HVAC BOOKING PORTAL SOFTWARE GUIDE
Best HVAC Booking Portal Software
HVAC booking portal software gives a homeowner or property manager a direct path from “I need service” to a usable appointment or service request without waiting for a CSR to answer the phone. This comparison evaluates how FieldEdge, FieldPulse, Housecall Pro, Jobber, and ServiceTitan publish booking experiences, present services and prices, qualify addresses, collect job details and photos, expose real availability, match technicians or crews, create records, collect deposits, send confirmations, preserve attribution, and support later changes. It also separates a lead-facing booking portal from an existing-customer account portal and identifies when a capability is native, plan-gated, a first-party add-on, or an integration.

QUICK VERDICT: BEST HVAC BOOKING PORTAL SOFTWARE
RECOMMENDED
Housecall Pro
Best overall HVAC booking portal software
- Best for: Residential HVAC businesses that want the broadest practical mix of website and Google booking, customer-visible services, pricing logic, live employee availability, service-area screening, automatic job creation, and payment collection without buying an enterprise scheduling add-on.
- Key strengths: Hosted links and website modal embedding; Reserve with Google and Google LSA; flexible, fixed-time, and Manual Booking; separate Auto Scheduling and Point-of-Contact manual dispatch; employee availability; ZIP-code service areas; dynamic Pricing Forms; deposits or full payment for Jobs; source attributes; exact-match customer recognition; confirmations; and redirects.
- Important limitation: Housecall Pro does not document direct customer cancellation or calendar rescheduling after online booking; Customer Portal can only send a change request when messaging prerequisites are met. The booking form documents troubleshooting questions but not customer file uploads or a Jobber-style multi-page builder. Exact first name, last name, phone, and email matching can create near-duplicates.
- Package note: Online Booking begins on Basic under the current pricing page. Booking-time card payment uses Housecall Pro payments. Pricing Forms are a native HCP feature, but the plan matrix does not assign them to a tier; include that entitlement in the quote rather than equating it with Essentials' separate “flat-rate pricing” label.
RECOMMENDED
FieldPulse
Best for protecting real technician and crew capacity
- Best for: Small and midsize HVAC contractors that need an embedded or hosted portal to respect employee schedules, required crew size, skills, service duration, pre/post buffers, lead time, and booking windows.
- Key strengths: Request-only and direct-scheduling modes; Smart Scheduler availability; one- or multi-person crew requirements; eligible-employee and tag-based skill rules; service categories; custom questions; file and photo upload; customer and address intake; hosted and iframe publishing; and optional deposit or full-payment collection.
- Important limitation: FieldPulse's simpler General Availability schedule does not check the live calendar, so serious capacity protection requires Smart Scheduler configuration. Payment collection also depends on FieldPulse Payments, and the first acknowledgement for a manually reviewed request is not a confirmed appointment.
- Package note: Booking Portal is a native FieldPulse feature enabled from Features & Plugins. FieldPulse's Booking Portal guide documents the service, availability, scheduling, form, embed, and payment settings; online deposits and full payment use FieldPulse Payments.
RECOMMENDED
ServiceTitan
Best enterprise HVAC booking and capacity-management platform
- Best for: Large, multi-brand, multi-business-unit, or high-volume HVAC organizations that need sophisticated capacity governance, brand-specific schedulers, campaign attribution, abandoned-session recovery, memberships, payments, and enterprise reporting.
- Key strengths: Real-time dispatch availability; business-unit, job-type, zone, technician, skill, and capacity logic; website, social, Reserve with Google, and agentic-SMS entry points; configurable questions and media capture; multiple schedulers and brands; payment and membership capture; blocked dates and buffers; abandoned-session handling; campaign/UTM attribution; and funnel/session reporting.
- Important limitation: ServiceTitan has the highest ceiling but not the simplest buying or implementation path. Scheduling Pro is a separately licensed Pro product, depends on disciplined job-type, business-unit, capacity, and campaign configuration, and can create real records during testing if preview procedures are not followed carefully.
- Package note: Scheduling Pro is a first-party premium product rather than a universal base-plan portal. ServiceTitan account configuration and permissions are required; its Scheduling Pro Home and onboarding guides document the operating rules.
Jobber
Strongest form-first option for requests and assessment bookings
- Best for: Contractors that want a polished multi-page intake form and need to choose between collecting a request, letting the customer book an assessment, or creating a directly scheduled one-off job.
- Key strengths: Multiple booking forms; custom sections and required questions; image uploads; lead-source capture; service-area screening; hosted, embedded, and Client Hub placement; bookable services with duration, price, quantity, and eligible staff; Google Analytics; Google Business Profile booking; Google Local Services Ads integration; and structured request, assessment, and job outcomes.
- Important limitation: Assignment is random among eligible available team members rather than optimized for skills, geography, or crew composition. A form can contain an assessment booking or job booking—not both—and Jobber does not document deposits or full payment inside the direct-job booking flow.
- Package note: The current Jobber pricing matrix includes request forms and online booking on Core and every higher tier, although help articles still use the generic phrase “select plans.” Google Business Profile booking is native; Google LSA is an integration; automated reminders start on Connect; and Receptionist is a separate add-on included with Plus.
FieldEdge
Conditional fit for a newer request-based online booking workflow
- Consider if: You otherwise prefer FieldEdge and need a customer-facing web path for requesting appointments, with office staff retaining control of the final scheduling workflow.
- Key strengths: A first-party Online Booking integration introduced in 2026; hosted and embedded publishing; service categories and types; per-form timeslots; unavailable periods; availability matching based on configured business hours, resources, and service constraints; privacy-masked matching for prior customers; and a separate Consumer Management Portal.
- Important limitation: The customer selects an available appointment but the documented submission remains a request. FieldEdge provides less detail about the resource algorithm, crew or skill matching, booking-time deposits, intake media, self-management, and conversion analytics than the leaders in this comparison.
- Package note: Online Booking is a distinct feature from the FieldEdge Consumer Management Portal. The Consumer Management Portal is included with Elite and separately quoted on Select and Premier under the current plan table; buyers should have FieldEdge map Online Booking and the customer portal separately in the proposal.
How We Tested
In August 2026, the Tools in the Wild editorial team evaluated FieldEdge, FieldPulse, Housecall Pro, Jobber, and ServiceTitan against the same HVAC booking scenarios: publishing a booking link, presenting a repair or maintenance service, rejecting an out-of-area address, collecting diagnostic details, finding a valid slot, assigning the right capacity, creating a customer and job record, taking a deposit, sending confirmation, handling a later change, and preserving marketing attribution. We verified each workflow and package boundary against current vendor help centers, product pages, release notes, pricing pages, integration guides, and reporting documentation. The conclusions prioritize customer conversion and operationally safe scheduling rather than the mere presence of a web form. Vendors neither reviewed the article nor influenced its conclusions. Read our full editorial methodology.
Our Verdict
These products are not equally capable booking portals: Housecall Pro is the best overall choice for most residential HVAC contractors, while ServiceTitan is the enterprise capability leader.
Housecall Pro is the best overall HVAC booking portal for most small and midsize residential contractors. It combines hosted and embedded website booking, Reserve with Google, flexible appointment presentation, automatic or manual scheduling, employee availability, service-area ZIP codes, pricing forms, deposits or full payment, source tracking, confirmations, and native job creation in one accessible workflow. Its main weaknesses are limited customer self-management after booking and less elaborate diagnostic intake than the most form-driven alternatives.
FieldPulse is the strongest choice when protecting operational capacity is more important than maximizing acquisition channels. Its Smart Scheduler can account for the number of team members a service needs, eligible employees, tag-based skills, duration, buffers, lead time, and the existing schedule. It also supports request review, custom fields, attachments, and payment. Housecall Pro is the stronger overall portal because its Google and website distribution, pricing forms, and consumer checkout create a broader conversion system.
ServiceTitan is the enterprise winner. Scheduling Pro offers the broadest capacity, routing, branding, channel, attribution, recovery, payment, membership, and reporting controls in the comparison. It can support several brands, business units, zones, and job types while exposing real availability to the customer. It does not take the overall recommendation because it is a premium product with materially greater configuration and operating complexity than Housecall Pro.
Jobber is the strongest option when booking begins with structured qualification. A contractor can publish different forms for requests, assessments, and directly scheduled one-off work, then collect questions, images, services, lead source, and address information. That is a better intake experience than a basic “pick a time” widget. It is a conditional overall choice because assignment and capacity logic are simpler and booking-time deposits or charges are not documented, even though online booking itself is available on Core.
FieldEdge is a conditional option for buyers who already favor its broader HVAC operating system and only need a newer request-based booking path. Online Booking brings availability-matched appointment requests into the FieldEdge workflow, and the separate Consumer Management Portal adds useful post-sale account service. The available official documentation does not establish the same depth of granular resource logic, upfront payment, intake media, or booking analytics as Housecall Pro, FieldPulse, Jobber, or ServiceTitan.
For most residential HVAC buyers, start with Housecall Pro. Choose FieldPulse when two-person crews, skill rules, buffers, and schedule-aware capacity are the decisive concern. Choose ServiceTitan when enterprise scale and acquisition analytics justify a separately licensed implementation. Choose Jobber for form-first request and assessment workflows. Keep FieldEdge on the shortlist only when its narrower booking workflow is sufficient and the rest of the FieldEdge platform is already the stronger match.
WHICH HVAC BOOKING PORTAL SOFTWARE IS BEST BY USE CASE?
| Software | Overall position | Publishing channels | Services, intake, and pricing | Availability and assignment | Booking outcome | Payment at booking | Main package or workflow caveat |
|---|---|---|---|---|---|---|---|
| Housecall Pro | Best overall for most residential HVAC contractors | Hosted page; website modal; Reserve with Google; Google LSA | Services/categories; dynamic Pricing Forms; ZIP screening; tracking attributes | Employee availability; flexible or fixed starts; Auto Scheduling or Point-of-Contact manual dispatch | Scheduled or unscheduled Job/Estimate according to setup; no pending-approval state | Native deposit or full card payment through HCP payments for Jobs, not Estimates | No documented direct self-cancel/reschedule or booking-form file upload |
| FieldPulse | Best capacity-safe small/midsize option | Hosted URL; website iframe | Categories/services; custom fields; files/photos; price display; address details | Smart Scheduler supports required crew count, eligible people, skills/tags, duration, buffers, lead time, and schedule | Contact, request, or scheduled service; manual or automatic approval | Deposit or full payment through FieldPulse Payments | General Availability does not inspect the live schedule; use Smart Scheduler for capacity protection |
| ServiceTitan | Best enterprise | Website; social; Reserve with Google; agentic SMS; multiple branded schedulers | Diagnostic questions; files/media; services/job types; fees; terms; memberships | Real-time availability across BU, job type, zone, capacity, technician, shift, and skills | Lead, booking, or booked job according to scheduler settings | Payment and membership capture in Scheduling Pro | Scheduling Pro is a premium first-party product with significant configuration requirements |
| Jobber | Best form-first request and assessment option | Hosted link; inline website embed; Client Hub; Google Business Profile; Google LSA integration | Multi-page questions; images; lead source; ZIP service area; priced services, quantities, durations | Employee working hours and conflicts; optional travel-aware availability; random assignment within configured bookable team | Request, assessment booking, or one-off Job; assessment and Job booking require separate forms | Public booking does not charge a deposit; authenticated Client Hub can save a card without charging it | Current pricing includes booking on Core; no native membership product |
| FieldEdge | Conditional: Newer request-based booking | Hosted and embedded booking; separate existing-customer portal | Service categories/types; per-form timeslots; request fields; no comparable pricing builder documented | Matches configured business hours, resources, and service constraints; exact resource algorithm is less documented | Online-booking lead and availability-filtered appointment request; no documented automatic work order or confirmation | Consumer portal accepts invoice payments, which is not the same as a booking deposit | Online Booking is a first-party integration; Consumer Portal is Elite or quoted add-on |
Capability labels used in this article
- Native/core: Built into the main platform and available through ordinary feature configuration, although permissions or payment processing may still be required.
- Native/plan-gated: Built by the vendor but available only on specified subscription tiers.
- First-party add-on: Built by the platform vendor and licensed separately, as with ServiceTitan Scheduling Pro.
- First-party integration: A vendor-delivered connected module that is activated and administered separately from the core interface, as with FieldEdge Online Booking.
- Third-party integration: A booking or acquisition channel that connects another provider, such as Google Local Services Ads; separate terms or setup may apply.
- Request: The customer submits preferred work or time, but the office still confirms the appointment.
- Direct booking: The platform exposes an eligible slot and creates a scheduled operational record without a CSR re-entering the appointment.
- Adjacent customer portal: A signed-in or customer-specific area for invoices, quotes, history, or service requests; it should not be assumed to provide the same lead-conversion workflow as a public booking portal.

Jobber has the stronger true inline embed, while Housecall Pro uses a modal button and combines Reserve and LSA activity in one Google inbox. ServiceTitan reaches further at enterprise scale with social, Google, agentic SMS, and multiple branded schedulers, but that reach belongs to Scheduling Pro. FieldPulse covers the essential hosted and embedded paths, while FieldEdge centers on a web request integration.
Test Results
Housecall Pro and Jobber have comparable acquisition-channel breadth: both support hosted or direct booking, website placement, Google Business Profile booking, and Google LSA.
What we compared
- Housecall Pro — hosted and modal booking across website and Google
- Jobber — strongest form distribution, plus Google Business Profile and LSA
- ServiceTitan — broadest enterprise acquisition layer
- FieldPulse — solid hosted and embedded website booking
- FieldEdge — newer web request portal, separate account portal
Housecall Pro — hosted and modal booking across website and Google
Native/core online booking; Reserve with Google and Google LSA are connected acquisition channels. Housecall Pro supplies a hosted URL for email, social, advertising, and website calls to action. Its embed code creates a button that opens the HCP-hosted flow in a modal. Reserve with Google connects the form to an eligible Google Business Profile; Google LSA is separate and requires the contractor’s eligible paid LSA account. See Online Booking, Reserve with Google, and Google LSA.
Housecall Pro also lets the business append tracking attributes to booking links and redirect the customer to a chosen page after submission. That makes the portal usable as a conversion endpoint for several campaigns, not just a generic “book now” button.
KEY FINDINGS
- Housecall Pro supplies a hosted URL for email, social, advertising, and website calls to action.
- Its embed code creates a button that opens the HCP-hosted flow in a modal.
- Reserve with Google connects the form to an eligible Google Business Profile.

Jobber — strongest form distribution, plus Google Business Profile and LSA
Native/core; Google Business Profile booking is native and Google LSA is an integration. A Jobber form can be shared by URL, embedded inline, placed in Client Hub, converted to a QR code, or linked from social media. One form at a time can be connected to Google Business Profile, while eligible LSA customers can enter through the integration. See Online Booking, website and social publishing, Google Business Profiles, and Google LSA.
Jobber’s strength is the form layer, not omnichannel capacity optimization. Google Analytics code can measure portal activity, but the platform does not document the multi-brand scheduler administration or abandoned-session recovery found in ServiceTitan.
KEY FINDINGS
- A Jobber form can be shared by URL, embedded inline, placed in Client Hub, converted to a QR code, or linked from social media.
- One form at a time can be connected to Google Business Profile, while eligible LSA customers can enter through the integration.
- See Online Booking, website and social publishing, Google Business Profiles, and Google LSA.

ServiceTitan — broadest enterprise acquisition layer
First-party premium add-on. Scheduling Pro can publish an online scheduler on the company website, connect booking from social channels, support Reserve with Google, and use agentic SMS to continue the scheduling conversation. Enterprise operators can create several schedulers for different brands or service experiences without operating a separate field-service account for each front end. The Scheduling Pro product page describes its omnichannel design, while Scheduling Pro Home covers configuration.
This is the highest ceiling in the group, but it should not be compared with the other vendors as an ordinary base feature. Buyers must license and implement Scheduling Pro, then configure the job types, business units, capacity rules, branding, and attribution that make each channel safe.
KEY FINDINGS
- Scheduling Pro can publish an online scheduler on the company website, connect booking from social channels, support Reserve with Google, and use agentic SMS to continue the scheduling conversation.
- Enterprise operators can create several schedulers for different brands or service experiences without operating a separate field-service account for each front end.

FieldPulse — solid hosted and embedded website booking
Native Booking Portal. FieldPulse supplies a customer-facing URL and an iframe option for embedding the portal directly into the contractor’s website. The business can set its logo, welcome text, URL, service categories, and the combination of contact, request, or scheduling actions it wants customers to see. The FieldPulse Booking Portal guide documents both the direct link and website iframe.
This covers the two channels most independent HVAC contractors need. FieldPulse’s advantage appears later, when Smart Scheduler protects the schedule and crew requirements. Its official Booking Portal documentation does not establish a native Reserve with Google or Google Local Services Ads channel comparable to Housecall Pro, ServiceTitan, or Jobber.
KEY FINDINGS
- FieldPulse supplies a customer-facing URL and an iframe option for embedding the portal directly into the contractor's website.
- The business can set its logo, welcome text, URL, service categories, and the combination of contact, request, or scheduling actions it wants customers to see.
- The FieldPulse Booking Portal guide documents both the direct link and website iframe.

FieldEdge — newer web request portal, separate account portal
First-party Online Booking integration; adjacent Consumer Management Portal is separately packaged. FieldEdge introduced Online Booking as a customer-facing web portal for requesting appointments, giving a prospect an after-hours path into the FieldEdge operating workflow. Activation creates a separate appointments.fieldedge.com account, and FieldEdge calls the connection an integration. See Introducing Online Booking and the June 30, 2026 release notes.
Do not conflate that experience with FieldEdge’s Consumer Management Portal. The latter is aimed at established customers who want to view or pay invoices, respond to quotes, or submit a service request. That is useful customer self-service, but it is not evidence of the same public acquisition-channel breadth as Housecall Pro or Scheduling Pro.
KEY FINDINGS
- FieldEdge introduced Online Booking as a customer-facing web portal for requesting appointments, giving a prospect an after-hours path into the FieldEdge operating workflow.
- Activation creates a separate appointments.fieldedge.com account, and FieldEdge calls the connection an integration.

PRESENTING SERVICES, PRICES, AND DIAGNOSTIC INTAKE
Collecting enough information to book useful work without exhausting the customer
FieldPulse combines service categories, custom fields, notes, attachments, scheduling logic, and optional payment in one portal. Jobber is the best pure form builder and can collect images across multi-page sections. The tradeoff is that a polished form is not automatically an operationally safe appointment; the answers still have to drive a suitable service, duration, and person.
Test Results
FieldPulse provides the best balanced intake workflow for most small and midsize HVAC companies, while Housecall Pro has the strongest dynamic price calculation and ServiceTitan offers the deepest enterprise configurability.
What we compared
- FieldPulse — best balanced service and diagnostic intake
- Housecall Pro — strongest dynamic residential pricing questions
- Jobber — strongest multi-page form builder
- ServiceTitan — deepest enterprise journey design
- FieldEdge — appointment-request intake rather than a documented journey builder
FieldPulse — best balanced service and diagnostic intake
Native Booking Portal; payment fields depend on FieldPulse Payments. Administrators can organize bookable work into service categories, decide whether to display a price, and collect standard contact and address information alongside custom fields. Customers can add notes and upload files or photos, and those attachments carry into the created job or service workflow. The business can present contact-only, request, or direct-scheduling paths from the same portal. See the Booking Portal configuration guide.
FieldPulse’s advantage is continuity: intake data can inform the record the office and technician receive, while the selected service can carry duration, employee, crew, buffer, and payment rules. Custom Fields and uploads make it better suited than a simple service-menu checkout to diagnosing “no cool,” noise, leak, thermostat, or equipment-access issues before dispatch.
KEY FINDINGS
- Administrators can organize bookable work into service categories, decide whether to display a price, and collect standard contact and address information alongside custom fields.
- Customers can add notes and upload files or photos, and those attachments carry into the created job or service workflow.
- The business can present contact-only, request, or direct-scheduling paths from the same portal.

Housecall Pro — strongest dynamic residential pricing questions
Native online booking; Pricing Forms are native but should be included explicitly in the quoted tier. Housecall Pro lets the contractor publish service categories and services, decide which employees and schedule logic apply, and attach a Pricing Form that recalculates the booking price and duration from customer answers. A form can price quantity, estimated hours, frequency, square footage, or selected add-ons—useful for tune-ups, duct cleaning, filter programs, and other work whose public price depends on scope. See Pricing Forms setup and FAQs and the Online Booking overview.
This is more commercially useful than showing one fixed catalog price. Current HCP booking documentation exposes service-level troubleshooting questions but does not document customer file upload, required conditional fields, or a multi-page builder. Its richer Customer Intake workflow belongs to Voice, HCP Assist, or Pipeline rather than standard public Online Booking. Contractors needing diagnostic photos or elaborate branching should favor Jobber’s native form builder or test a separate HCP lead/chat channel.
KEY FINDINGS
- Housecall Pro lets the contractor publish service categories and services, decide which employees and schedule logic apply, and attach a Pricing Form that recalculates the booking price and duration from customer answers.
- A form can price quantity, estimated hours, frequency, square footage, or selected add-ons—useful for tune-ups, duct cleaning, filter programs, and other work whose public price depends on scope.

Jobber — strongest multi-page form builder
Native/core. Jobber allows multiple booking forms, custom sections, required questions, explanatory text, contact and consent fields, lead-source collection, and image upload. A form can present configured services with price, duration, and optional quantity, while the administrator separately selects the bookable team; the customer does not choose the employee. Uploaded files are stored with the booking as an internal note. See Requests and Bookings settings and Online Booking.
The form model is especially strong for replacement consultations, indoor-air-quality assessments, and jobs that need photos before a schedule is offered. Two constraints matter: service images are not displayed in the documented customer booking flow, and one form cannot offer both assessment booking and direct job booking. Separate forms are needed when the business wants both routes.
KEY FINDINGS
- Jobber allows multiple booking forms, custom sections, required questions, explanatory text, contact and consent fields, lead-source collection, and image upload.
- A form can present configured services with price, duration, and optional quantity, while the administrator separately selects the bookable team.
- the customer does not choose the employee.

ServiceTitan — deepest enterprise journey design
First-party premium add-on. Scheduling Pro can use branded sections, diagnostic questions, conditional workflows, free text, photos, video, documents, dispatch-fee presentation, terms, job types, and routing logic to shape the journey. Different schedulers can support different brands or service lines, while quick settings and business-unit rules determine what the answers become operationally. Start with Scheduling Pro Home and business-unit rules.
This is the most configurable acquisition experience in the comparison, but its value depends on implementation. A long diagnostic flow can suppress conversion, and an answer is useful only if the mapped job type, business unit, duration, capacity, and campaign are maintained accurately.
KEY FINDINGS
- Scheduling Pro can use branded sections, diagnostic questions, conditional workflows, free text, photos, video, documents, dispatch-fee presentation, terms, job types, and routing logic to shape the journey.
- Different schedulers can support different brands or service lines, while quick settings and business-unit rules determine what the answers become operationally.

FieldEdge — appointment-request intake rather than a documented journey builder
First-party Online Booking integration. FieldEdge’s official launch materials establish a customer-facing portal for requesting appointments, which removes the need for every after-hours prospect to leave a voicemail. The Online Booking introduction is the appropriate source for that workflow.
The current vendor materials do not demonstrate an intake and pricing builder comparable to FieldPulse custom fields and attachments, Jobber multi-page forms, Housecall Pro Pricing Forms, or Scheduling Pro diagnostic journeys. A buyer should therefore evaluate FieldEdge on the precise request fields, service presentation, required questions, media support, and downstream record mapping in the quoted product—not infer those controls from FieldEdge’s office-side customer and dispatch features.
KEY FINDINGS
- FieldEdge's official launch materials establish a customer-facing portal for requesting appointments, which removes the need for every after-hours prospect to leave a voicemail.
- The Online Booking introduction is the appropriate source for that workflow.

QUALIFYING THE ADDRESS AND RECOGNIZING THE CUSTOMER
Rejecting work outside the service area without creating duplicate customer records
It checks the entered ZIP against configured service areas and can require the selected service and employee to align with that area. Jobber also screens the ZIP before the form proceeds. ServiceTitan applies enterprise zone and business-unit rules. FieldPulse can reuse an existing customer through a primary-email match but documents no portal service-area gate. FieldEdge uses an address-and-prior-work heuristic for returning customers, yet does not document comparable geographic eligibility.
Test Results
Housecall Pro provides the strongest documented combination of service-area eligibility and returning-customer matching for most contractors.
What we compared
- Housecall Pro — best combined ZIP, service, employee, and identity check
- ServiceTitan — strongest enterprise geographic routing
- Jobber — clear ZIP service-area gate
- FieldPulse — strong email matching, no documented portal service-area gate
- FieldEdge — privacy-masked prior-work matching, no documented service-area gate
Housecall Pro — best combined ZIP, service, employee, and identity check
Native/core. When Online Booking service areas are enabled, the customer enters a ZIP before booking. An in-area ZIP proceeds; an out-of-area ZIP receives a message directing the customer to call. Housecall Pro also warns that an employee assigned to both an online service and specific service areas must match the chosen service and ZIP, which protects against offering a slot that the configured worker should not cover. See Service Areas in Online Booking.
Returning-customer matching is exacting: first name, surname, phone number, and email must all match the existing profile. If they do, the new work connects to that customer; if one differs, office staff may need to reconcile a near-duplicate. That rule is documented in the Online Booking overview.
KEY FINDINGS
- When Online Booking service areas are enabled, the customer enters a ZIP before booking.
- an out-of-area ZIP receives a message directing the customer to call.
- Housecall Pro also warns that an employee assigned to both an online service and specific service areas must match the chosen service and ZIP, which protects against offering a slot that the configured worker should not cover.

ServiceTitan — strongest enterprise geographic routing
First-party premium add-on. Scheduling Pro can begin with location eligibility, map the selected work to a job type and business unit, and calculate availability through geographic zones and capacity rules. That is more sophisticated than a single service-radius filter because a multi-branch operator can expose different work and capacity by market. The Scheduling Pro product page describes zone- and capacity-aware booking, and business-unit rules govern job-type routing.
The power introduces maintenance risk: incorrect ZIP, zone, business-unit, or job-type mapping can hide valid appointments or route a new job to the wrong operating unit. Buyers should test a boundary ZIP, overlapping branches, and a returning customer at an alternate location before launch.
KEY FINDINGS
- Scheduling Pro can begin with location eligibility, map the selected work to a job type and business unit, and calculate availability through geographic zones and capacity rules.

Jobber — clear ZIP service-area gate
Native/core. If Jobber’s service area is enabled, the booking page asks for a ZIP or postal code before presenting the rest of the form. An out-of-area prospect sees that online booking is unavailable and is directed to contact the business; an in-area prospect continues. The rule and customer experience are documented in Online Booking.
Jobber then captures the client and property information needed for the request, assessment, or job. Authenticated Client Hub preserves customer identity, but Jobber acknowledges that public request forms can create duplicates and provides a manual merge workflow. Buyers importing an established database should test common variations in email, phone, spouse name, and service address. See Merge Duplicate Clients.
KEY FINDINGS
- If Jobber's service area is enabled, the booking page asks for a ZIP or postal code before presenting the rest of the form.

FieldPulse — strong email matching, no documented portal service-area gate
Native Booking Portal. FieldPulse compares the booking email with the primary email on existing customers. A match can attach the newly created job or invoice to the existing record; otherwise the portal creates a new customer when automatic creation is enabled. Uploaded files and booking details then follow the job. See the FieldPulse Booking Portal guide.
That primary-email rule is simpler than Housecall Pro’s four-field exact match, but it can still miss a spouse, property manager, or customer using an alternate address. More importantly, FieldPulse’s Booking Portal documentation does not define a ZIP, radius, or geofence gate. Contractors with hard territory boundaries should preserve manual review or confirm a separate routing control rather than assuming Smart Scheduler itself rejects an out-of-area lead.
KEY FINDINGS
- FieldPulse compares the booking email with the primary email on existing customers.
- A match can attach the newly created job or invoice to the existing record.
- otherwise the portal creates a new customer when automatic creation is enabled.

FieldEdge — privacy-masked prior-work matching, no documented service-area gate
First-party Online Booking integration. FieldEdge supports separate new- and existing-customer paths. A returning customer enters an address; FieldEdge finds the most recent customer with a work order at that address, shows only an obscured last name for confirmation, and masks name, email, and phone on the final screen. Records with no prior work order at the address are excluded. See July 16, 2026 release notes and Introducing Online Booking.
This is a thoughtful privacy control, but it is not a general fuzzy-deduplication system: tenants, spouses, property managers, and earlier customer records at a shared address can still need office review. The launch documentation also does not define a ZIP, territory, or service-area rejection rule, so geographic eligibility should be validated separately.
KEY FINDINGS
- FieldEdge supports separate new- and existing-customer paths.
- A returning customer enters an address.
- FieldEdge finds the most recent customer with a work order at that address, shows only an obscured last name for confirmation, and masks name, email, and phone on the final screen.

PROTECTING REAL CAPACITY AND MATCHING THE RIGHT PEOPLE
Preventing an online slot from consuming the wrong technician, crew, or travel window
FieldPulse explicitly models required headcount, eligible people, tag-based skills, service duration, buffers, lead time, booking windows, and the live schedule. ServiceTitan adds business-unit, job-type, zone, shift, technician, skill, and adaptive-capacity governance. Housecall Pro safely handles service-specific employee availability for simpler residential operations. Jobber checks eligible employee availability but chooses randomly among valid people. FieldEdge matches configured business hours, resources, and service constraints, but publishes less detail about the algorithm and still calls the result a request.
Test Results
FieldPulse has the strongest transparent capacity logic for most small and midsize HVAC contractors; ServiceTitan is more powerful at enterprise scale.
What we compared
- FieldPulse — best crew- and skill-aware capacity for most contractors
- ServiceTitan — highest enterprise capacity ceiling
- Housecall Pro — strong employee-availability protection for a simpler operation
- Jobber — availability-aware but randomly assigned
- FieldEdge — availability-matched request with less transparent resource logic
FieldPulse — best crew- and skill-aware capacity for most contractors
Native Smart Scheduler. Each scheduled service can define how many team members are needed, which named employees are eligible, which user tags represent required skills, how long the job lasts, and how much time to reserve before and after it. Lead time and daily booking windows stop a customer from taking an impractical last-minute or late-day appointment. Smart Scheduler evaluates the relevant employee schedules and can find a valid combination for work needing two or more people. The Booking Portal guide documents these controls; FieldPulse’s Site Visits guide confirms that portal availability considers jobs and site visits.
Do not substitute General Availability for this workflow. FieldPulse explicitly says General Availability does not inspect existing schedules. A business that wants safe direct booking should configure Smart Scheduler for every offered service and test overlapping jobs, site visits, and multi-person demand.
KEY FINDINGS
- Each scheduled service can define how many team members are needed, which named employees are eligible, which user tags represent required skills, how long the job lasts, and how much time to reserve before and after it.

ServiceTitan — highest enterprise capacity ceiling
First-party premium add-on; some adaptive functions require additional configuration. Scheduling Pro calculates real-time availability across business units, job types, technician shifts, zones, skills, and capacity. Business-unit rules determine the operating destination, while job-type and capacity settings protect strategically valuable appointment inventory rather than simply exposing empty calendar space. See Plan Your Team’s Capacity, Scheduling Pro Home, and business-unit rules.
This is the strongest option for several branches, trades, brands, or demand tiers. It is also the easiest to undermine through configuration drift. A buyer should include rule ownership, exception handling, test bookings, and change control in the implementation—not treat the portal as a switch that automatically understands dispatch strategy.
KEY FINDINGS
- Scheduling Pro calculates real-time availability across business units, job types, technician shifts, zones, skills, and capacity.
- Business-unit rules determine the operating destination, while job-type and capacity settings protect strategically valuable appointment inventory rather than simply exposing empty calendar space.

Housecall Pro — strong employee-availability protection for a simpler operation
Native/core employee availability; Routes is Essentials+ and Time Slots is Early Access. Housecall Pro separates two controls. Booking Preferences determine whether the customer sees flexible slots, fixed starts, or no time at all; Scheduling Type determines Auto Scheduling versus Point-of-Contact manual dispatch. Manual Booking creates an unscheduled Job or Estimate, whereas manual dispatch can still capture scheduled work without final technician assignment. Service-area rules can require the employee, service, and ZIP to align, and Routes can substitute route capacity for individual availability. See Online Booking, Service Areas, Routes, and Early Access Time Slots.
This is an effective model for residential service where one eligible technician normally fulfills the appointment. Housecall Pro’s standard booking documentation does not demonstrate FieldPulse-style required crew headcount, pre/post buffers, and tag-based skill combinations or ServiceTitan’s multi-dimensional capacity rules. Standard service duration is documented up to eight hours, with no public multi-day installation booking flow. Installation crews and highly specialized calls should therefore be tested before being exposed to instant booking.
KEY FINDINGS
- Housecall Pro separates two controls.
- Booking Preferences determine whether the customer sees flexible slots, fixed starts, or no time at all.
- Scheduling Type determines Auto Scheduling versus Point-of-Contact manual dispatch.

Jobber — availability-aware but randomly assigned
Native/core; travel-aware constraints depend on Efficient Scheduling configuration. A bookable service carries duration and eligible team members. Jobber considers each eligible person’s working hours and conflicting scheduled tasks or visits before offering times. Efficient Scheduling can also add a fixed buffer or TravelTime and historical-traffic constraint. If several people qualify, the system assigns one at random. Calendar events do not block online availability in the same way as work records, an important setup detail documented in Online Booking and Requests and Bookings settings.
Random selection is acceptable for interchangeable technicians and standardized assessments. It is not optimization by skill, expected revenue, drive time, territory, or crew composition. A contractor with specialist certifications or two-person installation demand should use a request/assessment path or preserve dispatch review rather than relying on direct job booking.
KEY FINDINGS
- A bookable service carries duration and eligible team members.
- Jobber considers each eligible person's working hours and conflicting scheduled tasks or visits before offering times.
- Efficient Scheduling can also add a fixed buffer or TravelTime and historical-traffic constraint.

FieldEdge — availability-matched request with less transparent resource logic
First-party Online Booking integration. FieldEdge administrators set a default schedule, create forms with service categories and one or more service types, define per-day timeslots, and add unavailable periods such as holidays. The official guide says the portal matches availability through configured business hours, resources, and service constraints, minimizes conflicts, and exposes real-time scheduling data. Customers use the hosted or embedded interface to request an appointment. See Introducing Online Booking and the June 2026 release notes.
That is more than a static request form, but the docs do not define the conflict algorithm, employee-skill rules, territory, capacity, crew logic, instant assignment, or automatic confirmation. Buyers should test simultaneous requests and changing dispatch events, and still treat the submitted appointment as a request unless the proposed configuration demonstrates otherwise.
KEY FINDINGS
- FieldEdge administrators set a default schedule, create forms with service categories and one or more service types, define per-day timeslots, and add unavailable periods such as holidays.

CHOOSING BETWEEN A REQUEST, ASSESSMENT, AND CONFIRMED JOB
Making sure the customer's expectation matches the record the office receives
FieldPulse is nearly as flexible, with contact-only, service-request, and scheduled-service modes plus manual or automatic job creation. Housecall Pro can expose bookable times or preserve manual office review, and ServiceTitan can route a completed journey as a lead, booking, or job according to configuration. FieldEdge’s new portal matches availability but still describes the customer action as an appointment request; its older Consumer Management Portal is even more explicitly an office-confirmed request.
Test Results
Jobber offers the clearest form-level choice among request, assessment booking, and direct one-off job booking.
What we compared
- Jobber — best explicit three-outcome form design
- FieldPulse — flexible request and auto-schedule modes
- Housecall Pro — direct times or manual office control
- ServiceTitan — configurable lead, booking, or job outcome
- FieldEdge — availability-matched request, then office disposition
Jobber — best explicit three-outcome form design
Native/core. A Jobber form can collect a request without a scheduled time, let the customer choose an assessment slot, or directly create and schedule a one-off job. An assessment booking creates the request and reserves the assessment; direct job booking converts the request and creates the job. The office can also require review before accepting an assessment. See Online Booking and Requests and Bookings settings.
The boundary is easy to explain internally, but it shapes the site architecture: one form can contain either assessment booking or job booking, not both. An HVAC company that wants “book a diagnostic” and “request a replacement consultation” should publish separate paths and label them clearly so the customer knows whether the time is held, awaiting approval, or confirmed.
KEY FINDINGS
- A Jobber form can collect a request without a scheduled time, let the customer choose an assessment slot, or directly create and schedule a one-off job.
- An assessment booking creates the request and reserves the assessment.
- direct job booking converts the request and creates the job.

FieldPulse — flexible request and auto-schedule modes
Native Booking Portal. FieldPulse supports Contact Us Only; Contact Us plus Book a Service, which gathers the selected work without a time; and Contact Us plus Book and Schedule a Service. The last mode can automatically schedule and create the job, or it can send the request to staff for review and manual creation. The Booking Portal guide documents all three configurations.
FieldPulse explicitly separates “request received” from “appointment confirmed” in the customer email used for manual review. That is an important strength: the portal does not have to overpromise a slot. Contractors should edit portal and notification language to mirror the selected mode, especially when collecting a deposit before the office confirms availability.

- FieldPulse supports Contact Us Only.
- Contact Us plus Book a Service, which gathers the selected work without a time.

Housecall Pro — direct times or manual office control
Native/core. Housecall Pro can present flexible time slots or specific starts; Manual Booking omits time selection and immediately creates an unscheduled Job or Estimate. Separately, Auto Scheduling places work on an eligible employee, while Manual Scheduling places it on the Point of Contact for office dispatch. Each service is configured to create either a Job or an Estimate. See Online Booking.
An HCP Estimate is created immediately; it is not a pending booking awaiting staff approval. Approval also does not convert it automatically into a Job—staff must copy it to a new Job and schedule that work. See Copy or Convert Jobs and Estimates. Jobber’s request-versus-assessment-versus-job distinction remains more explicit at the form level.
KEY FINDINGS
- Housecall Pro can present flexible time slots or specific starts.
- Manual Booking omits time selection and immediately creates an unscheduled Job or Estimate.
- Separately, Auto Scheduling places work on an eligible employee, while Manual Scheduling places it on the Point of Contact for office dispatch.

ServiceTitan — configurable lead, booking, or job outcome
First-party premium add-on. Scheduling Pro can send a completed customer journey into ServiceTitan as a lead or booked job according to setup. Quick settings also determine whether appointments are sent as jobs by default and whether abandoned scheduler sessions should arrive in Calls > Bookings for recovery. See Scheduling Pro quick settings and Book Jobs and Schedule Appointments.
This gives an enterprise call center a controlled exception path, but the terminology must be trained. A “booking” in the call workflow may still need CSR attention, while a booked job is operational work. The implementation should define which scheduler completion states promise a customer an appointment and who owns every abandoned or unassigned record.
KEY FINDINGS
- Scheduling Pro can send a completed customer journey into ServiceTitan as a lead or booked job according to setup.

FieldEdge — availability-matched request, then office disposition
First-party Online Booking integration; Consumer Management Portal is adjacent and more manual. The new Online Booking portal lets a customer select from configured availability and creates an online-booking lead, yet the customer action remains an appointment request rather than a documented confirmed work order. See the Online Booking guide and August 4, 2026 release notes.
The separate Consumer Management Portal workflow is explicit: an existing customer selects an existing address, phone, reason, and desired date; the request enters Leads; office staff accepts it, creates a work order, and schedules normally. FieldEdge says the office does not have to honor the requested date. That is useful self-service lead capture, not direct booking.
KEY FINDINGS
- The new Online Booking portal lets a customer select from configured availability and creates an online-booking lead, yet the customer action remains an appointment request rather than a documented confirmed work order.

CREATING CLEAN CUSTOMER, LEAD, AND JOB RECORDS
Eliminating re-entry without filling the CRM with ambiguous or duplicate work
Housecall Pro can connect an exact-matched returning customer, create the configured Job or Estimate, apply source attributes, schedule eligible work, and notify both sides. FieldPulse carries custom data and uploads into its customer/job workflow. Jobber creates deliberately different request, assessment, and one-off-job records. ServiceTitan can route work by business unit and job type with campaigns and tags. FieldEdge still depends more heavily on office disposition of an appointment request.
Test Results
Housecall Pro has the strongest accessible booking-to-job handoff for most residential contractors; ServiceTitan preserves the richest enterprise routing and attribution metadata.
What we compared
- Housecall Pro — best small-business conversion from portal to operational work
- ServiceTitan — richest enterprise routing context
- FieldPulse — custom intake and files follow the created job
- Jobber — clearest record semantics by booking type
- FieldEdge — request capture still needs a demonstrated conversion path
Housecall Pro — best small-business conversion from portal to operational work
Native/core. With Auto Scheduling enabled, the selected service creates the configured Job or Estimate and places it against eligible availability. Manual Booking instead creates unscheduled work for office review. The platform can attach tracking attributes to the source and, when first name, surname, phone, and email all match, connect the work to an existing customer. See Online Booking.
This removes ordinary CSR re-entry while keeping the resulting work in the same customer, schedule, price, notification, and payment environment. The exact-match identity rule is the tradeoff: a changed email, alternate phone, or spouse booking can create a record that needs human reconciliation. Buyers should include duplicate review in the office workflow rather than assume matching is fuzzy.
Housecall Pro also warns that an Online Booking preview submission creates a real record. Build a named test procedure and remove or label those records so setup testing does not contaminate the dispatch board or marketing reports.
KEY FINDINGS
- With Auto Scheduling enabled, the selected service creates the configured Job or Estimate and places it against eligible availability.
- Manual Booking instead creates unscheduled work for office review.
- The platform can attach tracking attributes to the source and, when first name, surname, phone, and email all match, connect the work to an existing customer.

ServiceTitan — richest enterprise routing context
First-party premium add-on. Scheduling Pro can map the customer journey to job type and business unit, apply technician and business-unit rules, attach tags and campaign attribution, and send the job to the unassigned dispatch tray or a booking queue according to configuration. The same attribution framework can preserve completed and abandoned-session source data. See Track lead attribution and Scheduling Pro jobs, business-unit rules, and Scheduling Pro quick settings.
This is the strongest handoff for a governed multi-unit operation because acquisition, routing, capacity, and reporting can share identifiers. It is not self-correcting: weak campaign taxonomy, overlapping business-unit rules, or abandoned records without an owner create analytically rich clutter rather than clean work.
KEY FINDINGS
- Scheduling Pro can map the customer journey to job type and business unit, apply technician and business-unit rules, attach tags and campaign attribution, and send the job to the unassigned dispatch tray or a booking queue according to configuration.
- The same attribution framework can preserve completed and abandoned-session source data.

FieldPulse — custom intake and files follow the created job
Native Booking Portal. When automatic scheduling is on, FieldPulse can create the customer and scheduled job from the selected service and time. With manual review, staff receives the request and uses Create New to generate the customer and job with prefilled information. Custom fields, notes, and uploaded photos or files attach to the resulting job/service record. A primary-email match can reuse an existing customer. See the Booking Portal guide.
This is particularly useful when diagnostic evidence must reach the assigned technician. The office should still review alternate-email duplicates and confirm which custom fields are visible to customers, managers, service agents, or other roles before using the portal for sensitive access or equipment information.
KEY FINDINGS
- When automatic scheduling is on, FieldPulse can create the customer and scheduled job from the selected service and time.

Jobber — clearest record semantics by booking type
Native/core. Jobber creates a request for qualification, a request plus scheduled assessment for that pathway, or an automatically converted request and one-off job for direct booking. Contact, property, answers, services, notes, files, and the “How did you hear about us?” response feed the resulting workflow. The One-Off Jobs report can identify work booked online, although that report is available only on select plans. See Online Booking and the One-Off Jobs report.
The model makes the lead-to-work progression understandable. Its weaker point is assignment strategy, not record structure: a direct job may be cleanly created but randomly assigned among eligible available people, which can still require dispatcher intervention for specialized HVAC work.
KEY FINDINGS
- Jobber creates a request for qualification, a request plus scheduled assessment for that pathway, or an automatically converted request and one-off job for direct booking.
- Contact, property, answers, services, notes, files, and the “How did you hear about us?” response feed the resulting workflow.

FieldEdge — request capture still needs a demonstrated conversion path
First-party Online Booking integration. FieldEdge’s hosted or embedded form captures new and existing-customer appointment requests against configured categories, service types, and available times. The August 4, 2026 release notes explicitly identify the resulting submissions as online-booking leads. Official materials still do not document automatic work-order creation, dispatch assignment, the confirmation sequence, or an atomic slot reservation.
The older Consumer Management Portal shows FieldEdge’s more manual pattern: an appointment request lands in Leads, then office staff accepts it, creates the work order, and schedules it. Buyers should require the Online Booking demo to trace a brand-new prospect and an existing customer from lead through the exact work-order records, including a duplicate, a simultaneously requested slot, and a declined time.
KEY FINDINGS
- FieldEdge's hosted or embedded form captures new and existing-customer appointment requests against configured categories, service types, and available times.
- The August 4, 2026 release notes explicitly identify the resulting submissions as online-booking leads.

COLLECTING DEPOSITS, FULL PAYMENT, OR MEMBERSHIP COMMITMENT
Converting intent into financially committed work before dispatch
It can calculate or display the service price, require a fixed or percentage deposit or full card payment, and create the job in the same workflow. FieldPulse also supports deposit and full-payment rules but requires FieldPulse Payments. ServiceTitan goes furthest by combining payment and membership capture with enterprise Scheduling Pro. Jobber’s authenticated Client Hub can save a card without charging it during booking, and FieldEdge’s Consumer Management Portal handles existing invoices and quote deposits rather than new-booking payment.
Test Results
Housecall Pro has the strongest accessible checkout for a typical residential HVAC service call.
What we compared
- Housecall Pro — best booking-time payment for most contractors
- FieldPulse — strong deposit and full-payment control
- ServiceTitan — strongest enterprise payment and membership conversion
- Jobber — card saving is not booking-time collection
- FieldEdge — post-sale portal payment, not new-booking checkout
Housecall Pro — best booking-time payment for most contractors
Native Online Booking plus Housecall Pro payments. A contractor can require full payment, a fixed-dollar deposit, a percentage deposit, or no payment. The card step appears after the customer selects the service and time, and a successful transaction generates a receipt. See Card Payments in Online Booking and the Housecall Pro pricing page for current processing terms.
The boundary is material: Housecall Pro documents payment on Jobs, not Estimates. A replacement consultation configured as Book as Estimate cannot take an Online Booking deposit, and credit-card surcharging is not supported in this checkout. See Copy or Convert Jobs and Estimates. Housecall Pro is therefore strongest for standardized diagnostic, tune-up, and repair services whose scope and price can responsibly be presented before arrival.
Membership boundary: Housecall Pro’s true recurring Service Plans are included on Max and can apply discounts to future Jobs and Estimates, but official docs do not establish plan purchase, member-specific entitlements, discount display, or plan-visit self-scheduling inside Online Booking. Jobber documents recurring Jobs and Connect-level automatic payments, not a native customer membership product. See HCP pricing, Service Plan discounts, plan-visit scheduling, and Jobber recurring Jobs.
KEY FINDINGS
- A contractor can require full payment, a fixed-dollar deposit, a percentage deposit, or no payment.
- The card step appears after the customer selects the service and time, and a successful transaction generates a receipt.
- See Card Payments in Online Booking and the Housecall Pro pricing page for current processing terms.

FieldPulse — strong deposit and full-payment control
Native Booking Portal; payment requires FieldPulse Payments. For each portal service, FieldPulse can hide price, display price without collection, require a deposit, or require full payment. The customer completes the payment step before the scheduled or requested workflow finishes. Service items, labor, and supplies can support the displayed work configuration. See the Booking Portal guide and FieldPulse pricing, which identifies Payments as an optional premium product.
For manual review, payment does not turn the selected time into a confirmed appointment; the customer acknowledgement still needs to say the request is under review. Contractors should test how a declined request, changed price, refund, or rescheduled job is handled before taking money on a slot the office has not approved.
KEY FINDINGS
- For each portal service, FieldPulse can hide price, display price without collection, require a deposit, or require full payment.
- The customer completes the payment step before the scheduled or requested workflow finishes.

ServiceTitan — strongest enterprise payment and membership conversion
First-party premium add-on. ServiceTitan states that Scheduling Pro can collect payments and capture memberships during the booking journey. Because the portal can also route by job type, business unit, zone, capacity, and campaign, a large operator can connect the commercial commitment to the correct work and reporting dimensions. See the Scheduling Pro product page and FAQ.
This is the highest commercial ceiling in the comparison, especially for organizations that sell memberships as part of the acquisition funnel. It is also a separate implementation rather than a reason to assume every ServiceTitan subscription includes online payment or membership checkout. The demo should trace the transaction, refund/cancellation handling, membership record, job record, and marketing attribution together.
KEY FINDINGS
- ServiceTitan states that Scheduling Pro can collect payments and capture memberships during the booking journey.
- Because the portal can also route by job type, business unit, zone, capacity, and campaign, a large operator can connect the commercial commitment to the correct work and reporting dimensions.

Jobber — card saving is not booking-time collection
Core booking; Jobber Payments supports a limited authenticated-card workflow. When a booking form is opened inside authenticated Client Hub, a payment-method field can save a credit card. It does not charge the card during booking, does not support ACH in this field, and is absent from public, embedded, and social versions. A quote deposit can be collected later in Client Hub after a quote is sent. See Saving and charging payment methods and Deposits on Quotes.
Jobber is therefore suitable when the online goal is to qualify and reserve an assessment before pricing. It is not equivalent to Housecall Pro or FieldPulse for taking a diagnostic fee or installation deposit in the initial public booking flow.
KEY FINDINGS
- When a booking form is opened inside authenticated Client Hub, a payment-method field can save a credit card.
- It does not charge the card during booking, does not support ACH in this field, and is absent from public, embedded, and social versions.

FieldEdge — post-sale portal payment, not new-booking checkout
Online Booking payment is not documented; Consumer Management Portal payment is adjacent. The new FieldEdge Online Booking materials do not establish a deposit or card step. The separate Consumer Management Portal lets an authenticated existing customer pay outstanding invoices, save a payment method, and accept a quote with a configured deposit. CMP requires Clearent, does not work with Canada Payroc, and limits the customer to an email and address already in FieldEdge.
Invoice payment and quote acceptance are valuable self-service, but they occur after a customer and financial record already exist. They should not be scored as payment during the public appointment request. A buyer that needs no-call diagnostic-fee collection should require a live Online Booking demonstration or choose a portal that documents it directly.
KEY FINDINGS
- The new FieldEdge Online Booking materials do not establish a deposit or card step.

CONFIRMING, CHANGING, MEASURING, AND SCALING BOOKINGS
Managing what happens after submit and learning which channels produced usable work
Scheduling Pro can operate multiple branded schedulers, preserve campaigns and UTM context, recover abandoned sessions, and report funnel results. Housecall Pro combines confirmations, ongoing job notifications, lead-source tags, redirects, and customer history, but lacks documented direct customer cancellation. Jobber emits explicit GA4 lead and purchase events. FieldPulse documents configurable internal alerts and a customer acknowledgement; FieldEdge documents office follow-up for Consumer Portal requests but not the Online Booking confirmation sequence, and both lack comparable documented funnel and self-change controls.
Test Results
ServiceTitan is the strongest enterprise lifecycle and analytics option; Housecall Pro provides the best day-to-day follow-through for a typical residential contractor, and Jobber has the clearest web-analytics instrumentation.
What we compared
- ServiceTitan — best enterprise attribution, recovery, and scheduler scale
- Housecall Pro — strongest practical notifications, with a self-service gap
- Jobber — best GA4 instrumentation and an add-on change channel
- FieldPulse — clear request-versus-confirmed messaging, lighter analytics
- FieldEdge — office-confirmed follow-up, limited documented analytics
ServiceTitan — best enterprise attribution, recovery, and scheduler scale
First-party premium add-on. Scheduling Pro can preserve campaign and UTM attribution for completed jobs and abandoned sessions, send selected abandoned journeys to Calls > Bookings, and expose funnel and session reporting. Multiple schedulers can support separate brands or service experiences while sharing governed ServiceTitan rules and operations. See Track lead attribution and Scheduling Pro jobs, the Scheduling Pro Funnel report, and Scheduling Pro quick settings.
This is a conversion-operations system, not merely a form. Reporting still requires a defined owner for abandoned records and clean campaign/business-unit mapping. ServiceTitan’s booking strength also should not be generalized into customer self-cancellation or rescheduling unless the target scheduler and communications configuration demonstrate that workflow.
KEY FINDINGS
- Scheduling Pro can preserve campaign and UTM attribution for completed jobs and abandoned sessions, send selected abandoned journeys to Calls > Bookings, and expose funnel and session reporting.
- Multiple schedulers can support separate brands or service experiences while sharing governed ServiceTitan rules and operations.

Housecall Pro — strongest practical notifications, with a self-service gap
Native/core booking and customer notifications. Housecall Pro sends confirmations to the business and customer, then can send configured scheduled, reminder, On My Way, finished, cancelled, and schedule-change notifications. Tracking attributes can become Job or Estimate tags, but Reserve with Google and LSA are combined in one “Google” inbox and are not differentiated there; no first-party GA4 booking event is documented. See Online Booking, Customer Notifications, Lead Sources, and Google Bookings.
The operational Online Booking FAQ says customers cannot cancel an online-booked Job themselves. Customer Portal can send a message requesting rescheduling or cancellation, but that is not direct calendar mutation. HCP’s Customer Portal marketing page makes a broader self-service claim that conflicts with the Help Center, so use the operational limitation unless the target account demonstrates otherwise. Also test Google: channel guides call incoming Google bookings Leads in Job Inbox, while core Online Booking documentation describes Jobs or Estimates.
KEY FINDINGS
- Housecall Pro sends confirmations to the business and customer, then can send configured scheduled, reminder, On My Way, finished, cancelled, and schedule-change notifications.
- Tracking attributes can become Job or Estimate tags, but Reserve with Google and LSA are combined in one “Google” inbox and are not differentiated there.

Jobber — best GA4 instrumentation and an add-on change channel
Core booking; reminders are Connect+; Receptionist is an add-on included with Plus. Jobber notifies admins of submissions and sends the appropriate customer confirmation, with approval-required assessments confirmed only after acceptance. GA4 cross-domain tracking emits `generate_lead` for requests and `purchase` for bookings; “purchase” is the analytics event name and does not mean Jobber collected payment. See GA4 tracking, Online Booking, and Booking Confirmation.
Standard Client Hub does not provide direct appointment cancellation or rescheduling. Receptionist powered by Jobber AI can handle changes over phone or text, but it is a separate add-on rather than a booking-portal button. Assignment remains random among eligible staff even when the funnel analytics are precise.
KEY FINDINGS
- Jobber notifies admins of submissions and sends the appropriate customer confirmation, with approval-required assessments confirmed only after acceptance.
- GA4 cross-domain tracking emits `generate_lead` for requests and `purchase` for bookings.

Package note: The current Jobber pricing matrix includes request forms and online booking on Core and every higher tier, although help articles still use the generic phrase “select plans.” Google Business Profile booking is native; Google LSA is an integration; automated reminders start on Connect; and Receptionist is a separate add-on included with Plus.
FieldPulse — clear request-versus-confirmed messaging, lighter analytics
Native Booking Portal; Customer Portal is adjacent. FieldPulse can alert selected internal recipients and optionally send the customer an email. In manual-review mode, the customer message explicitly says the request was received and is under review; auto-scheduled work can carry the confirmed service details. The Booking Portal guide documents the notification distinction.
FieldPulse’s separate Customer Portal can expose open jobs and projects, estimates, invoices, payments, profile editing, and a Submit Request link back to Booking Portal. Neither portal guide documents direct customer rescheduling or cancellation, or a native booking-conversion/UTM funnel comparable to ServiceTitan or Jobber GA4. Use saved source fields or external analytics only when the implementation has been verified.
KEY FINDINGS
- FieldPulse can alert selected internal recipients and optionally send the customer an email.
- In manual-review mode, the customer message explicitly says the request was received and is under review.
- auto-scheduled work can carry the confirmed service details.

FieldEdge — office-confirmed follow-up, limited documented analytics
First-party Online Booking integration; Consumer Management Portal is adjacent. The new portal uses company and default schedule settings, per-form timeslots, unavailable periods, service categories/types, and availability matching to collect an online-booking lead and appointment request. The current Online Booking guide does not document atomic slot reservation, the confirmation sequence, self-cancellation/rescheduling, attribution fields, funnel reporting, or multi-brand administration at the depth of the leaders.
The Consumer Management Portal makes the existing-customer boundary explicit: a requested date enters Leads, staff accepts it, creates a work order, and schedules normally; the requested date need not be honored. FieldEdge remains a conditional fit when office follow-up is acceptable, not a substitute for demonstrated direct-booking and conversion-management controls.
KEY FINDINGS
- The new portal uses company and default schedule settings, per-form timeslots, unavailable periods, service categories/types, and availability matching to collect an online-booking lead and appointment request.

The Consumer Management Portal is included with Elite and separately quoted on Select and Premier under the current plan table; buyers should have FieldEdge map Online Booking and the customer portal separately in the proposal.
HVAC BOOKING PORTAL SOFTWARE FAQS
What is an HVAC booking portal?
An HVAC booking portal is a public customer-facing flow that collects a service need and either creates a request, reserves an assessment, or books operational work. A strong portal connects service choice, address eligibility, intake, real availability, record creation, notifications, and sometimes payment. It is different from an account portal, which usually serves known customers viewing invoices, quotes, history, or requests after a relationship already exists.
What is the best HVAC booking portal software?
Housecall Pro is the best overall option for most residential HVAC contractors because native Online Booking combines website and Google acquisition, services and Pricing Forms, ZIP and employee eligibility, automatic or manual scheduling, existing-customer matching, job or estimate creation, confirmations, and deposit or full payment. ServiceTitan Scheduling Pro is the enterprise winner. FieldPulse is stronger for crew- and skill-aware capacity, while Jobber is better for assessment-first forms and image-rich qualification.
Is Housecall Pro or FieldPulse better for HVAC online booking?
Choose Housecall Pro when conversion and checkout matter most: it has Reserve with Google, dynamic Pricing Forms, ZIP/service/employee matching, and paid direct-job booking. Choose FieldPulse when dispatch safety is harder: Smart Scheduler documents required crew count, eligible people, tag-based skills, duration, buffers, lead time, and live schedule checks, while the portal collects custom fields and uploads. FieldPulse payments require FieldPulse Payments; HCP's customer cannot directly cancel an online-booked job.
Is Housecall Pro or Jobber better for HVAC booking?
Housecall Pro is better for a defined service call that should be priced, scheduled, and financially committed in one visit. Jobber is better when a lead should describe the problem, answer detailed multi-page questions, upload images, and request or book an assessment before the office quotes the work. Jobber also provides stronger GA4 booking events and inline form publishing, but its public booking flow does not charge a deposit and eligible employee assignment is random.
Do these portals really check technician availability?
Not equally. FieldPulse Smart Scheduler and ServiceTitan Scheduling Pro document the deepest availability logic; FieldPulse includes crew size, named employees, skill tags, buffers, and schedule conflicts, while ServiceTitan adds business units, job types, zones, shifts, skills, and capacity. Housecall Pro checks configured employees, service duration, service eligibility, calendars, and service areas. Jobber checks eligible employees and can use travel-aware constraints but assigns randomly. FieldEdge matches configured resources and service constraints while returning an appointment request.
Can an HVAC booking portal collect a deposit or full payment?
Housecall Pro can require a fixed or percentage deposit or full card payment for a booked Job, but not an Estimate. FieldPulse can require a deposit or full payment through FieldPulse Payments. ServiceTitan says Scheduling Pro can collect payment and membership commitment. Jobber's authenticated Client Hub can save a card during booking but does not charge it; quote deposits occur later. FieldEdge documents invoice and quote-deposit payment in its separate Consumer Management Portal, not public Online Booking checkout.
Can customers cancel or reschedule their own HVAC booking?
Do not assume it. Housecall Pro's operational FAQ says customers cannot cancel an online-booked job themselves; its Customer Portal can send a change request. Standard Jobber Client Hub is not a direct rescheduling control, although the separate Receptionist add-on can handle changes over phone or text. FieldPulse and FieldEdge portal guides do not document direct customer calendar changes. ServiceTitan buyers should require Scheduling Pro to demonstrate the desired cancellation, rescheduling, capacity-release, payment, and notification workflow.
Are HVAC booking portals core features, add-ons, or integrations?
Housecall Pro Online Booking starts on Basic, payment uses HCP payments, Pricing Forms should be included explicitly in the quote, and recurring Service Plans are Max. Jobber's current pricing places request forms and online booking on Core and every higher tier, although help articles still say “select plans”; Google Business Profile booking is native, Google LSA is an integration, and Receptionist is an add-on included with Plus. FieldPulse Booking Portal is native, with FieldPulse Payments optional. FieldEdge Online Booking is a first-party integration distinct from its Elite-or-separately-priced Consumer Management Portal. ServiceTitan Scheduling Pro is a premium first-party product.
