Equipment tracking software helps HVAC contractors organize the reusable tools, shared machinery, and vehicles the company owns. This guide is for HVAC business owners and managers who need to know which technician has a recovery machine, whether a vacuum pump is available for tomorrow’s installation, and where the service vans are during the working day.
The right field service management software protects productive time and equipment spending. A crew cannot commission a replacement system with a pump that another technician has already taken to a different job. For an HVAC business, a useful record identifies the actual piece of equipment, its assignment, availability, and condition, then supports the next handoff without a chain of phone calls.
This comparison uses three distinct meanings of tracking. Company equipment means reusable tools, machines, and vehicles. HVAC inventory management software handles quantities of parts and consumables such as capacitors, filters, fittings, and refrigerant. HVAC asset management software records customers’ installed condensers, furnaces, air handlers, and unit-specific service histories. A stock count, an installed-unit record, and a live vehicle location solve different problems, even when a company uses the same system to coordinate them. The comparison concerns field service management software used for company gear, rather than dedicated parts inventory software.
Quick Verdict
FieldPulse — best for growing residential teams scheduling shared HVAC equipment. Assignment Users put company gear on the dispatch schedule with conflict warnings, while optional Fleet Tracking adds vehicle GPS. It is a practical fit for coordinating crews and equipment, although a scheduling reservation is different from a serialized custody log.
ServiceTitan — strongest for large operations tracking vehicles and high-value equipment. Fleet Pro combines vehicle telematics with hardware-based asset location, geofences, maintenance, and organizational controls. It brings the most complete enterprise tracking route here, with a separate subscription, device setup, and substantial platform overhead.
BuildOps — best for complex commercial fleets. Fleet+ connects live truck locations, job assignments, geofenced timecards, and vehicle maintenance with commercial operations. This service management module’s strongest case is coordinating fleet movement across substantial projects, rather than treating customer asset histories as company-tool records.
Jobber alongside Ply — a useful route for small teams needing individual tool accountability. Jobber remains the approachable service management platform; Ply supplies separate serialized tool, assignment, location, and status records. Vehicle GPS uses another integration, so the configured system involves more than the Jobber subscription.
Housecall Pro — a straightforward residential option with separate tool and fleet services. Ply supplies durable-tool controls, while Force-powered Vehicle GPS Tracking adds truck locations for $20 per vehicle per month. The result can suit an existing HCP team, but the tool and vehicle workflows span partner products.
FieldEdge — an integration route for an established service fleet. FleetSharp adds vehicle and equipment GPS, while a separate Ply workspace provides durable-tool management. Existing users can extend their operating system, but the combined cost and partner dependencies weaken its appeal as a new purchase just for equipment tracking.
QuoteIQ — better for inventory locations and employee visibility than dedicated tool custody. Its native inventory records track products across warehouses, trucks, and employees, while EmployeeHub follows phone locations. Those functions help coordinate work but do not make an employee’s location a live position for a recovery machine.
HVAC Equipment Tracking Platforms Compared
Prices are US-dollar published, observed, or reported figures. A base field service subscription, a tool-management package, vehicle hardware, and a fleet subscription are separate purchasing components.
| Platform | Best fit | Equipment tracking strengths | Main drawbacks | Pricing basis |
|---|---|---|---|---|
| FieldPulse | Growing residential teams and light commercial work sharing gear | Equipment reservations through Assignment Users; schedule visibility and conflict warnings; optional vehicle GPS | Scheduled assignment is different from custody, condition, or live tool telemetry | Observed around $99/user/month; Fleet Tracking priced separately; equipment uses Assignment User rather than a full software license |
| ServiceTitan | Large organizations protecting vehicles and high-value equipment | Fleet Pro vehicle GPS, asset trackers, geofences, maintenance, device and user controls | Separate Pro subscription and hardware; heavy implementation | Reported base $250–$500/technician/month plus implementation; Fleet Pro and devices additional |
| BuildOps | Complex commercial fleets and project delivery | Fleet+ truck GPS, geofenced timecards, vehicle maintenance, dispatch/job context | Fleet focus does not establish a small-tool checkout system | Custom pricing; reported base around $299+/user/month; Fleet+ separate |
| Jobber | Small teams retaining a simple service platform | Ply Tools for serialized units, users, jobs, locations, and status; FleetSharp or Force for vehicle GPS | Tool records live in Ply; vehicle tracking requires another partner setup | Jobber plan plus a separate Ply workspace and fleet subscriptions/hardware |
| Housecall Pro | Existing residential teams wanting a clear truck-tracking add-on | Force vehicle GPS; Ply durable-tool records | Several connected services; industry-based signup premium | HVAC signup displayed $79/month versus $59 for handyman; Vehicle GPS $20/vehicle/month; Ply separate |
| FieldEdge | Established fleets extending their current software | FleetSharp vehicle/equipment GPS; separate Ply tool route | Integration, device, and setup costs; weaker new-buyer value | Reported base $100–$125/user/month plus $500–$2,000 setup; partner services extra |
| QuoteIQ | General service teams needing inventory and employee locations | Native product transactions by truck/employee; EmployeeHub phone GPS | Product movement and phone tracking are different from dedicated tool custody or tool-mounted GPS | Elite $299.99/month for ten users; Max $699.99 for twenty, for new subscriptions |

In October 2026, the Tools in the Wild editorial team assessed BuildOps, FieldEdge, FieldPulse, Housecall Pro, Jobber, QuoteIQ, and ServiceTitan using our desktop and iPhone account observations alongside current official documentation. We considered HVAC businesses ranging from solo operators to companies with roughly 50 technicians.
For this company-equipment comparison, I evaluated the record and workflow behind each tracking claim. Hardware-based fleet and asset capabilities were assessed through the vendors’ device, installation, and product documentation.
I focused on six practical questions:
- Identifying the equipment: Can a business distinguish two similar recovery machines, rather than record only a product quantity?
- Assigning and reserving it: Does the system show who has the item, its current job or truck, or its next scheduled booking?
- Recording availability and condition: Can staff separate available, in-use, damaged, missing, and retired equipment in the actual workflow?
- Finding its location: Is the location a manual assignment, a scan, a technician’s phone, or a tracker mounted to the asset?
- Working in the field: Can technicians locate the correct record and update a handoff from a phone without relying entirely on the office?
- Understanding the configured cost: Which functions belong to the core FSM, a paid module, an integration, or tracking hardware?

How Does Company Equipment Tracking Work?
Company equipment tracking software records the tools, machines, and vehicles used to deliver HVAC services. A useful system connects an identifiable item with its current responsibility, usable condition, location, and availability for future work.
Tracking Data Fields
For a vacuum pump, the record may need an internal ID or serial number, the assigned technician, truck or job, a condition note, and the return or next reservation. For a van, live location, mileage, maintenance reminders, and driver information can matter more. These workflows overlap, but they require different data.
HVAC inventory management software shares purchasing and job context, but a stock quantity alone does not establish tool custody. An inventory management system needs the correct type of record for the object being tracked. Inventory tracking, customer management, and equipment custody can share jobs without becoming the same workflow.
Tool Custody, Equipment Reservations, and GPS
Custody tracking records who holds an individual tool and where it was assigned. Reservations show when a shared machine is promised to a job. GPS tracking receives location data from a device or phone. None automatically supplies the other two.
A barcode can open the record for Recovery Machine 02, but it cannot transmit the machine’s location after it leaves the site. Real-time visibility from a GPS device can show a trailer on a map, but the office still needs to know whether its contents are complete and ready to use. A calendar booking can prevent a double reservation while depending on technicians to make the physical handoff.
HVAC Inventory Software vs. Company Tool Records
The customer’s furnace remains at the service property and accumulates maintenance, repair, warranty, and replacement history. That belongs in customer asset management.
A box of capacitors or copper fittings is stock that gets used and replenished. That belongs in parts inventory management.
The contractor’s recovery machine moves between jobs and technicians, then returns to service. This guide evaluates that reusable-company-equipment workflow, alongside the vehicles transporting it.
HVAC Equipment Tracking Features Compared
A positive entry below identifies the actual route to the capability. Partner functions remain partner functions, even when the FSM opens their data or connects jobs to them.
| Capability | FieldPulse | Jobber | ServiceTitan | QuoteIQ | BuildOps | Housecall Pro | FieldEdge |
|---|---|---|---|---|---|---|---|
| Quick verdict | Strong practical equipment reservations | Simple FSM with Ply tool route | Deepest enterprise vehicle/asset tracking | Inventory and employee visibility | Strong commercial fleet connection | Straightforward partner-based residential fleet setup | Extension for existing fleet |
| Reusable tool record | Company gear represented as Assignment Users for scheduling | Ply Tools serialized units | Fleet Pro hardware-tracked assets | Individual product workaround for serial identification | Fleet+ vehicle records; customer asset records are separate | Ply Tools serialized units | Separate Ply Tools workspace |
| Person/job/location responsibility | Equipment assigned with technician to scheduled jobs | Ply users, jobs, warehouses, trucks | Fleet Pro asset/vehicle/device/driver setup | Inventory locations can be trucks or employees | Vehicles tied to jobs and dispatch | Ply custody/location plus Force vehicles | Ply tools plus FleetSharp vehicles/assets |
| Availability control | Schedule blocks and conflict checking | Ply available/in-use/status records | Fleet and hardware status; organizational controls | Inventory quantities and transactions | Fleet availability and vehicle maintenance | Ply tool status; Force vehicle status | Partner tool and fleet records |
| Live physical location | Optional Fleet Tracking for vehicles | FleetSharp/Force hardware for vehicles | Fleet Pro vehicle and asset trackers | EmployeeHub tracks phones | Fleet+ vehicle GPS, updated every 60 seconds | Force Vehicle GPS | FleetSharp device integration |
| Important limit | Calendar assignment is not a tool-mounted signal | Native Jobber GPS waypoints are not equipment custody | Hardware, permissions, configuration, and Pro subscription | A tracked employee does not prove the tool is with them | Commercial customer asset history is not a tool checkout record | Tool and vehicle functions span separate partners | QuickBooks stock is different from equipment GPS |
FieldPulse: Best for Scheduling Shared HVAC Equipment
Verdict: FieldPulse is the most practical starting point here for a growing residential HVAC company whose main problem is coordinating shared gear with technician schedules. It also supports light commercial work without requiring enterprise fleet administration.
An installation team may need a recovery machine and vacuum pump for the same morning. Scheduling the technician alone does not tell the office whether the equipment is available. FieldPulse’s approach places the gear alongside the people on the dispatch schedule.
Main trade-off: This is a reservation and assignment workflow. A scheduled booking does not prove a technician physically collected or returned the machine, and it is different from Ply’s serialized custody records or ServiceTitan’s hardware tracking.
Shared Gear for Residential HVAC Service Operations
FieldPulse’s company-equipment documentation distinguishes customer Assets from company equipment. Company gear uses an Assignment User profile, which is assigned to a job alongside the technician. Its time blocks appear on the schedule, and conflict checking warns about overlapping bookings.
For residential jobs using shared HVAC equipment, that supports a useful naming scheme such as “Equipment — Recovery Machine 02.” HVAC contractors can reserve the specific machine required for a replacement job instead of treating all recovery machines as interchangeable. FieldPulse says this uses an Assignment User rather than a full software license for each piece of gear.
For residential HVAC contractors, this can solve the practical conflict between two crews needing one machine. Inventory tracking shows whether parts are stocked; the equipment booking shows whether shared gear is reserved. Both records support service calls, but they answer different questions.
That model suits equipment that must be reserved before the crew leaves. It does not turn the equipment profile into a person using the app: the Assignment User role itself has no app access. Technicians and managers use their normal accounts to work with the associated jobs.
Vehicle Location and Value
FieldPulse Fleet Tracking is a separate paid capability. It puts vehicle GPS on the schedule map, with minute-by-minute location updates, geofences, driving information, and maintenance reminders. A vehicle tracker supplies a different kind of evidence from a scheduled equipment assignment.
The subscription observed in our broader review was around $99 per user per month before discounts, with Fleet Tracking priced separately. Its value is strongest when the HVAC business also uses FieldPulse’s scheduling, jobs, inventory management, and customer records. Customer management and equipment scheduling can then share useful job context. For residential HVAC businesses adding light commercial work, these connected business processes provide a manageable path beyond a simple calendar. For an HVAC business already using FieldPulse as field service software, equipment reservations sit beside dispatch instead of in a second calendar. The customer Asset feature remains the place for installed-unit warranties and service histories.
ServiceTitan: Best for Large Fleets and High-Value Equipment Tracking
Verdict: ServiceTitan provides the strongest enterprise tracking route in this comparison when the business needs both vehicle data and hardware-based location for high-value company equipment. Fleet Pro is a substantial operational system, rather than a calendar workaround.
That depth makes sense for large HVAC companies in commercial HVAC service moving vehicles, trailers, and expensive equipment across several branches or commercial sites. This system is excessive for an owner-operator whose entire requirement is recording which technician borrowed a pump.
Main trade-off: Fleet Pro requires its own subscription, compatible devices, configuration, and ownership of the fleet process. ServiceTitan’s base FSM subscription does not by itself create live equipment telemetry.
Service Management, Vehicles, and Hardware-Tracked Assets
Fleet Pro supports vehicle location, equipment movement, geofences, driving information, and maintenance. Its long-life battery asset tracker can report the location of stationary and moving company assets. Device setup gives the tracked asset a recognizable name on the live map.
For commercial HVAC work, a tracker mounted to a shared trailer provides direct location evidence that a technician’s phone does not. The installation instructions also matter: the device needs suitable placement and signal reception. A live-map feature still depends on its device reporting successfully.
Fleet Pro’s vehicle maintenance workflows include reminders and service entries. Driver, vehicle, device, and access settings connect the information with the staff responsible for using it. These are separate from ServiceTitan’s Installed Equipment records for customer-owned HVAC systems. The broader field service management platform also supports inventory management and job costing, but stock data and financial allocations should remain distinct from a tracker’s reported position.
Price and Fit
Reported base subscriptions were approximately $250–$500 per technician per month, with implementation reported from $5,000 to $50,000 or more. Fleet Pro and tracking hardware add to that configured cost; Fleet Pro does not publish one universal package price.
I would choose this depth when a large company already needs ServiceTitan’s structured operating controls and has a specific fleet or high-value-equipment problem to solve. For simpler equipment bookings, FieldPulse is more proportionate. HVAC contractors should assess the entire service management workflow rather than buy enterprise HVAC software for one equipment feature. For individual small-tool custody in a lighter service platform, the Ply route deserves attention.
BuildOps: Best for Commercial HVAC Fleets
Verdict: BuildOps is the strongest fit for a commercial HVAC contractor that wants fleet movement connected with dispatch, timecards, and complex job delivery. Fleet+ supports the vehicles carrying crews and equipment between commercial sites.
Commercial HVAC contractors may coordinate rooftop work, several crews, access windows, and phased installations. For commercial service and commercial HVAC work, vehicle information is more useful when the dispatcher can see it alongside the work being scheduled.
Main trade-off: Fleet+ is a paid fleet module. Its commercial customer asset-management tools and nameplate scanning concern serviced equipment, so they should not be counted as proof of small-tool custody or checkout.
Fleet+ and Commercial Operations
BuildOps Fleet+ displays truck locations on the dispatch map, with updates every 60 seconds. It connects vehicles with jobs, geofenced timecard prompts, and vehicle maintenance. Azuga supplies the GPS, safety, and maintenance technology; Coast supports fuel-card controls.
That connection helps distinguish a crew’s planned assignment from the location of its vehicle. A dispatcher can review which van is near an urgent commercial call while keeping the job and timecard context in the same operating platform.
The commercial HVAC equipment-management question still needs to match the object being tracked. A van location does not show whether a particular recovery machine is inside it. Tool responsibility should have an explicit record when several crews share gear. Commercial HVAC contractors also need project management and job costing around equipment use. A cost code for rented machinery can be separate from the cost code for installed materials; neither classification establishes the current holder of a company-owned tool. Job costing explains the financial allocation, while custody explains responsibility for the actual unit.
Price and Value for Commercial Service
BuildOps uses custom pricing, with reported base figures around $299 or more per user per month, depending on headcount and modules. Fleet+ is separate from the core platform configuration.
The cost is most defensible when commercial contractors also need commercial projects, crew coordination, purchasing, financial controls, and documentation. Buying that entire operating system solely to find a few shared pumps would be difficult to justify. Commercial HVAC teams gain more from the combined service management, project, and fleet workflow than from a map in isolation. Commercial contractors should retain that broader context when comparing HVAC software.
Jobber: A Simple Service Platform With a Ply Tool-Tracking Route
Verdict: Jobber used alongside Ply is a useful configuration for a small HVAC team that likes Jobber’s simple service workflow but needs individual tool accountability. The important distinction is that Ply supplies the durable-tool records in its own workspace; they are not native Jobber inventory, and the material integration does not mean every tool-assignment field appears in Jobber.
Jobber can remain the field service management platform for service jobs and customer communication while the team records tools in Ply. This can be more appropriate than replacing an otherwise suitable service platform just to add a tool register.
Main trade-off: HVAC contractors are maintaining connected products. Tool possession and condition live in Ply, while live vehicle tracking uses a separate fleet integration.
Tool Custody and Purchase Orders in Ply
Ply Tools separates durable company equipment from consumable material stock. Tool groups can contain individually identified units, with barcodes, users, job or location assignments, and status. A damaged tool can be taken out of usable circulation, and transfers record responsibility among a warehouse, truck, or job.
For two similar vacuum pumps, the unit record matters more than a quantity of “2.” A technician needs the identity and assignment of the actual machine. Purchase orders also document how the tool entered the business. Ply connects tool purchasing with its tool purchase-order workflow, including serial and warranty information.
Ply’s material cycle-count feature does not currently extend to Tools. This is an important inventory control boundary: an inventory management feature designed for replenishable stock does not automatically audit reusable equipment. A contractor can compare the physical tools with each location’s Tools list, but should not treat material stock-count automation as a tool-audit feature.
Vehicle Tracking and Cost
Jobber supports FleetSharp and Force Fleet Tracking integrations on eligible plans and in their supported regions. These use tracking hardware and partner subscriptions. Native phone-based location waypoints are a different feature from continuously locating a vehicle or tool.
The configured cost includes the Jobber plan, the required Ply package, and any fleet service and devices. As a reference, Jobber Connect’s standard one-user price is $99 per month billed annually or $139 monthly; the five-user option is $149 or $199, respectively. That is the FSM price, not a complete tool-and-GPS package. Jobber’s mobile app and customer communication remain appealing for straightforward residential service businesses. HVAC contractors can retain familiar field service software while using a separate tool workspace for the missing accountability.
Housecall Pro: Straightforward Residential Fleet Tracking With Partner Tool Records
Verdict: Housecall Pro can suit a residential HVAC team that wants accessible vehicle tracking without changing its everyday service workflow. Ply adds a separate durable-tool route when the company needs more than knowing where the van is.
This is a practical extension for residential HVAC contractors already comfortable with Housecall Pro. It is less compelling when the purchasing goal is one native system for every tool, fleet, and operational record.
Main trade-off: Vehicle data and tool custody rely on different partners, with some fleet administration occurring outside Housecall Pro. Its customer Property Profiles concern installed equipment and do not serve as a company-tool register.
Vehicle GPS and Tool Responsibility
Housecall Pro’s Vehicle GPS Tracking uses Force hardware installed in the trucks. Live vehicle locations appear on the HCP map. Force’s dashboard handles additional trip, safety, vehicle-maintenance, and geofence functions.
For shared tools, a separate Ply workspace provides durable-tool records alongside its HCP material integration. That connection does not mean every tool-assignment field automatically synchronizes into HCP. Tool identity, assigned user, location, and status should be recorded there rather than inferred from the van’s position. A truck can reach the installation on time while the required recovery machine remains at the shop.
That separation is important for HVAC teams outfitting a new service van. Parts stock, durable tools, and the van itself should each have the appropriate record, rather than being combined into one generic materials list. For home service businesses, that separation keeps an HVAC inventory system from treating every company tool as a consumable. Inventory management software may prepare purchase orders, while the tool record continues after those purchase orders are received.
Price and the Industry Signup Premium
The published Vehicle GPS price is $20 per vehicle per month with no contracts. Ply is a separate subscription, and its tool package is distinct from HCP’s base price.
In our October 2026 signup comparison, HVAC, plumbing, and electrical displayed $79 per month, versus $59 for handyman, without an identifiable difference in product configuration or functionality. That industry-based premium adds cost without an identifiable feature gain in the signup comparison. It should be included when assessing the complete HCP-and-partner configuration. HVAC companies and other home service businesses should compare the configured field service software, inventory management, and vehicle costs together. The customer communication may be simple, but the equipment handoff still needs to be reliable.
FieldEdge: An Integration Option for an Established Fleet
Verdict: FieldEdge is worth evaluating as an extension of an established service operation, rather than my first choice for a new equipment-tracking purchase. FleetSharp supplies a vehicle and equipment GPS route; a separate Ply workspace can manage durable-tool records.
An HVAC business already using FieldEdge may gain more from adding the relevant tracking workflow than replacing its customer, dispatch, and accounting processes. New buyers should compare the total configuration against a simpler or more directly suitable alternative.
Main trade-off: Tool management, physical tracking, and the FSM are connected services with separate responsibilities and costs. QuickBooks inventory integration should not be presented as the source of vehicle GPS or technician tool custody.
FleetSharp and Ply
FieldEdge’s FleetSharp partnership covers vehicle and asset locations, driver information, and vehicle maintenance. It uses tracking devices to bring location information into the service workflow.
Ply’s current integration list includes FieldEdge for inventory and purchasing. Durable tools are managed in Ply’s separate Tools workspace, where users record who holds a recovery machine, its job or truck, and whether it remains usable. The material connector should not be treated as automatic synchronization of every tool-assignment field into FieldEdge. That is a different function from FieldEdge’s native customer-equipment history, which records the units the company services at a customer’s address.
For the office, the useful distinction is between knowing where a van is and knowing whether the correct tool was handed over. Both may matter, but neither should be substituted for the other. HVAC contractors using established accounting systems should preserve the separation between inventory data, job costing, and tool responsibility. A financial entry records spending, rather than proving that a technician returned the machine. Job costing and customer satisfaction benefit from accurate records, but each needs its own supporting process.
Price and Fit
Reported FieldEdge subscriptions were around $100–$125 per user per month, with $500–$2,000 setup. Partner fleet, tool, and device costs add to that configuration.
Field service businesses already using FieldEdge may reasonably value continuity. For a new residential company, FieldPulse offers clearer shared-equipment scheduling, while a lighter Jobber-plus-Ply configuration can suit straightforward service operations needing tool accountability. Large organizations have stronger enterprise reasons to consider ServiceTitan.
QuoteIQ: Inventory and Employee Visibility, With Limits for Company Tools
Verdict: QuoteIQ offers useful native visibility into products and employees, but it is less suited to this article’s durable-equipment objective than a dedicated custody workflow or hardware-based asset tracking.
HVAC contractors can record inventory assigned to a truck or employee and use EmployeeHub to see staff locations. That supports day-to-day coordination. It does not establish that the listed recovery machine is physically with the person whose phone appears on the map.
Main trade-off: Inventory movement, individual tool responsibility, and live equipment location are separate capabilities. A product-name serial-number workaround is less structured than a durable tool’s own unit record.
Inventory Control and Phone GPS for HVAC Companies
QuoteIQ Inventory uses product records, quantities, locations, and transactions. Locations can represent warehouses, trucks, or employees. Its documented serial-identification workaround is to put the serial number in a product’s name or description and create a separate product for a high-value unit.
EmployeeHub follows employees through phone-based GPS while they are clocked in. It supplies staff context rather than a signal sent by a recovery machine or pump. QuoteIQ’s built-in inventory management supports stock locations and inventory tracking; real-time inventory tracking is a different capability from live physical tool location. The mobile app should make the source of the location clear.
Our earlier mobile estimating tests also recorded frequent 6–10-second loading delays and errors when working offline. Those observations concern the tested estimating workflow, not a physical test of equipment-location devices. They remain relevant when choosing one app for the wider field operation.
Price and Fit
For new subscriptions, inventory and EmployeeHub are included on Elite at $299.99 per month for ten users and Max at $699.99 for twenty. Existing subscribers can retain earlier rates while staying on the same plan.
QuoteIQ can be an appealing field service management software package for a team using its broader functions. For company equipment, I would prioritize the required form of tracking first: reservations in FieldPulse, serialized custody through Ply, or hardware-based location in a fleet system.
How to Choose Tracking for Your HVAC Business
When comparing HVAC management software, start with the loss or delay the business is trying to prevent. If technicians routinely reserve the same machine for two jobs, the priority is scheduling. If tools disappear between vans, the priority is unit-level responsibility and handoffs. If expensive equipment moves between sites without the office knowing, a hardware tracker may be appropriate. The right HVAC software should give the sales team usable equipment availability before an installation date is promised.
Assigning Clear Equipment Identity
Give each reusable item a clear identity. “Vacuum pump” is a category; “Pump 03” identifies the item being assigned, repaired, or returned. Decide what the technician must record when the item changes hands and what happens when it is damaged. A tool cannot remain available for tomorrow’s job merely because its stock quantity is still one. HVAC companies need the inventory process and the equipment handoff to agree without confusing them. Warehouse managers can count a unit correctly while the dispatcher still lacks its usable status.
Fleet Tracking and Assignment
For an HVAC business fleet, separate planned assignments from reported vehicle location. GPS data, mileage, maintenance reminders, and device health are useful only when the company maintains the correct driver, vehicle, and hardware relationships. The office also needs a process for a tracker that stops reporting. Mobile access helps HVAC technicians review the record from the field, while the office owns device and assignment updates in its field service management platform.
Comparing HVAC Software, Modules, and Integrations
Native HVAC software does not automatically mean complete. FieldPulse’s equipment reservation is native to its scheduling workflow, while its live fleet service is additional. Jobber, Housecall Pro, and FieldEdge users can manage durable tools in a separate Ply workspace alongside the material integration. That connector does not establish that every serialized tool or assignment field synchronizes back to the FSM. ServiceTitan Fleet Pro and BuildOps Fleet+ add specialized fleet depth at additional cost.
Purchase orders can document how company tools were acquired, while the assignment record continues through their working life. Job costing explains the financial allocation; custody and availability are separate business processes.
For context, our clean-start Ply inventory inquiry for one warehouse and three trucks produced a $280 monthly Starter quote. A smaller warehouse-and-one-truck configuration was around $140 monthly. Those were stock-management configurations; they should not be treated as a guaranteed price for every Tools package, integration, or fleet requirement. A vehicle GPS subscription is another component.
HVAC contractors need a useful comparison that follows one item from purchase to assignment, use, return, damage, and replacement. It then checks the people who maintain the record. A feature-rich system is ineffective if technicians cannot find the correct unit or the office leaves damaged gear available for dispatch. The best HVAC software configuration supports these business processes without adding unnecessary steps to service calls.
Frequently asked questions
What is company equipment tracking used for in HVAC?
Company equipment tracking is used to organize company-owned tools, shared machines, and vehicles. It can record the identity, responsible technician, location, condition, and availability of an item. HVAC contractors should choose the record that matches the equipment and the delay they need to prevent. The exact workflow may be a reservation, a custody record, or hardware-based GPS tracking.
Is company equipment tracking the same as HVAC asset management?
Company equipment tracking and customer HVAC asset management serve different records in this comparison. Company tracking follows the contractor’s reusable recovery machines, pumps, gauges, and vans. Customer asset management follows installed furnaces, condensers, and other units with service, warranty, and replacement history.
Which software is best for reserving shared HVAC equipment?
FieldPulse is the strongest practical option here for reserving shared HVAC equipment alongside technician schedules. Its Assignment User approach places specific gear on jobs and warns about conflicting bookings. The reservation still needs a physical handoff process.
Can Jobber track which technician has a recovery machine?
Jobber can be paired with Ply to track which technician has an individual recovery machine. Ply’s Tools module records serialized units, users, jobs, locations, and status. Its mobile app supports the separate tool workflow alongside Jobber’s service management. That custody workflow takes place in Ply rather than being native Jobber inventory.
Can HVAC techs update equipment records from their phones?
Yes, HVAC techs can use mobile workflows to work with equipment assignments, inventory records, or fleet information, depending on the configured platform. The important task is identifying the actual unit and recording the handoff. Mobile access should help HVAC technicians update the equipment record without interrupting service calls. A mobile map showing the technician does not automatically identify the tools with them.
Does GPS tracking show which tools are inside a service van?
No, GPS tracking of a service van does not by itself show which tools are inside it. The vehicle tracker reports the vehicle’s position. Individual tools need a custody record, a scan or handoff process, or an appropriate tracker attached to the equipment itself.
Can ServiceTitan track company equipment as well as vehicles?
Yes, ServiceTitan Fleet Pro can track company equipment as well as vehicles using supported asset-tracking hardware. Its asset devices are separate from customer Installed Equipment records. Fleet Pro requires a subscription, configured access, and suitable installed devices.
Does a barcode provide live equipment location?
No, a barcode does not provide live equipment location. It identifies an item when someone scans or opens its record. Live location requires a reporting device or another location source; custody and last-seen records depend on the recorded handoff or observation.
Can equipment software help manage damaged HVAC tools?
Yes, equipment software can help manage damaged HVAC tools when its workflow records the specific unit and removes it from usable availability. Ply Tools, for example, includes a Damaged status. A quantity adjustment alone does not explain who has the item, its repair needs, or whether it can be scheduled safely.
What does Housecall Pro vehicle tracking cost?
Housecall Pro Vehicle GPS Tracking costs $20 per vehicle per month, with no contracts in its published offer. It is additional to the HCP subscription. Ply tool management is a separate service, and its tool records should not be confused with Force’s vehicle locations.
Is the cheapest FSM subscription the cheapest equipment tracking setup?
The cheapest FSM subscription is not necessarily the cheapest equipment tracking setup. The usable configuration may also need tool-management software, fleet subscriptions, devices, installation, and staff time to maintain the records. Compare the workflow the business will actually use, including which functions occur in partner products.
Can technicians manage inventory and tools in one register?
Technicians can manage inventory and tools in one register only if it supports the reusable-item workflow the business needs. Consumable quantities and reorder points are different from serialized tools, assignments, usable status, and return history. Ply keeps Tools separate from Materials; QuoteIQ’s inventory product records provide a different level of structure.
How should HVAC companies move equipment records from legacy systems?
HVAC companies should move equipment records from legacy systems by identifying each reusable unit, its current holder, location, and condition first. Importing a quantity list into HVAC inventory software does not establish custody. Preserve purchase orders and warranty documents, reconcile the existing tools physically, and assign responsibility for future updates.
How does inventory management differ from a company-tool handoff?
Inventory management records material quantities, replenishment, and movement. A company-tool handoff records who receives a reusable unit and whether it is usable. HVAC inventory management software can support stock levels, maximum and minimum quantities, and low stock alerts while a separate tool workflow records individual responsibility. The inventory process should retain that distinction.
Can equipment planning support customer communication?
Equipment planning can support customer communication by showing the sales team whether the crew and required gear are available before promising an installation date. That can support better customer service and customer satisfaction, but the actual handoff must match the reservation. Residential service businesses and other service contractors face the same problem when several crews share expensive equipment.
What is the difference between scanning a tool and tracking its location?
Scanning a tool identifies the unit at the moment of the scan, while location tracking follows a reporting source. QR code scanning, barcode labels, and custody records can help the mobile app open the correct item. They do not create a live GPS signal. HVAC contractors should establish which user action updates the record and what happens when a tool is moved without a scan.
How does inventory connect with company-equipment records?
Inventory connects with company-equipment records through purchasing, job references, and location information. Purchase orders document the items bought; stock levels describe consumable quantities; a tool record identifies responsibility for reusable equipment across multiple locations. A shared inventory system or mobile app does not mean every partner field synchronizes automatically.
What is the best HVAC software for company equipment?
The best HVAC software for company equipment depends on the tracking problem. FieldPulse suits shared-equipment scheduling, ServiceTitan Fleet Pro has the deepest enterprise hardware route, and Ply supplies a dedicated tool-custody workspace alongside lighter FSM platforms. Customer communication still belongs to the service workflow; a tool record establishes which company unit is available and who has it.
