pricing.
That is a meaningful residential-membership advantage over Jobber and FieldEdge. It should not be expanded into equipment tracking: HCP’s Property Profile records remain internal in the current Customer Portal documentation, so customers do not receive serial, warranty, or service-history-by-unit views comparable to ServiceTitan or FieldPulse.
KEY FINDINGS
- Housecall Pro customers can accept and pay for a Service Plan, then use their client account to review plan terms and billing schedule and update the stored payment card.
- Standard pricing places recurring Service Plans on Max, while the HVAC package bundles Membership Plans beginning at Essentials.
- See How to Sell a Service Plan, the HVAC package overview, and current pricing.

FieldEdge — internal agreements and equipment, little CMP exposure
Native FieldEdge records; CMP does not document them as customer modules. FieldEdge internally tracks equipment history and service agreements, including planned work and billing. Consumer Management Portal documentation focuses on invoices, quotes, payment methods, and appointment requests. It does not establish a customer-facing equipment register, unit-level service history, warranty view, agreement schedule, or renewal control. See Consumer Management Portal, Using CMP, and Agreement Plans.
This is a recurring comparison error: an internal technician feature is not a portal feature unless the customer can reach it.
KEY FINDINGS
- FieldEdge internally tracks equipment history and service agreements, including planned work and billing.
- Consumer Management Portal documentation focuses on invoices, quotes, payment methods, and appointment requests.
- It does not establish a customer-facing equipment register, unit-level service history, warranty view, agreement schedule, or renewal control.

Jobber — recurring Jobs, not an HVAC membership or equipment account
Native recurring Jobs; no portal membership/equipment model documented. Jobber can show appointments generated by recurring Jobs and can automate recurring payments on eligible plans. Client Hub does not provide an installed-equipment object, warranty filters, service history by unit, membership benefits, renewal date, or included-visit balance. Property custom fields are an internal workaround and are not a customer equipment portfolio. See Recurring Jobs and Client Hub.
Jobber wins the overall small-business portal on the breadth and usability of common transactions, not on HVAC equipment or agreement depth. Buyers for whom those are central should move ServiceTitan or FieldPulse higher.
KEY FINDINGS
- Jobber can show appointments generated by recurring Jobs and can automate recurring payments on eligible plans.
- Client Hub does not provide an installed-equipment object, warranty filters, service history by unit, membership benefits, renewal date, or included-visit balance.
- Property custom fields are an internal workaround and are not a customer equipment portfolio.

SHARING PROJECTS, FILES, MESSAGES, AND PROFILE INFORMATION
Replacing status calls and scattered attachments without exposing internal notes
FieldPulse provides unusually granular controls over project completion, files, photos, comments, notes, field notes, assets, and editable customer details. Housecall Pro preserves sent Photo Reports in a customer Gallery. Jobber excels at interactive transaction documents; ServiceTitan exposes governed records but not a persistent collaboration room.
Test Results
FieldPulse is the strongest customer-visible project workspace, while Housecall Pro has the best persistent before/after Photo Report gallery.
What we compared
- FieldPulse — clear winner for customer-visible project progress and files
- Housecall Pro — persistent Photo Reports plus messages, wallet, and referrals
- Jobber — strongest interactive client documents
- ServiceTitan — governed records and contact actions, not a general collaboration room
- FieldEdge — documents tied mainly to invoices and quotes
FieldPulse — clear winner for customer-visible project progress and files
Native portal; Project Management is Professional/Enterprise and Custom Forms is separate. Administrators can expose or hide Job files/photos, comments, notes, field notes, dates, Project files/photos, comments, dates, completion, financial files, and asset history/files. Customers can edit contact information and respond to Job or Project portal comments. FieldPulse’s Comments guide documents this as two-way, record-specific dialogue with email, in-app, or push notifications for staff and controllable Service Agent send permission. See Customer Portal.
The controls apply globally, so the company must establish a content policy before switching them on; an internal note is not automatically suitable for a customer. Custom Forms can produce signed closeout documents, but that separately licensed product is not a portal form inbox by itself.
KEY FINDINGS
- Administrators can expose or hide Job files/photos, comments, notes, field notes, dates, Project files/photos, comments, dates, completion, financial files, and asset history/files.
- Customers can edit contact information and respond to Job or Project portal comments.
- FieldPulse's Comments guide documents this as two-way, record-specific dialogue with email, in-app, or push notifications for staff and controllable Service Agent send permission.

Housecall Pro — persistent Photo Reports plus messages, wallet, and referrals
Native portal; Photo Reports are plan/package-gated; messaging and booking have prerequisites. Sent Photo Reports persist under Gallery > Photo Reports with title, sent date, and service address. Customers can view the branded report on any device and download individual photos, videos, PDFs, and other attachments. The portal also shows company identity, supports appointment-related messages when registered SMS is configured, manages Wallet, launches Online Booking, and supplies a personalized referral link. See Using the Customer Portal.
Photo Reports are an unusually strong closeout deliverable, but report creation and editing are web-only, and ordinary Customer Attachments have conflicting documentation about what is portal-visible. Treat only sent Photo Reports and files shared through documented estimate/invoice flows as reliably customer-facing. HCP still lacks project completion, equipment records, and a persistent two-way inbox.
KEY FINDINGS
- Sent Photo Reports persist under Gallery > Photo Reports with title, sent date, and service address.
- Customers can view the branded report on any device and download individual photos, videos, PDFs, and other attachments.
- The portal also shows company identity, supports appointment-related messages when registered SMS is configured, manages Wallet, launches Online Booking, and supplies a personalized referral link.

Jobber — strongest interactive client documents
Native/core Client Hub with plan-gated presentation features. Clients can download quotes, invoices, and receipts; approve or request changes on quotes; view line-item images and select optional items on eligible plans; submit requests and files through configured forms; see appointment team details; manage payment methods; and use Contact Us or Refer a Friend. Client Document Settings control what appears on PDFs and in the interactive view. See Client Hub and request/booking forms.
Jobber does not provide a persistent customer photo gallery, project completion bar, installed-asset file cabinet, or two-way thread tied to each appointment. Its strength is completing a defined transaction, not continuous project collaboration.
KEY FINDINGS
- Clients can download quotes, invoices, and receipts.
- approve or request changes on quotes.
- view line-item images and select optional items on eligible plans.

ServiceTitan — governed records and contact actions, not a general collaboration room
Native/configuration-gated portal. ServiceTitan can expose estimate and invoice documents, service-agreement PDFs, work summaries, selected custom fields, equipment and service history, signatures, and appointment details. The header offers Contact Us email and phone actions, and email templates can include the Customer Portal link. See portal setup and portal improvements.
ServiceTitan does not document a persistent two-way conversation thread, customer support ticket, appointment-specific comment stream, or general customer upload repository. Confirmations, reminders, dispatch texts, and two-way SMS are adjacent communication workflows, not a portal inbox.
KEY FINDINGS
- ServiceTitan can expose estimate and invoice documents, service-agreement PDFs, work summaries, selected custom fields, equipment and service history, signatures, and appointment details.
- The header offers Contact Us email and phone actions, and email templates can include the Customer Portal link.

FieldEdge — documents tied mainly to invoices and quotes
Native/plan-gated CMP. FieldEdge customers can review invoice and quote documents, accept eligible quotes, submit a service reason, and use stored account/payment information. The portal is less documented as a file-sharing or collaboration space: no project files, job photo stream, editable profile, customer comment thread, equipment documents, or referral module is established in the current guide. See Using the Consumer Management Portal.
FieldEdge Custom Forms and technician media remain valuable internal records, but buyers should not assume the portal exposes them unless the exact document appears in an invoice or quote workflow demonstrated by the vendor.
KEY FINDINGS
- FieldEdge customers can review invoice and quote documents, accept eligible quotes, submit a service reason, and use stored account/payment information.
- The portal is less documented as a file-sharing or collaboration space: no project files, job photo stream, editable profile, customer comment thread, equipment documents, or referral module is established in the current guide.

ADMINISTERING PRIVACY, BRANDING, LOCATIONS, AND ADOPTION
Rolling out self-service without creating a second customer-data problem
ServiceTitan controls users, locations, billing access, feature visibility, statuses, fields, business units, invoice filters, and branding. FieldPulse has the most detailed global content toggles. Jobber and Housecall Pro make access and website promotion simple but offer less granular commercial governance. FieldEdge has the narrowest adoption and administration model.
Test Results
ServiceTitan has the strongest enterprise administration; Jobber and Housecall Pro are easiest to deploy for a small customer base.
What we compared
- ServiceTitan — strongest portal governance and commercial scale
- Jobber — easiest mature small-business rollout
- FieldPulse — unusually granular content controls, applied globally
- Housecall Pro — simple branding, automation, and website promotion
- FieldEdge — packaged access with fewer documented admin controls
ServiceTitan — strongest portal governance and commercial scale
Native/configuration-gated portal; Enterprise Hub is separate. Administrators choose a branded `host.myservicetitan.com` address, company name, logo, email, phone, visible modules, job statuses, date range, appointment details, job custom fields, equipment fields, membership/agreement states, proposal rules, invoice review/export filters, business units, registration method, and payment options. User Management shows invited, expired, and active users and supports search, filter, sort, resend, reset, and removal. Location-level billing and nonbilling access protects sensitive records. See portal setup, location access controls, and invite management.
It is a branded ServiceTitan subdomain, not a documented fully custom domain or customer mobile app. User status and last sign-in, where available, help administration, but current docs do not show a dedicated portal adoption funnel; Scheduling Pro has separate analytics. Cross-tenant governance belongs to Enterprise Hub.

Jobber — easiest mature small-business rollout
Native/core Client Hub. Jobber supplies a login URL for a website button, links the Hub from transactional email/text messages, and lets staff send a direct login email. Settings control appointment-time display, quote approval/change behavior, request visibility, company/contact details, social links, document presentation, and referrals. Delegate Login helps staff troubleshoot the exact customer view. See Client Hub Settings and What Clients See.
The model is fast to deploy but less granular than ServiceTitan. Jobber does not document user-by-property billing rights, a portal adoption dashboard, custom domain, or a branded customer app. The shared-link security model should be part of employee training.
KEY FINDINGS
- Jobber supplies a login URL for a website button, links the Hub from transactional email/text messages, and lets staff send a direct login email.
- Settings control appointment-time display, quote approval/change behavior, request visibility, company/contact details, social links, document presentation, and referrals.

Package note: Client Hub is listed under Customer Management across the current Jobber plans. Online payments require Jobber Payments or a supported integration; optional quote line items and richer visuals are plan-gated; automated notifications begin above Core; Receptionist is a separate add-on included with Plus.
FieldPulse — unusually granular content controls, applied globally
Native/core portal. FieldPulse settings can independently show or hide the request link, profile updates, file titles/descriptions, Jobs, Job files/photos, comments, notes, field notes, dates, Projects, project files/photos, comments, dates, completion, estimates, invoices, payments, assets, asset history, and asset files/photos. Each customer can use a personal link and optional password, while template variables distribute the proper URL. See Customer Portal.
This is excellent content governance for one consistent customer policy. The toggles are documented as global for all customers, not user-, contact-, property-, or account-specific. Multi-location and franchise buyers should distinguish FieldPulse company-account structure from the permissions inside one customer’s portal.

Housecall Pro — simple branding, automation, and website promotion
Native/core portal. Housecall Pro automatically brands the portal with company identity, can send invites when Jobs are scheduled, insert login links in Job/invoice/estimate emails, bulk-invite the customer list, and provide website button code; HCP-built websites can enable the login entry with a toggle. The referral card has a customizable message. See Using the Customer Portal and Referral Program.
The portal is designed for straightforward residential accounts. Current documentation does not describe per-location contacts, invoice filters, feature visibility by customer, customer-portal analytics, or an independently branded domain. Franchise and commercial buyers should demo those cases rather than extrapolate from bulk invitations.
KEY FINDINGS
- Housecall Pro automatically brands the portal with company identity, can send invites when Jobs are scheduled, insert login links in Job/invoice/estimate emails, bulk-invite the customer list, and provide website button code.

FieldEdge — packaged access with fewer documented admin controls
Native/plan-gated CMP. CMP is included with Elite and quoted separately on Select or Premier. Existing customers enter from quote or invoice communications; registration matches an email on the customer record, and service requests use stored addresses. See FieldEdge pricing and Using CMP.
FieldEdge’s current documentation does not establish custom-domain branding, bulk portal invitations, user/location permission matrices, granular module visibility, adoption analytics, or cross-location portal administration. Existing-record constraints plus merchant compatibility—CMP docs still name Clearent/Canada-Payroc rules while current branding is FieldEdge Payments/Xplor Pay—add rollout dependencies.
KEY FINDINGS
- CMP is included with Elite and quoted separately on Select or Premier.

HVAC CUSTOMER PORTAL SOFTWARE FAQS
What is HVAC customer portal software?
An HVAC customer portal is an authenticated or customer-specific account where an existing customer can review appointments, work, estimates, invoices, payments, agreements, equipment, or documents and take supported self-service actions. It is different from a public booking portal, which is designed to convert a visitor or lead into a request or appointment before a customer relationship necessarily exists.
What is the best HVAC customer portal software?
Jobber is the best overall fit for most small and midsize contractors because Client Hub combines quotes, approvals, change requests, deposits, appointments, invoices, flexible payments, receipts, Wallet, requests, and referrals in an approachable account. ServiceTitan has the highest capability ceiling and is the best enterprise, commercial, multi-property, equipment, and service-agreement portal.
Is Jobber or Housecall Pro better for a customer portal?
Jobber wins overall on quote collaboration, optional items, request history, deposits, tips, partial payments, receipts, and Wallet. Housecall Pro is stronger when maintenance-plan self-service and persistent sent Photo Reports matter, alongside Online Booking, appointment-change messages, card management, and referrals. Jobber's shared-link warning, Appointments-tab settings contradiction, and HCP's registered-SMS and package prerequisites all deserve testing.
Is ServiceTitan Customer Portal included or a paid add-on?
ServiceTitan identifies the New Customer Portal as generally available and included in the base subscription, but account configuration is required. The transactions around it have separate boundaries: ServiceTitan Payments and provider financing have their own terms; portal appointment modification launches Scheduling Pro; premium Scheduling Pro is a Pro product; the docs do not clearly say whether Scheduling Pro Free receives Modify; and online-estimate deposit collection remains Private Preview.
Can customers reschedule or cancel HVAC appointments themselves?
Do not assume so from a generic “manage appointments” claim. ServiceTitan's Modify action launches Scheduling Pro, and current docs do not clearly say whether the Free version qualifies. Housecall Pro sends the business a message request rather than changing the calendar. FieldEdge CMP submits a Lead that staff converts. FieldPulse does not document self-change. Jobber's base Client Hub lists appointments; Receptionist can assist under separate plan, phone-number, and Online Booking prerequisites.
Which portal is best for HVAC equipment and maintenance agreements?
ServiceTitan wins decisively. Customers can search and filter equipment, review warranty and custom-field data, see service and proposal history, view next service dates, and connect units to Memberships or commercial Service Agreements, visits, and invoices. FieldPulse is the runner-up because its portal can expose assets, update history, and files/photos. The other three do not document comparable customer-facing equipment portfolios.
Can customers pay invoices inside all five portals?
All five can support customer payment, but not through the same commercial layer. Jobber, ServiceTitan, Housecall Pro, and FieldEdge document portal payment subject to merchant, region, permission, and invoice-state rules. FieldPulse requires optional FieldPulse Payments. FieldEdge's current CMP guide still names Clearent and excludes Canada/Payroc, while current product branding is FieldEdge Payments powered by Xplor Pay; confirm compatibility. A portal subscription never means processing, saved methods, ACH, financing, or partial-payment controls are included.
Are customer portal, booking, payment, and financing the same feature?
No. The portal is the account shell; booking, processing, saved methods, SMS, and financing can be adjacent native features, first-party products, or integrations. Jobber relies on Jobber Payments or supported rails. Housecall Pro uses HCP Payments/My Money and Online Booking. FieldPulse links Booking Portal and optional Payments. FieldEdge layers merchant processing onto CMP, with a Clearent/Canada-Payroc compatibility note in current help. ServiceTitan layers Payments, a configured scheduler, Scheduling Pro, and provider financing onto its portal.
