QUICK VERDICT: BEST HVAC EQUIPMENT TRACKING SOFTWARE
RECOMMENDED
FieldPulse
Best overall HVAC equipment tracking software
- Best for: Most small and midsize HVAC contractors—and many larger teams—that need one dedicated, configurable asset record from installation through maintenance, warranty work, ownership change, and retirement.
- Key strengths: Native customer assets with status, category, tags, customer and location, model and serial data, install date, parts and labor warranties, condition, known issues, custom fields, files, connected jobs and site visits, maintenance agreements, activity updates, service count, lifetime spend, reports, barcode access, ownership-transfer history, and serialized-item-to-asset conversion.
- Important limitation: The depth creates setup work: administrators must define templates, categories, tags, custom fields, permissions, and consistent job-linking rules. FieldPulse Custom Forms can make inspections more rigorous, but that is a separately enabled, contact-for-pricing feature rather than part of the basic asset record.
- Package note: Asset Management is native and enabled from Features & Plugins. FieldPulse's Assets documentation covers the lifecycle. Custom Forms are a separate price-quoted feature.

RECOMMENDED
ServiceTitan
Best enterprise HVAC equipment tracking software
- Best for: Larger residential or commercial HVAC organizations that can support an enterprise implementation and want equipment embedded in service locations, pricebook setup, technician execution, warranties, reporting, memberships, and replacement-lead operations.
- Key strengths: Native Core installed-equipment records; model, serial, manufacturer, capacity, install and manufactured dates, asset number, tags, memos, custom fields, manufacturer and service-provider warranty periods, OCR-assisted creation, completed-service history, forms and media, memberships, installed/replaced status, equipment reporting, and automated replacement-opportunity tags. Equipment Systems can group related units and sub-equipment for complex sites.
- Important limitation: ServiceTitan demands the heaviest configuration. Equipment types, pricebook items, installation tasks, replacement ages, conversion tags, permissions, and technician behavior all affect data quality. Some of its most distinctive hierarchy is documented as limited release rather than a capability every buyer should assume is active.
- Package note: Installed equipment and service locations are native Core concepts. ServiceTitan's equipment guide documents the standard workflow. Equipment Systems is limited release. JB360 by JB Warranties is a separate two-way marketplace integration for extended-warranty plans and claims.

FieldEdge
Conditional fit for technician-facing HVAC equipment history
- Consider if: Technician access to installed-unit details, warranty dates, prior work, and customer history matters more than configurable lifecycle controls and portfolio administration.
- Key strengths: Native customer equipment records; master equipment and equipment types; mobile capture of model, serial number, age, parts and labor warranty, and photos; unit history; life-expectancy context; and equipment-specific custom forms.
- Important limitation: FieldEdge covers the technician-facing HVAC record well, but documents fewer lifecycle controls for status, condition, configurable fields, ownership transfer, account-wide reporting, barcode retrieval, and retirement. Buyers should validate portfolio administration and reporting in a demo.
- Package note: Equipment and customer history are native FieldEdge capabilities. The current FieldEdge plan table lists Customer History and Custom Forms on Select, Premier, and Elite. MarketingEdge is included with Elite and sold separately on lower tiers; it is not the equipment registry itself.

Housecall Pro
Conditional fit for simple residential records and Bluon lookup
- Consider if: The company needs simple equipment records by address, job and Service Plan association, and fast HVAC model research—but not structured condition, warranty, transfer, retirement, or replacement workflows.
- Key strengths: Native Property Profile records for multiple items at one address; item type, display name, make, model, serial number, install date, and notes; job association; an account-wide Property Profile page with last-service and install-date filters, sorting, and CSV export; plus Bluon-powered nameplate scanning and model intelligence inside Housecall Pro.
- Important limitation: The native record does not document structured parts-warranty, labor-warranty, condition, issue, replacement-status, ownership-transfer, or custom equipment fields. Bluon adds excellent lookup data, but it is an embedded partner integration—not Housecall Pro's own lifecycle or warranty-administration engine.
- Package note: Property Profile is native. Bluon is a partner integration that Housecall Pro exposes in My Apps for HVAC accounts; Housecall Pro authentication is sufficient, but the workflow requires internet access. Recurring Service Plans are a Max-plan feature on the Housecall Pro pricing page.

Jobber
Not recommended as HVAC equipment-tracking software
- Consider only if: Equipment tracking is not a meaningful buying requirement and one property-level set of custom fields is sufficient for each service address.
- Key strengths: A client can have multiple properties; property custom fields can store text, numbers, dropdown values, and true/false flags; transferable fields can follow work into quotes, jobs, and invoices; the property Work Overview shows requests, quotes, jobs, invoices, schedule, and recent pricing; checklists and media support visit documentation.
- Important limitation: Jobber's documented data model is a property plus custom fields, not a repeatable installed-equipment object. Two air handlers at one address require duplicated or specially named fields, and service history remains property- or job-level rather than reliably attached to one unit. Jobber does not document native nameplate OCR, asset barcodes, structured equipment warranties, ownership history, or a global installed-equipment register.
- Package note: Property records are native. Custom fields are on select plans and are included from Connect upward; checklists also begin on Connect. The centralized Files and Media library is Plus. CompanyCam is a third-party integration requiring eligible Jobber and CompanyCam subscriptions.
How We Tested
In August 2026, the Tools in the Wild editorial team tested FieldEdge, FieldPulse, Housecall Pro, Jobber, and ServiceTitan using trial and paid accounts. On desktop and iPhone, we ran each platform through the same HVAC equipment-tracking scenarios: creating several unit records at one address, capturing model and serial data, opening the correct unit from a job, reviewing service and warranty history, connecting preventive maintenance, locating aging equipment, and preserving history through replacement. We documented the workflows with screenshots and written notes, then checked factual claims against current vendor help centers, mobile guides, pricing pages, reporting documentation, integration listings, and release materials. The comparison emphasizes differences in workflow depth, usability, configuration, and operational fit; it also labels workarounds, limited releases, add-ons, and partner integrations. Vendors neither reviewed the article nor influenced its conclusions. Read our full editorial methodology.
Our Verdict
FieldPulse is the best overall HVAC equipment tracking platform for most contractors; ServiceTitan is the best enterprise fit.
FieldEdge is a conditional option for buyers prioritizing technician-facing HVAC equipment history. Mobile model and serial capture, parts and labor warranty visibility, photos, equipment history, life-expectancy context, and forms are useful in the technician workflow. It is not the leading recommendation because its documentation establishes less lifecycle depth around configurable status and condition, ownership transfer, barcode access, and portfolio reporting than FieldPulse or ServiceTitan.
FieldPulse treats the unit as a first-class asset, not merely a property field. A record can carry identity, status, location, warranty, condition, issues, files, jobs, visits, maintenance, financial history, activity, reports, barcode access, transfer history, and retirement. It pairs unusually broad documented lifecycle control with a product scope appropriate for most small and midsize HVAC contractors.
Housecall Pro is a conditional option for simple residential equipment records and HVAC lookup. Property Profile supports multiple items per address plus last-service filtering, sorting, and CSV export, while the Bluon integration adds nameplate scanning, specifications, manuals, bill-of-materials data, and compatible parts. Buyers that need structured warranty, condition, status, custom fields, ownership transfer, retirement, or replacement workflows should prioritize FieldPulse or ServiceTitan instead.
Jobber is not recommended when customer-equipment tracking is a meaningful buying requirement. Its documented model is a property with custom fields and property-wide work history, not a repeatable equipment record. It cannot natively distinguish several units with separate service histories, warranties, statuses, files, or lifecycle relationships.
ServiceTitan is the strongest enterprise option. It connects installed units to service locations, pricebook equipment, invoice tasks and materials, technician history, reports, memberships, and conversion tags. Native OCR reduces entry, while Equipment Systems addresses complex sites. It is most compelling when enterprise replacement operations, explicit invoice association, and complex hierarchy justify the implementation burden.
In practical terms, equipment-focused buyers should shortlist FieldPulse and ServiceTitan. FieldEdge is a conditional alternative when technician-facing HVAC history outweighs portfolio and lifecycle depth. Housecall Pro is conditional for simple residential records and Bluon-assisted research. Jobber should not be shortlisted when true customer-equipment tracking is required.

1. BUILDING AN INSTALLED-EQUIPMENT REGISTRY
Creating durable records for several HVAC units at one customer location
WORKFLOW RESULT
Workflow winner: FieldPulse. It provides the strongest configurable registry for the broadest range of HVAC contractors. ServiceTitan has the stronger enterprise data model when a company needs—and can implement—service-location hierarchy. Housecall Pro is easier for a residential team that only needs recognizable unit cards. FieldEdge provides a true HVAC equipment model but documents less portfolio administration. Jobber’s property-field workaround is the least suitable once several systems share an address.
CAPABILITY SUMMARY
- FieldEdge — native HVAC equipment records and standardized types
- FieldPulse — best configurable asset registry
- Housecall Pro — easiest multi-item residential property profile
- Jobber — property fields, not a repeatable unit object
- ServiceTitan — strongest enterprise service-location model

FieldEdge — native HVAC equipment records and standardized types
Native/core. FieldEdge stores equipment with the customer rather than forcing every unit into a general note. Its master-equipment and equipment-type setup gives the office a controlled vocabulary, while the customer record and mobile app expose equipment history alongside work history. That matters when “upstairs air handler” and “downstairs air handler” need distinct identities. FieldEdge describes equipment history as available across the operation, including digital spec sheets, warranty dates, and prior work. See the vendor’s Equipment Tracking and Complete Equipment History descriptions.
The registry is HVAC-oriented, but buyers with large commercial sites should ask the vendor to demonstrate parent/child relationships, bulk import, bulk edit, and account-wide equipment search. The marketing documentation establishes a real equipment record; it does not establish the same hierarchy and lifecycle controls as ServiceTitan Equipment Systems or FieldPulse ownership history.

FieldPulse — best configurable asset registry
Native/core. A FieldPulse asset can be designated a Customer Asset, linked to the customer and location, and given a status of Uninstalled, Installed/In Use, or Retired. Categories, tags, coordinates or a location description, asset templates, install date, manufacturer and model details, serial data, custom fields, condition, known issues, warranty data, comments, and files make each unit independently identifiable. Templates reduce inconsistent entry when a contractor installs the same type of heat pump or rooftop unit repeatedly.
The result is a first-class customer-equipment record: a dispatcher or technician can open the exact unit rather than relying on a general property note.

Housecall Pro — easiest multi-item residential property profile
Native/core. Property Profile supports multiple items at each customer address. Each item has a required item type and display name, followed by optional make, model, serial number, install date, and notes. “Main-floor furnace,” “upstairs air handler,” and “garage mini-split” can therefore be separate records instead of one long customer note. Items can be created from the customer address, a web job, or a mobile job. See Housecall Pro’s Property Profile field and setup guide.
The simplicity is a strength for adoption, but also the main constraint. In our test account, the inline customer-profile view rendered desktop items as large cards and mobile items as a more compact list; neither inline view exposed the account-wide sorting controls. That becomes cumbersome at commercial or multi-tenant properties with many units, where staff will likely rely on the separate My Apps > Property Profile page. Housecall Pro does not document asset status, category/tag taxonomy, per-unit custom fields, condition, or parent/child equipment within the native Property Profile schema.

Jobber — property fields, not a repeatable unit object
Workaround; custom fields are plan-gated. Every Jobber property belongs to a client, and one client can have multiple properties. An administrator can create property custom fields such as “System type,” “Condenser model,” “Condenser serial,” and “Install year.” Fields can be text, numeric, dropdown, true/false, or area, and transferable fields can flow into downstream work. See Jobber Properties and Custom Fields.
This workaround is least cumbersome when there is only one primary system per property, but it still does not make Jobber equipment-tracking software. A second or third system requires another set of named fields or a loosely formatted text block. The vendor’s documentation does not show a repeatable installed-equipment record.
EVIDENCE SUMMARY

ServiceTitan — strongest enterprise service-location model
Native/Core. ServiceTitan records installed equipment at the service location and can create it from equipment in the pricebook, from a completed installation, or directly at an existing location. Records can include equipment name and type, capacity, manufacturer, model, serial number, brand, asset number, installation and manufactured dates, tags, memo, custom fields, warranties, and status. That creates a structured connection between what the company sells, what was installed, where it lives, and how it will be serviced. See Track and Manage Installed Equipment.
For complex facilities, Equipment Systems can group components and sub-equipment into a functional system. That is a meaningful differentiator for campuses and refrigeration/HVAC sites, but Equipment Systems is limited release and should be demonstrated in the buyer’s actual tenant.

2. CAPTURING MODEL, SERIAL, AND NAMEPLATE DATA IN THE FIELD
Turning an outdoor-unit label into an accurate, reusable record
WORKFLOW RESULT
Workflow winner: ServiceTitan for native capture. Its OCR creates equipment from a nameplate. Housecall Pro offers the richest HVAC lookup through the embedded Bluon integration. FieldEdge provides practical native mobile fields. FieldPulse uses structured entry and asset-barcode retrieval rather than documented nameplate OCR. Jobber remains manual.
CAPABILITY SUMMARY
- ServiceTitan — best native nameplate OCR: Native/Core.
How do the vendors compare?
FieldEdge — practical native mobile capture: Native/core.
FieldPulse — structured entry, templates, and asset barcode retrieval: Native/core.
Housecall Pro — best integrated HVAC model intelligence: Native manual entry plus a partner integration.
Jobber — manual property fields and visit documentation: Workaround.
ServiceTitan — best native nameplate OCR: Native/Core.
FieldEdge — practical native mobile capture
Native/core. FieldEdge says technicians can add and update customer equipment from the field, including model, serial number, equipment age, parts warranty, labor warranty, and a photo. The advantage is operational proximity: the technician is already in the mobile work-order flow and can correct the equipment record while standing at the unit. FieldEdge’s field service software overview also frames the result as a digital spec sheet accessible without a return site visit.
FieldEdge does not document nameplate OCR or a barcode-to-record workflow in its current public product pages. Buyers should treat the capture as structured mobile entry unless a demonstration shows otherwise.

FieldPulse — structured entry, templates, and asset barcode retrieval
Native/core. FieldPulse supports manufacturer, model, serial number, install date, location, warranties, condition, issues, custom fields, photos, and files on the asset. An asset template can prefill repeated attributes. Its mobile asset scanning workflow lets a company create or use barcodes to open the corresponding record quickly—useful on a rooftop with many similar units after the labels are attached. See FieldPulse Assets and Asset Scanning.
This scanner retrieves a FieldPulse asset; it is not documented as OCR that reads a manufacturer’s nameplate and extracts the model and serial number. Initial equipment identity still depends on manual entry, an import, a template, or conversion from a serialized item.

Housecall Pro — best integrated HVAC model intelligence
Native manual entry plus a partner integration. A technician can type the standard Property Profile fields on mobile. The more distinctive workflow comes from Bluon: scan an HVAC unit or water-heater nameplate, identify the model, review specifications and estimated warranty, and save the unit information into Property Profile. A partial model or part-number search is also supported. Bluon then exposes OEM manuals, wiring diagrams, bill-of-materials data, OEM and aftermarket replacements, and troubleshooting assistance. See Bluon + Housecall Pro.
The distinction matters: the Property Profile record is Housecall Pro-native; the recognition database and technical intelligence come from Bluon. Housecall Pro says HVAC users do not need a separate Bluon login, but the tool requires internet access and does not place parts orders.

Jobber — manual property fields and visit documentation
Workaround. A technician with appropriate permissions can view or edit property custom fields in the Jobber app. That supports typed model and serial values, dropdown equipment types, and simple flags. Jobber checklists can require an answer or image on a visit, so an administrator can ask the technician to photograph the nameplate and type the serial number. See Client and property information in the Jobber app and Jobber pricing for the Connect-level checklist entitlement.
The checklist response remains job/visit documentation; it does not automatically become a new equipment object. Jobber also does not document native nameplate OCR or an installed-asset barcode.

ServiceTitan — best native nameplate OCR
Native/Core. ServiceTitan’s Field Mobile App can add equipment by photographing the nameplate and using optical character recognition to prefill available details. The technician reviews and corrects the result before saving it to the service location. The resulting equipment remains accessible by name, serial number, installation date, last-service date, type, memberships, and tags. See Add equipment using OCR.
OCR reduces retyping but does not remove quality control. Dirty plates, ambiguous characters, missing install dates, and mismatched equipment types still require technician review because those fields later drive warranty, age, and replacement reporting.

3. LINKING A SPECIFIC UNIT TO JOBS AND SERVICE HISTORY
Showing the next technician the unit's full history
WORKFLOW RESULT
Workflow winner for most contractors: FieldPulse. It gives a mid-market team the clearest all-in-one asset timeline, service count, and lifetime spend. ServiceTitan has the deepest enterprise invoice-and-service association, but that additional rigor comes with a heavier implementation. FieldEdge offers technician-facing history, Housecall Pro provides real job association and a derived last-service date, and Jobber’s history is property-wide.
CAPABILITY SUMMARY
- ServiceTitan — strongest invoice-and-service association: Native/Core.
How do the vendors compare?
FieldEdge — HVAC history in the technician workflow: Native/core.
FieldPulse — best mid-market asset timeline and economics: Native/core.
Housecall Pro — genuine job association with global last-service visibility: Native/core.
Jobber — property work history, not unit history: Native property history; equipment linkage is a workaround.
ServiceTitan — strongest invoice-and-service association: Native/Core.
FieldEdge — HVAC history in the technician workflow
Native/core. FieldEdge presents complete equipment history, warranty dates, and work history to technicians from the customer context. Its Mobile CRM also exposes customer and work-order history, helping a technician identify repeated issues before recommending another repair. The FieldEdge equipment and work-history overview positions this as a core continuity feature across business units.
FieldEdge is compelling for “what has happened here before?” The vendor’s public page is less specific about how a task or invoice line is marked as servicing one of several units, so companies with dense multi-unit sites should test that exact association and the resulting report.

FieldPulse — best mid-market asset timeline and economics
Native/core. A FieldPulse asset can be attached to a job, customer, or maintenance agreement. Users can create a job from the asset or connect an existing job; job records can also attach and remove assets. The asset record rolls up connected jobs and site visits, update history, service count, and lifetime spend, so a technician or manager can see both technical continuity and commercial value. These workflows are documented together in FieldPulse Assets.
The process still depends on the team consistently connecting the right asset. A property match alone is not enough when several rooftop units share an address, so asset selection should be part of the job-close procedure.

Housecall Pro — genuine job association with global last-service visibility
Native/core. Property Profile items appear on a job only when its service address matches the address on the equipment record. From the job, a technician can select an unassociated item and add it to the job. That creates more than a generic customer note: Housecall Pro explicitly describes Property Profile as tracking work on specific items. The global Property Profile page can then filter and sort by last service date. See Property Profile job association.
The global page is important because the inline equipment view under one customer is not the same workflow. Account-wide filters, sorting, and CSV export live under My Apps > Property Profile; buyers should not conclude they are missing merely because they are absent from the compact customer-profile view.
EVIDENCE SUMMARY

Jobber — property work history, not unit history
Native property history; equipment linkage is a workaround. A Jobber property’s Work Overview shows past and upcoming requests, quotes, jobs, invoices, treatments, schedule, and recent pricing. That is useful site history. A transferable “Equipment serial” custom field can also appear on a job or invoice, and checklists can capture which system was serviced. See Jobber’s property Work Overview.
However, the history is organized around the property and work items. Jobber does not document an equipment page that automatically collects every service tied to serial number 123 while excluding the second unit at the same property.

ServiceTitan — strongest invoice-and-service association
Native/Core. In ServiceTitan Mobile, a technician opens existing equipment at the location and can mark it serviced using a task or material. The selected service or material appears on the invoice with the equipment it serviced. Equipment History then summarizes completed service jobs for that item; retaining a replaced record preserves historical context. See Manage equipment in ServiceTitan Mobile and mark installed equipment as serviced.
That explicit association is the strongest model here for multi-unit sites. It also makes technician compliance consequential: equipment added only to an invoice, or a job closed without selecting the serviced unit, can produce an incomplete equipment history.

4. MANAGING WARRANTY, CONDITION, AGE, AND REPLACEMENT OPPORTUNITY
Deciding whether to repair, claim, maintain, or replace the exact system
WORKFLOW RESULT
Workflow winner for equipment lifecycle: FieldPulse. It has the richest native combination of condition, issues, separate parts/labor warranty data, status, custom fields, reporting, and retirement without enterprise overhead. ServiceTitan is stronger specifically at turning equipment age into an enterprise replacement-lead workflow. FieldEdge provides useful field warranty and life-expectancy context. Housecall Pro’s Bluon integration improves research but does not become a structured lifecycle or claims workflow. Jobber requires custom fields and manual reporting.
CAPABILITY SUMMARY
- ServiceTitan — best replacement-opportunity engine: Native/Core; JB360 is an integration.
How do the vendors compare?
FieldEdge — technician-friendly warranty and life-expectancy context: Native/core.
FieldPulse — strongest mid-market condition and coverage record: Native/core.
Housecall Pro — estimated warranty research, limited native lifecycle fields: Native basic identity plus Bluon integration.
Jobber — flexible manual fields, no equipment logic: Workaround.
ServiceTitan — best replacement-opportunity engine: Native/Core; JB360 is an integration.
FieldEdge — technician-friendly warranty and life-expectancy context
Native/core. FieldEdge documents equipment age, parts and labor warranty dates, complete equipment history, and the ability to spot aging equipment. Technicians can use that record to support a repair-versus-replace conversation with evidence rather than memory. FieldEdge also lists service agreements and custom forms in all three plans, supporting consistent inspections around the equipment record. See FieldEdge field service software and FieldEdge pricing.
For portfolio-wide replacement marketing, separate the native equipment insight from MarketingEdge. MarketingEdge is a separately priced product on Select/Premier and included with Elite; it is not required to store the unit or warranty.

FieldPulse — strongest mid-market condition and coverage record
Native/core. FieldPulse can store install date, condition, known issues, status, and separate parts and labor warranty information, alongside custom fields for contractor-specific values. A unit can progress from Uninstalled to Installed/In Use to Retired. Asset reports expose warranty, manufacturer, type, customer, location, maintenance agreement, and other fields, enabling a manager to isolate coverage or condition cohorts. See FieldPulse Assets and Asset Reports.
This is structured internal warranty tracking, not a manufacturer claim network. The company still needs a defined process for registration, authorization, claim submission, and reimbursement outside the asset record.

Housecall Pro — estimated warranty research, limited native lifecycle fields
Native basic identity plus Bluon integration. Housecall Pro’s documented native fields stop at item type, display name, make, model, serial number, install date, and notes. Teams can put warranty or condition text in Notes, but that is not the same as separate searchable coverage periods. Bluon can return model specifications and estimated warranty information from a nameplate scan or search. See Property Profile’s documented schema and Bluon capabilities.
Housecall Pro does not document native equipment-condition stages, a replaced status, warranty-claim tracking, or automatic replacement-age opportunities. Its strength is fast lookup and approachable records, not lifecycle automation.

Jobber — flexible manual fields, no equipment logic
Workaround. A Jobber administrator can create property fields for install year, parts-warranty end, labor-warranty end, condition, or replacement recommendation. Dropdowns and true/false fields add consistency, and the fields can be included as report columns. Those are generic Jobber Custom Fields, not warranty-aware values: Jobber does not document automatic remaining-duration calculations, unit age, expiration alerts, or replacement status.
A team can manually maintain these values at low volume, but we do not recommend this as an equipment-tracking system. It is fragile when several units need separate dates or when managers expect the software to identify a replacement cohort automatically.

ServiceTitan — best replacement-opportunity engine
Native/Core; JB360 is an integration. ServiceTitan equipment can carry manufacturer-warranty and service-provider-warranty start and end dates, plus installed/manufactured dates and replacement status. Administrators assign replacement ages and conversion tags to equipment types and matching services. When installed equipment reaches its configured age, ServiceTitan can surface a replacement-opportunity tag on the location, call-booking screen, job, and mobile app, then track leads and conversions. See ServiceTitan installed-equipment warranty fields and replacement-opportunity setup.
For extended plan sales and claims, JB360 is a separate two-way JB Warranties integration. It extends ServiceTitan; it should not be described as native manufacturer-warranty administration.

5. ORGANIZING PHOTOS, FORMS, MANUALS, AND FILES
Keeping the nameplate, inspection, diagnosis, and technical documents with the right unit
WORKFLOW RESULT
Workflow winner for an equipment-centered record: FieldPulse. Files, photos, comments, and reports can follow the asset itself; separately enabled Custom Forms can associate inspections with assets through related work. ServiceTitan is broader for enterprise forms and documents, while Housecall Pro plus the Bluon integration is the specialist for OEM manuals and wiring diagrams. FieldEdge makes forms practical in its mobile workflow. Jobber can centralize job media, but not natively around an equipment object.
CAPABILITY SUMMARY
- ServiceTitan — broadest forms and media; Findings require Early Access: Native/Core for media, forms, and documents; Equipment Findings are Early Access/account-configured.
How do the vendors compare?
FieldEdge — native photos and forms on every plan: Native/core.
FieldPulse — direct asset files; forms are separately priced: Native asset files plus a native add-on.
Housecall Pro — useful equipment attachment aggregation and Bluon manuals: Native attachments plus an integration.
Jobber — job documentation and property-filtered media, not unit files: Native/plan-gated plus an integration option.
ServiceTitan — broadest forms and media; Findings require Early Access: Native/Core for media, forms, and documents; Equipment Findings are Early Access/account-configured.
FieldEdge — native photos and forms on every plan
Native/core. FieldEdge supports equipment photos and describes custom forms for each equipment type, including diagnostic, maintenance, and seasonal inspection workflows. The FieldEdge pricing table lists Custom Forms on Select, Premier, and Elite. That is a favorable packaging distinction: a contractor does not need MarketingEdge to standardize a technician’s equipment inspection. Buyers should still test whether every completed form is opened from the individual unit or from the broader work order.

FieldPulse — direct asset files; forms are separately priced
Native asset files plus a native add-on. Photos, comments, and files can live directly on the FieldPulse asset and now cascade into the linked customer record. Asset reports can also be generated as shareable PDFs. For structured commissioning or inspection, FieldPulse Custom Forms are enabled separately and priced by quote; a form attached to a job can select among that job’s related assets. The direct file record is standard asset functionality; the form builder is not.

Housecall Pro — useful equipment attachment aggregation and Bluon manuals
Native attachments plus an integration. On web, Housecall Pro’s customer Attachments tab aggregates files from the profile, jobs, estimates, and equipment, and links an attachment back to the piece of equipment that originated it. The mobile attachment view, however, documents filters only for customer, estimate, and job—not equipment—so web and inline mobile behavior should not be treated as identical. Bluon separately supplies OEM manuals and wiring diagrams through its partner database.

Jobber — job documentation and property-filtered media, not unit files
Native/plan-gated plus an integration option. Technicians can add photos and files to job or visit notes, and checklists can require images. On Plus, the Files and Media library can filter files from property-linked work by property; client-level attachments are explicitly not property-linked. CompanyCam is a third-party alternative whose property project link appears in a Jobber custom field and whose photos sync to a recent work-item note. Neither creates a native per-equipment gallery.

ServiceTitan — broadest forms and media; Findings require Early Access
Native/Core for media, forms, and documents; Equipment Findings are Early Access/account-configured. ServiceTitan equipment records can surface photos, videos, files, forms, and uploaded documents alongside the record and history. The redesigned Equipment screen added direct document management and equipment estimate history. When its feature gate is enabled, Equipment Findings can also be attached to a specific unit; buyers should not assume that function is active in every account. Equipment Systems can aggregate completed forms across component equipment, but that system view also remains limited release. See ServiceTitan’s installed-equipment guide and the equipment-screen release documentation.

6. CONNECTING EQUIPMENT TO PREVENTIVE MAINTENANCE
Knowing which units an agreement covers and which one is due on the visit
WORKFLOW RESULT
Workflow winner: FieldPulse. It offers the clearest generally available native asset-to-maintenance-agreement relationship for a growing contractor. ServiceTitan is stronger for complex agreement execution only where its limited-release Equipment Systems workflow is enabled. Housecall Pro has a direct Property Profile-to-Service Plan link, FieldEdge documents the unit relationship less specifically, and Jobber recurrence remains property/job based.
CAPABILITY SUMMARY
- ServiceTitan — strongest complex service-agreement execution: Native/Core; Equipment Systems are limited release.
How do the vendors compare?
FieldEdge — native equipment context beside service agreements: Native, with plan depth.
FieldPulse — best direct mid-market agreement linkage: Native/core.
Housecall Pro — direct item-to-Service Plan association: Native; Service Plans are Max.
Jobber — recurring property work, not equipment coverage: Native recurring jobs; equipment is a workaround.
ServiceTitan — strongest complex service-agreement execution: Native/Core; Equipment Systems are limited release.
FieldEdge — native equipment context beside service agreements
Native, with plan depth. FieldEdge includes Basic Service Agreements on Select and Advanced Service Agreements on Premier and Elite, while equipment history and custom forms remain available across plans. That supports recurring HVAC maintenance with unit context and standardized inspections. The FieldEdge plan comparison does not explain whether one agreement can enumerate several specific equipment records, so multi-unit agreement buyers should require that scenario in the demo.

FieldPulse — best direct mid-market agreement linkage
Native/core. An asset can be attached to an existing maintenance agreement when it is created, attached from the agreement’s Asset tab later, or used as the starting point for a new or connected job. The asset record then shows the related agreement and service activity. This makes “which condenser is covered?” answerable without decoding a recurring-job description. See the maintenance-agreement and job sections of FieldPulse Assets.

Housecall Pro — direct item-to-Service Plan association
Native; Service Plans are Max. Housecall Pro lets an administrator select a Property Profile item on the customer’s Service Plan; the relationship is then visible in the Property Profile details. That is a meaningful step beyond merely scheduling maintenance at the same address. See Attach a Property Profile item to a Service Plan. The equipment link is native, while recurring Service Plans are a Max-plan entitlement.

Jobber — recurring property work, not equipment coverage
Native recurring jobs; equipment is a workaround. Jobber can schedule a job with one or many recurring visits and attach checklists to those visits. The work belongs to the client and property. A custom field or job description can state “service upstairs system,” but Jobber does not document an installed-unit object that the recurring job covers. It can describe one-system residential work, but it does not provide equipment-level preventive-maintenance coverage and should not be treated as equipment tracking.

ServiceTitan — strongest complex service-agreement execution
Native/Core; Equipment Systems are limited release. Installed equipment at a service location can display memberships, and technicians can work from the equipment context on maintenance visits. In the limited-release Equipment Systems experience, a Service Agreement job can show system-level task progress, per-equipment service-status tags, and a Job-Related filter for only the equipment due on the current visit. See Equipment Systems on Service Agreement jobs.

7. FINDING, FILTERING, REPORTING, AND EXPORTING EQUIPMENT
Finding every overdue condenser or aging rooftop unit without opening customers one by one
WORKFLOW RESULT
Workflow winner for most contractors: FieldPulse. Its reusable asset reports combine flexible equipment fields with status, warranty, maintenance, service, and financial context. ServiceTitan is stronger for a deeply configured enterprise replacement-reporting program. Housecall Pro is materially better than its inline customer view suggests because its separate global Property Profile page filters and exports equipment. FieldEdge publishes less field-level reporting detail, and Jobber reports property fields rather than assets.
CAPABILITY SUMMARY
- ServiceTitan — strongest enterprise equipment and aging reports: Native/Core.
How do the vendors compare?
FieldEdge — useful equipment reporting with a demo requirement: Native/core.
FieldPulse — best flexible mid-market asset reports: Native/core.
Housecall Pro — strong global last-service list, distinct from inline view: Native/core.
Jobber — reportable custom fields without an equipment portfolio: Workaround; custom fields are plan-gated.
ServiceTitan — strongest enterprise equipment and aging reports: Native/Core.
FieldEdge — useful equipment reporting with a demo requirement
Native/core. FieldEdge describes equipment tracking across the operation, aging-equipment visibility, dashboards, list views, and custom reporting. Those capabilities should support equipment outreach, but the public pages do not enumerate the equipment report’s columns, filters, or export behavior. Buyers should bring a target list—such as “all 12–15-year-old heat pumps with expired labor warranty”—and require FieldEdge to build it live. MarketingEdge is separate or Elite if the next step is an automated campaign.

FieldPulse — best flexible mid-market asset reports
Native/core. FieldPulse supports dynamic, single-asset, and multi-asset reports. The Asset Reports guide includes fields and filters for customer assets, status, customer, location, maintenance agreement, category, tag, location description, manufacturer, warranty, and other asset data; saved reports can be reused and added to dashboards. Service count, lifetime spend, jobs, visits, and updates also make the individual record actionable.

Housecall Pro — strong global last-service list, distinct from inline view
Native/core. Go to My Apps > Property Profile to filter all equipment by item type, last service date, or install date; sort by customer name or last service date; and email a CSV export. Those controls are documented on the global app page, even if they are not visible in the compact Property Profile section inside one customer. See Filter and Export Property Profile Items. Reporting is narrower than FieldPulse or ServiceTitan because the native schema has fewer lifecycle fields.

Jobber — reportable custom fields without an equipment portfolio
Workaround; custom fields are plan-gated. Jobber custom fields can be added as columns to the report associated with the level where the field was created, and linked franchise accounts can export consistently named custom fields across accounts. That can yield a spreadsheet of property-level install years or system types. It does not turn those columns into a list of repeatable units, and a property with three systems remains one property row or an awkward group of fields. See Jobber custom fields in reports.

ServiceTitan — strongest enterprise equipment and aging reports
Native/Core. ServiceTitan’s Equipment report template creates reports from equipment installed at customer service locations, with filters and columns for equipment attributes. Managers can report by age, type, location, service dates, warranties, status, and replacement-related data, while recurring-service aging reports identify upcoming opportunities. See the Equipment report template and Recurring Services for Aging Equipment. The quality of those lists depends on complete install dates and consistent equipment types.

8. HANDLING REPLACEMENT, TRANSFER, AND COMPLEX PROPERTIES
Preserving history when equipment or the customer relationship changes
WORKFLOW RESULT
Workflow winner: FieldPulse. It has the most explicit, generally available lifecycle across uninstalled, installed, retired, and transferred equipment, including ownership history. ServiceTitan is stronger for enterprise replacement history and complex system hierarchy, although Equipment Systems is limited release. Housecall Pro and Jobber do not document an asset ownership ledger, and FieldEdge does not describe transfer mechanics in comparable detail.
CAPABILITY SUMMARY
- ServiceTitan — strongest replacement history and complex-system hierarchy: Native/Core; systems are limited release.
How do the vendors compare?
FieldEdge — native replacement context, less explicit transfer administration: Native/core.
FieldPulse — best ownership and lifecycle controls: Native/core.
Housecall Pro — multiple addresses and Max-assisted migration: Native location records; transfer history is not documented.
Jobber — multi-property client model, no unit lifecycle: Native properties plus a workaround.
ServiceTitan — strongest replacement history and complex-system hierarchy: Native/Core; systems are limited release.
FieldEdge — native replacement context, less explicit transfer administration
Native/core. FieldEdge’s equipment history, customer history, age, warranty, and life-expectancy context support a replacement decision without discarding the service story. Its multi-business-unit positioning also means technicians across the operation can access that equipment context. Current vendor pages do not document installed/replaced statuses, an ownership-history ledger, or moving a unit between customers. Contractors that service portable or ownership-changing equipment should test those exact operations.

FieldPulse — best ownership and lifecycle controls
Native/core. FieldPulse can mark assets Uninstalled, Installed/In Use, or Retired; control who may transfer them; move an asset to a new owner; and preserve ownership history for review. It also supports self-import of assets. At installation, a serialized product used on an invoice can create a customer asset directly, carrying identity from the sold unit into the service lifecycle. See FieldPulse Assets and creating an asset from a serialized item.

Housecall Pro — multiple addresses and Max-assisted migration
Native location records; transfer history is not documented. Property Profile ties each item to a customer address, and a customer can have equipment at the relevant service addresses. Housecall Pro documents creating, editing, and deleting items, but not an ownership-transfer command or prior-owner ledger. For migration, Max customers can use Housecall Pro’s Data Import team for customers, job history, equipment, and Price Book data; complex formatting may cost extra. See Housecall Pro import and export options.

Jobber — multi-property client model, no unit lifecycle
Native properties plus a workaround. A single Jobber client can have several properties and property contacts, which is useful for landlords and property managers. Equipment fields remain attached to the property, however. There is no documented installed-unit transfer, replaced status, or ownership history. Moving a system’s information means manually changing or recreating fields and protecting the old work history in notes. The Jobber Properties guide is strong for locations, not equipment lifecycle.

ServiceTitan — strongest replacement history and complex-system hierarchy
Native/Core; systems are limited release. ServiceTitan advises marking equipment Replaced rather than deleting it so the historical record remains available. At large sites, Equipment Systems can group equipment and sub-equipment, aggregate service history and forms, and display a structural tree. That is the strongest hierarchy in this comparison, but the system feature remains limited release. See replace or remove installed equipment and manage Equipment Systems.

WHICH HVAC EQUIPMENT TRACKING SOFTWARE IS BEST?
FieldPulse is the best overall HVAC equipment tracking platform for most contractors; ServiceTitan is the best enterprise fit.
FINAL VERDICT

HVAC EQUIPMENT TRACKING SOFTWARE FAQS
What counts as HVAC equipment tracking in this comparison?
It means records for customer-owned equipment already installed at a home or commercial service location: condensers, air handlers, furnaces, boilers, heat pumps, rooftop units, mini-splits, controls, and related systems. It includes identity, location, service history, warranty, condition, files, maintenance, and replacement. Contractor-owned parts and installable stock belong in a separate inventory comparison.
Which HVAC software has the best customer-equipment tracking overall?
FieldPulse is our overall pick. Its native asset combines lifecycle status, structured parts and labor warranty data, condition and issues, custom fields, files, job and visit links, service count, lifetime spend, maintenance agreements, reusable reports, barcode access, ownership transfer, and retirement. ServiceTitan is the enterprise alternative when a contractor needs a rigorously configured replacement program, invoice-level association, and complex equipment hierarchy. FieldEdge and Housecall Pro are conditional options for narrower priorities. Jobber is not recommended because it offers property custom fields rather than a true equipment registry.
Which products can scan an HVAC nameplate?
ServiceTitan documents native OCR that adds equipment from a nameplate in its Field Mobile App. Housecall Pro scans nameplates through the embedded Bluon partner integration, then saves model data to native Property Profile and exposes manuals, wiring, parts, and estimated warranty. FieldPulse's documented asset barcode scanner opens an existing FieldPulse asset; it is not the same as extracting a manufacturer's nameplate. FieldEdge and Jobber do not document native nameplate OCR in the official materials reviewed.
Which platform is best for HVAC warranty tracking?
FieldPulse is the best warranty-tracking choice for most HVAC contractors because its native asset combines separate parts and labor warranty information with condition, issues, service history, status, and reporting. ServiceTitan is the enterprise alternative: it has native manufacturer and service-provider warranty periods plus the optional JB360 integration for extended-warranty plans and claims. FieldEdge exposes parts and labor warranty context, Housecall Pro/Bluon offers estimated warranty research, and Jobber relies on generic custom fields.
Can Housecall Pro find equipment that has not been serviced recently?
Yes. The account-wide My Apps > Property Profile page can filter equipment by last service date, install date, and item type, sort by last service or customer name, and export the list as CSV. Those global controls are distinct from the smaller Property Profile view inside an individual customer record. See the official Property Profile filtering and export instructions.
Does Jobber have true installed-equipment tracking?
Jobber's official documentation shows properties, custom fields, work history, checklists, notes, and media rather than a dedicated repeatable equipment object. It can be configured to store one system's model, serial, install date, and warranty values at a property. It is not equivalent to a unit registry when several systems need separate histories, statuses, warranties, files, or service relationships, so buyers should not shortlist Jobber when equipment tracking is a core requirement.
Are HVAC equipment-tracking features core, add-ons, or integrations?
It varies. FieldEdge's equipment and history records are native, and FieldPulse's asset registry is native while Custom Forms are separate. Housecall Pro's Property Profile is native, but Bluon's nameplate intelligence is a partner integration. Jobber uses plan-gated custom fields rather than a dedicated equipment object and is not recommended for equipment-first buyers. ServiceTitan's installed-equipment record is native; Equipment Findings require account enablement, Equipment Systems is limited release, and JB360 warranty administration is a separate marketplace integration.
What should an HVAC contractor test in a software demo?
Use one customer with two addresses and at least three units at one address. Create an old unit, scan or enter its nameplate, attach a photo and inspection, associate a repair to only that unit, record separate parts and labor coverage, connect a maintenance agreement, find it from an account-wide list, export aging systems, replace it without deleting history, and move a second unit to a new owner. Ask the vendor to identify every step that is plan-gated, limited release, separately priced, or supplied by an integration.
