HVAC PROJECT MANAGEMENT SOFTWARE GUIDE
Best HVAC Project Management Software
HVAC project management software coordinates work that is larger than a single service call: equipment replacements spanning several visits, multi-crew installations, tenant-improvement work, phased construction, and projects where labor, purchasing, documents, billing, and customer approvals must stay connected for weeks or months. This comparison examines how ServiceTitan, FieldPulse, Housecall Pro, FieldEdge, and Jobber handle project structure, estimates, phases, scheduling, scope changes, materials, mobile execution, job costing, progress billing, files, customer communication, portfolio reporting, permissions, accounting, and integrations. It distinguishes a true project record from a multi-day job and identifies where a capability is native, plan-gated, separately configured, or supplied by an integration.

QUICK VERDICT: BEST HVAC PROJECT MANAGEMENT SOFTWARE
RECOMMENDED
ServiceTitan
Best overall and enterprise HVAC project management software
- Best for: Larger residential replacement, commercial HVAC, and construction teams that need a governed project record, committed-cost and labor control, financial change orders, progress billing, retainage, WIP, forecasting, and portfolio oversight.
- Key strengths: The deepest project chain in this comparison: projects with several jobs and appointments; estimates and budgets; labels; native purchasing and inventory; payroll/timesheet costs; financial change orders and cost adjustments; account-configured RFIs and Change Order Requests; Applications for Payment; retainage; budget-versus-actual analysis; WIP; forecast-to-complete; Crew Scheduling; mobile execution; and Project Portfolio.
- Important limitation: ServiceTitan is the most demanding option to implement, and several visually impressive planning and document features are not standard capabilities. Project Plan, planning-task dependencies, baseline/Gantt planning, Budget Codes, and Project Groups remain Private Preview; enhanced Document Management and certain Daily Log/submittal reporting remain preview- or release-limited. Full financial Project Management and the RFI/COR workflow also require package or account configuration.
- Package note: Basic multi-job Projects are native. ServiceTitan's projects comparison says full Project Management is included only in certain packages. Project Plan, Budget Codes, and Project Groups are Private Preview; the Commercial preview catalog covers enhanced Document Management. Buyers should map each generally available, configured, and preview function separately in the order form.
RECOMMENDED
FieldPulse
Best HVAC project management software for most small and midsize contractors
- Best for: Growing HVAC businesses that need a dedicated project record, reusable project templates, a Gantt view, child jobs and commercial documents, project teams, mobile access, custom fields, staged payments, and useful reporting without adopting an enterprise construction system.
- Key strengths: Native projects with list, status, and Gantt views; templates; assigned teams; completion percentage; related jobs, estimates, invoices, and POs; cascading custom fields; subtasks; comments; files; mobile and customer-portal visibility; configurable raw-data reports; web Job Costing with projected-versus-actual revenue, cost, profit, margin, and item variance; and flexible progress invoices.
- Important limitation: FieldPulse does not document ServiceTitan-style RFI/COR administration, Applications for Payment, retainage, or WIP. Its Gantt organizes Projects by date without critical-path dependencies or resource leveling, and Job Costing is web-only at each child Job rather than a Project-wide WIP or earned-value ledger.
- Package note: Project Management is native and included on FieldPulse Professional and Enterprise under the current package table. Custom Forms and FieldPulse Payments are separate products when those workflows are required; Open API and multi-location management are Enterprise.
RECOMMENDED
FieldEdge
Best project-financial alternative below the two dedicated project leaders
- Best for: Buyers that prioritize multi-work-order install financials, explicit change-order quotes, progressive billing, and estimated-versus-actual profitability—and are comfortable making QuickBooks part of the operating architecture.
- Key strengths: A native Job groups work orders, quotes, invoices, payments, equipment, parts, and costs; a Project Manager can own it; multi-assignment work orders support crews and days; the documented change-order flow updates expected cost and profitability; progressive billing supports phased invoicing; and Job Financial Summary and Job Progress reporting expose cost, margin, variance, and additional-billing needs.
- Important limitation: FieldEdge is a stronger financial container than a planning workspace. Its current documentation does not establish a work-breakdown structure, task templates, milestones, dependencies, baseline/Gantt scheduling, formal RFIs or submittals, AIA billing, retainage, or a governed project portfolio. Parts requests and important accounting workflows also remain closely coupled to QuickBooks.
- Package note: Work Orders & Jobs, purchases, forms, reporting, and Integrated Payments capability appear across the FieldEdge plan table; merchant activation, processing terms, CMP, quote depth, saved reports, Proposal Pro, and warehouse inventory remain separate or tier-dependent. See FieldEdge Payments. The parent Job does not depend on QuickBooks, but procurement/accounting are designed as an integrated workflow.
Housecall Pro
Conditional project-lite option for residential HVAC installations
- Consider if: Your projects are principally residential replacements that can remain one parent Job divided into appointments or Segments, rather than work requiring a dedicated project portfolio, formal change control, retainage, and WIP.
- Key strengths: Multi-day appointments with different employees; Job Segments with separately scheduled, statused, and invoiced stages; estimates on active Jobs; automatic Job creation after estimate approval; job-linked tasks; templates; checklists; attachments; activity history; material inputs; HVAC-package Purchase Orders; time tracking; job costing; progress invoices; customer-facing estimates; and payments.
- Important limitation: Housecall Pro does not provide a dedicated Project object, phase budget, dependency plan, project-level purchasing ledger, documented change-order register, or construction portfolio. Appointments and Segments are capable parts of a Job, but they do not create the project-financial rollup that FieldEdge documents or the full project systems in FieldPulse and ServiceTitan.
- Package note: The relevant tools are spread across HCP's native Job, estimate, invoice, costing, and documentation features. The HVAC package includes general Purchase Orders from Basic and Job/estimate Tasks in the package; Reece ordering is a separate integration. Progress Invoicing is enabled in invoice settings, and buyers should map remaining prerequisites against current pricing.
Jobber
Not recommended when true project management is a buying requirement
- Why it falls short: Jobber can run a multi-visit one-off Job, schedule visits across nonconsecutive dates, track time and expenses, store notes and attachments, calculate job profit, and create a milestone-style payment schedule. It does not document a dedicated project object, phase hierarchy, project portfolio, Gantt view, dependencies, formal change orders, RFIs, submittals, retainage, or WIP.
- Key strengths: Simple multi-day work; visit scheduling; checklists; files; expenses and receipts; time tracking; job costing on Grow/Plus; quote-to-job conversion; client approvals and deposits; and progress invoicing on all plans.
- Important limitation: The Job is the highest operational container. A long installation can be represented by visits and payment milestones, but managers cannot govern several phases and related jobs from a dedicated project record or compare a project budget with actual costs by phase.
- Package note: Jobber's current pricing places basic scheduling, quoting, invoicing, and Client Hub on Core; time and expense tracking starts on Connect; job costing is Grow/Plus; and advanced reusable file management is Plus. Progress invoicing is all-plan, but it should not be mistaken for a full project-management module.
How We Tested
In August 2026, the Tools in the Wild editorial team evaluated the five platforms against the same HVAC project scenarios: converting a sold replacement into managed work, planning a multi-week installation, assigning several crews, controlling scope changes, ordering equipment and materials, capturing field time and documents, comparing budget with actual cost, billing deposits and milestones, exposing appropriate information to the customer, and reviewing a portfolio of active projects. We cross-checked current vendor help centers, product documentation, pricing pages, release notes, accounting guides, reporting references, mobile workflows, and integration materials. The comparison gives more weight to connected project control than to the mere ability to place several visits on a calendar. Vendors neither reviewed the article nor influenced its conclusions. Read our full editorial methodology.
Our Verdict
These products are not equally capable project-management systems: ServiceTitan is the clear capability winner, while FieldPulse is the better-proportioned choice for most small and midsize HVAC contractors.
ServiceTitan is the strongest HVAC project management platform overall. Its advantage is financial and operational depth: multi-job projects, estimates and budgets, Crew Scheduling, purchase commitments, labor and burden, financial change orders, account-configured RFI/COR administration, Applications for Payment, retainage, budget-versus-actual analysis, WIP, forecasting, and portfolio management. Buyers should separate those capabilities from Project Plan dependencies/Gantt, Budget Codes, Project Groups, enhanced Document Management, and certain Daily Log/submittal reporting that remain preview- or release-limited.
FieldPulse is the best fit for most small and midsize contractors that need genuine projects without an enterprise construction implementation. Its dedicated Project record is materially different from an ordinary long Job. Teams can start from a template, associate several operational and financial records, use status and Gantt views, assign a team, expose completion and files to the customer, carry custom fields into downstream records, and analyze the project portfolio. It loses to ServiceTitan on formal construction administration and sophisticated financial control, not on the basic existence of project management.
FieldEdge is the strongest project-financial alternative after the two dedicated project leaders. Its parent Job connects work orders, quotes, invoices, payments, parts, equipment, and costs; a documented change-order quote flow updates expected profitability; progressive billing supports phased invoicing; and Job Financial Summary and Job Progress reports expose cost and margin variance. It outranks Housecall Pro because it governs the financial life of a larger install more explicitly. Its weakness is planning: the documented model still lacks a work-breakdown structure, dependencies, Gantt planning, RFIs, retainage, and a project portfolio, and procurement/accounting remain tightly connected to QuickBooks.
Housecall Pro is a conditional project-lite option for residential HVAC installation. Appointments handle several days or people within a Job; Segments provide separately schedulable and billable stages beneath a master job number; progress invoicing and job costing keep money attached to the work. That can be excellent for a two- or three-stage replacement, but it becomes strained when the office needs project-level financial rollup, change-order status, phase budgets, procurement dependencies, or WIP.
We do not recommend Jobber when project management is a primary buying requirement. Jobber has become considerably better at project-style billing: an all-plan payment schedule can move from quote to one-off Job and generate several invoices, while visits, checklists, files, time, expenses, and job costing support execution. Those capabilities improve a long Job; they do not create a project hierarchy or project-control system.
Choose ServiceTitan when project management is a strategic operating discipline and the company can support the implementation. Choose FieldPulse for the strongest dedicated project workflow at small and midsize scale. FieldEdge is the next-best fit when financial control and QuickBooks-connected installation management matter more than formal project planning. Housecall Pro is appropriate only when residential installations fit cleanly inside parent Jobs, appointments, and Segments. Jobber should not lead the shortlist when project control is a buying requirement.

CREATING A GOVERNED PROJECT FROM SOLD WORK
Preserving the estimate, scope, ownership, and downstream records after the sale
Both create a first-class Project that can contain several kinds of operational and financial records. Housecall Pro and FieldEdge organize related work beneath a parent Job, which is useful but less expressive. Jobber converts a quote into one one-off Job, so a complex installation begins without a separate project layer.
Test Results
ServiceTitan provides the strongest estimate-to-project architecture; FieldPulse is the most practical dedicated-project alternative for a growing contractor.
What we compared
- ServiceTitan — deepest project record and sold-estimate handoff
- FieldPulse — strongest accessible dedicated-project container
- FieldEdge — Job groups several operational records
- Housecall Pro — parent Job with appointments or Segments
- Jobber — quote-to-one-off-Job conversion, not a Project
ServiceTitan — deepest project record and sold-estimate handoff
Native project model; full project-management functionality is package-dependent. A ServiceTitan Project can collect estimates, budgets, change orders, project information, jobs and appointments, invoices, Applications for Payment, purchase orders and bills, payroll and timesheets, activity, and documents. A project can be created manually from a customer, location, or job, or generated when a sold estimate is booked into installation work. Project types, statuses, sub-statuses, managers, dates, payment terms, and customizable labels govern the record. See Introduction to project management, Projects versus Project Management projects, and the end-to-end guide.
That breadth also creates the most consequential setup decision in the category. The contractor must choose a Core or Phased workflow and align estimate structure, project labels, job types, pricebook items, and billing method before live projects are created. A sales-to-install handoff that bypasses the intended workflow can double-count cost or revenue later.
KEY FINDINGS
- A ServiceTitan Project can collect estimates, budgets, change orders, project information, jobs and appointments, invoices, Applications for Payment, purchase orders and bills, payroll and timesheets, activity, and documents.
- A project can be created manually from a customer, location, or job, or generated when a sold estimate is booked into installation work.
- Project types, statuses, sub-statuses, managers, dates, payment terms, and customizable labels govern the record.
DOCUMENTATION

FieldPulse — strongest accessible dedicated-project container
Native, Professional/Enterprise. FieldPulse can create a Project from scratch, from a Job, or from a reusable Project template. The project record can hold a customer and location, assigned teams, status, start and end dates, completion percentage, notes, files, subtasks, and related jobs, estimates, invoices, and purchase orders. Administrators can also define project custom fields—lead installer, original completion target, risk rating, or other company-specific data—and cascade those values into related operational and financial records. See Project Management and Custom Fields on Project Records.
FieldPulse is less prescriptive than ServiceTitan. That makes it faster to model a replacement, retrofit, or light-commercial installation, but the business must decide what a Project status, completion percentage, child Job, and custom field mean. Templates and status conventions are therefore essential if managers want comparable projects rather than five installers using five structures.
KEY FINDINGS
- FieldPulse can create a Project from scratch, from a Job, or from a reusable Project template.
- The project record can hold a customer and location, assigned teams, status, start and end dates, completion percentage, notes, files, subtasks, and related jobs, estimates, invoices, and purchase orders.
- Administrators can also define project custom fields—lead installer, original completion target, risk rating, or other company-specific data—and cascade those values into related operational and financial records.

FieldEdge — Job groups several operational records
Native parent-Job financial model. FieldEdge documents a Job as the container for multiple work orders, quotes, invoices, payments, parts, equipment, and costs; creation can assign a Project Manager. This is more structured than treating work orders as unrelated and lets the office compare expected and actual cost, profitability, and billing progress across the longer effort. See What is a Job in FieldEdge, How to Create a Job, and Advanced Job Reporting.
The Job is a stronger financial container than Housecall Pro’s install structure, but it remains less expressive than a dedicated Project. FieldEdge does not document child tasks, a multi-level work breakdown, a project Gantt, or dependencies, and its accounting/procurement behavior must be designed with QuickBooks.
KEY FINDINGS
- FieldEdge documents a Job as the container for multiple work orders, quotes, invoices, payments, parts, equipment, and costs.
- creation can assign a Project Manager.
- This is more structured than treating work orders as unrelated and lets the office compare expected and actual cost, profitability, and billing progress across the longer effort.

Housecall Pro — parent Job with appointments or Segments
Native project-lite structure. Housecall Pro begins with a Job rather than a separate Project. An approved estimate can create a Job automatically, and Estimates on Jobs can quote additional work without discarding the active install context. For work spanning several days or employees, Multi-day Job Appointments keep assignments inside the same Job. Job Segments create separately named, scheduled, statused, and invoiced portions beneath a master number, while Job Templates standardize the starting record.
That structure is well matched to a predictable residential installation: delivery, rough work, startup, and inspection can remain visibly related. It is not equivalent to a Project or a parent financial container that aggregates several work orders, project costs, and profitability.
KEY FINDINGS
- Housecall Pro begins with a Job rather than a separate Project.
- An approved estimate can create a Job automatically, and Estimates on Jobs can quote additional work without discarding the active install context.
- For work spanning several days or employees, Multi-day Job Appointments keep assignments inside the same Job.
DOCUMENTATION
- Official source: create a Job automatically.
- Official source: Estimates on Jobs.
Jobber — quote-to-one-off-Job conversion, not a Project
Native job workflow; no dedicated project object documented. Jobber converts a quote into a one-off Job and can carry a payment schedule forward. The Job can contain one or many visits across consecutive or nonconsecutive dates, assignments, line items, notes, attachments, checklists, and invoice settings. See Create a One-Off Job, Quote approvals, and Progress Invoicing.
This is sufficient when “project” means one contracted scope delivered over several visits. It becomes a workaround when the sale needs several related jobs, separate budgets, phase ownership, a project-level audit trail, or a portfolio status independent of the individual visits.
KEY FINDINGS
- Jobber converts a quote into a one-off Job and can carry a payment schedule forward.
- The Job can contain one or many visits across consecutive or nonconsecutive dates, assignments, line items, notes, attachments, checklists, and invoice settings.
- See Create a One-Off Job, Quote approvals, and Progress Invoicing.

PLANNING PHASES, CREWS, TASKS, AND DATES
Turning an installation promise into sequenced work the field can execute
ServiceTitan maps install work to jobs, appointments, job types, and project labels and can schedule crews across construction work. FieldPulse combines dates, teams, subtasks, statuses, and a project-level Gantt view. ServiceTitan’s more conventional Project Plan—with planning tasks, dependencies, baselines, and task Gantt—is still Private Preview and cannot be scored as a standard advantage.
Test Results
ServiceTitan has the strongest generally available crew and financial-phase control, while FieldPulse has the clearest generally available lightweight project timeline.
What we compared
- ServiceTitan — configurable Core or Phased project execution
- FieldPulse — best lightweight timeline and team view
- Housecall Pro — strongest multi-day residential crew scheduling
- FieldEdge — work-order assignments beneath a Job
- Jobber — visits and checklists inside one Job
ServiceTitan — configurable Core or Phased project execution
Generally available jobs, appointments, labels, and Crew Scheduling; Project Plan is Private Preview. ServiceTitan can use job types and default project labels for Rough-In, Trim-Out, Startup, labor, materials, and other operational or cost phases. Jobs and appointments hold the schedulable work, project status and sub-status describe the contract’s progress, and generally available Crew Scheduling groups leaders and members across a weekly construction board.
The newer Project Plan adds groups, planning tasks, subtasks, assignees, percent complete, dependencies, optional hard blocking, baselines, schedule variance, Gantt, chat, email, and mobile updates—but ServiceTitan labels it Private Preview. Planning Tasks are not the same as schedulable Jobs and are incompatible with legacy Task Management. Buyers should evaluate the generally available crew/job model first and treat the conventional planning layer as a future or specifically contracted capability.
KEY FINDINGS
- ServiceTitan can use job types and default project labels for Rough-In, Trim-Out, Startup, labor, materials, and other operational or cost phases.
- Jobs and appointments hold the schedulable work, project status and sub-status describe the contract's progress, and generally available Crew Scheduling groups leaders and members across a weekly construction board.

FieldPulse — best lightweight timeline and team view
Native, Professional/Enterprise. FieldPulse’s Project list exposes dates, status, assigned teams, customer, and completion percentage. The Gantt tab places projects against the monthly timeline, while the By Status view groups them by workflow state. Within each Project, related Jobs carry the detailed visits and assignments, and subtasks can record smaller obligations. Teams can create and access Projects from mobile, so the field is not limited to a back-office summary. See Project Management and the mobile offline record guide.
This is a readable planning layer for replacement and retrofit work. The documentation does not describe finish-to-start dependencies, a critical path, automatic resource leveling, or baseline-versus-current schedule variance. Use the Gantt as visibility, not proof of full construction scheduling.
KEY FINDINGS
- FieldPulse's Project list exposes dates, status, assigned teams, customer, and completion percentage.
- The Gantt tab places projects against the monthly timeline, while the By Status view groups them by workflow state.
- Within each Project, related Jobs carry the detailed visits and assignments, and subtasks can record smaller obligations.

Housecall Pro — strongest multi-day residential crew scheduling
Native project-lite scheduling. Multi-day Job Appointments allow appointments within one Job to carry their own day, time, duration, and employees. Segments are better when stages need distinct statuses or billing. Tasks on Jobs and Estimates add an assignee, due date, completion state, notifications, and activity history; required checklists can block completion until defined steps are done.
For a residential install manager, that is often enough: the same Job can schedule a crane window, two-person install, electrician return, and commissioning visit. Housecall Pro does not create a project schedule above those appointments, expose dependencies among them, or show several projects on a Gantt.
KEY FINDINGS
- Multi-day Job Appointments allow appointments within one Job to carry their own day, time, duration, and employees.
- Segments are better when stages need distinct statuses or billing.
- Tasks on Jobs and Estimates add an assignee, due date, completion state, notifications, and activity history.

FieldEdge — work-order assignments beneath a Job
Native work-order scheduling. FieldEdge can place several work orders inside a Job and use multi-assignment work orders for multiple technicians and/or multiple days. The dispatch board, time tracking, reminders, forms, and customer/equipment history support execution. See Multi-Assignment Work Order Creation, Getting Started: Jobs, and FieldEdge plan features.
The planning unit remains the work order. Current documentation does not establish project milestones, dependencies, a Gantt, baseline dates, or phase-level resource forecasts. FieldEdge can coordinate longer work, but buyers should not infer construction scheduling from advanced dispatching.
KEY FINDINGS
- FieldEdge can place several work orders inside a Job and use multi-assignment work orders for multiple technicians and/or multiple days.
- The dispatch board, time tracking, reminders, forms, and customer/equipment history support execution.
- See Multi-Assignment Work Order Creation, Getting Started: Jobs, and FieldEdge plan features.

Jobber — visits and checklists inside one Job
Native job scheduling; several controls are plan-gated. A Jobber one-off Job can contain visits on different dates, assigned to one or more team members. Visit details, notes, attachments, and checklists direct field execution; calendar and Find a Time features help the office locate availability for ordinary visits. One-off Jobs explicitly support multi-day work.
The model does not define phases above visits, expose project completion as a separate measure, connect visit dependencies, or reserve future capacity based on a project forecast. Jobber is easy to schedule, but that simplicity is exactly why it ranks last for formal project planning.
KEY FINDINGS
- A Jobber one-off Job can contain visits on different dates, assigned to one or more team members.
- Visit details, notes, attachments, and checklists direct field execution.
- calendar and Find a Time features help the office locate availability for ordinary visits.

CONTROLLING SCOPE CHANGES AND APPROVALS
Protecting revenue when drawings, equipment, access, or customer expectations change
ServiceTitan combines an account-configured RFI-to-Change-Order-Request workflow with a separate financial Change Order that revises contract value, budget, and Budget vs Actual; Cost Adjustments can revise budget without changing contract value. FieldEdge documents a named change-order quote flow tied to Job cost and profitability. The other three rely on estimates, notes, files, or custom forms rather than a governed RFI/COR record.
Test Results
ServiceTitan is the decisive scope-control winner; FieldEdge is the clearest lower-market runner-up.
What we compared
- ServiceTitan — strongest governed RFI/COR and financial change-order chain
- FieldEdge — explicit change-order quotes tied to Job profitability
- FieldPulse — flexible records and estimates, but no formal change-order object
- Housecall Pro — revise the commercial record and document consent
- Jobber — quote changes and approvals, not change-order administration
ServiceTitan — strongest governed RFI/COR and financial change-order chain
Native financial change orders; native/account-configured RFI and COR workflow. In the financial path, the office adds an estimate to the Project, sells it, and marks it as a Change Order. That revises contract value, budget, and Budget vs Actual; a Cost Adjustment changes budget without changing the customer’s contract. See Use change orders to reflect cost adjustments and add an estimate to an opportunity.
The RFI/COR workflow adds due dates, cost/schedule impact, statuses, external email, attachments, PDF output, and Field Mobile access; ServiceTitan’s ST-76 release presents it as account-configured rather than preview-only. A critical boundary remains: approving a COR does not itself revise the project budget. The office must create the resulting financial Change Order to update contract and cost reporting.
KEY FINDINGS
- In the financial path, the office adds an estimate to the Project, sells it, and marks it as a Change Order.
- That revises contract value, budget, and Budget vs Actual.
- a Cost Adjustment changes budget without changing the customer's contract.
- a Cost Adjustment changes budget without changing the customer's contract.

FieldEdge — explicit change-order quotes tied to Job profitability
Native Job and quote workflow. FieldEdge’s Advanced Job Management Tips documents how to create and accept a change-order quote from the Job quote dashboard. The accepted change is reflected in estimated cost and profitability, while Advanced Job Reporting keeps the financial effect visible with the rest of the Job.
This is materially stronger than merely overwriting a residential estimate, which is why FieldEdge ranks second in this workflow. It still does not document RFIs, submittals, an at-risk-work ledger, formal COR aging, or a construction-document approval register.
KEY FINDINGS
- FieldEdge's Advanced Job Management Tips documents how to create and accept a change-order quote from the Job quote dashboard.
- The accepted change is reflected in estimated cost and profitability, while Advanced Job Reporting keeps the financial effect visible with the rest of the Job.
- This is materially stronger than merely overwriting a residential estimate, which is why FieldEdge ranks second in this workflow.

FieldPulse — flexible records and estimates, but no formal change-order object
Native project records; Custom Forms is a separate product. FieldPulse can attach comments, files, subtasks, jobs, estimates, and invoices to a Project, and project custom fields can record change status, approver, risk, or requested date. A revised or additional estimate can be accepted by the customer, and a Custom Form can capture a structured field authorization when licensed. See Project Management, the Custom Forms overview, and project custom fields.
Those pieces can implement a small-contractor change workflow, but it is designed by the user. FieldPulse does not document a native RFI, submittal, or Change Order Request that automatically revises contract value and budget while retaining a formal approval lifecycle.
KEY FINDINGS
- FieldPulse can attach comments, files, subtasks, jobs, estimates, and invoices to a Project, and project custom fields can record change status, approver, risk, or requested date.
- A revised or additional estimate can be accepted by the customer, and a Custom Form can capture a structured field authorization when licensed.

Housecall Pro — revise the commercial record and document consent
Native estimate, signature, checklist, and activity features. Estimates on Jobs lets the office create additional scope directly from an active installation, obtain approval, and copy approved line items into the original Job or a new Job. Housecall Pro can also edit or copy estimates, collect signatures, attach documents, preserve an Activity Feed, and isolate added work in a Segment when it deserves its own schedule and invoice.
This can produce defensible documentation for a residential change. It does not provide a dedicated change-order log, an RFI-to-change relationship, pending-scope cost codes, or portfolio reporting on approval exposure.
KEY FINDINGS
- Estimates on Jobs lets the office create additional scope directly from an active installation, obtain approval, and copy approved line items into the original Job or a new Job.

Jobber — quote changes and approvals, not change-order administration
Native quote workflow. A customer can review a quote in Client Hub, request changes, select eligible optional items, sign, approve, and pay a required deposit. The office can update the quote and convert it to a Job; notes, attachments, and checklists can document the reason for additional work. See Quote approvals, optional line items, and Client Hub.
For a homeowner-directed change, that is simple and usable. For construction, it lacks RFIs, submittals, a change register, revised project contract value, approval aging, and at-risk labor. We do not recommend turning generic quotes into a substitute for those controls.
KEY FINDINGS
- A customer can review a quote in Client Hub, request changes, select eligible optional items, sign, approve, and pay a required deposit.

COORDINATING FIELD LABOR, MATERIALS, AND PURCHASING
Making the estimate, warehouse, vendor order, crew time, and installed work agree
ServiceTitan can flow sold-estimate detail into requisitions and POs and then into project actuals. FieldPulse connects Project records, Jobs, material lists, inventory, POs, timesheets, and reports. Housecall Pro now provides native general POs for HVAC-package buyers in addition to its Reece integration, but procurement remains Job-centered rather than a committed project-cost ledger. FieldEdge works through purchases and accounting, while Jobber tracks expenses rather than project procurement.
Test Results
ServiceTitan has the most connected procurement-and-cost workflow; FieldPulse is the strongest smaller-platform alternative.
What we compared
- ServiceTitan — estimate-to-requisition-to-project-actual control
- FieldPulse — connected projects, material lists, inventory, POs, and time
- Housecall Pro — native POs plus good Job-level material and labor capture
- FieldEdge — purchases and time tied to work orders and accounting
- Jobber — expense and time capture, not project procurement
ServiceTitan — estimate-to-requisition-to-project-actual control
Native project management, Purchasing, and Inventory modules; setup and package qualification apply. ServiceTitan can use estimate items to initiate requisitions and purchase orders, assign vendor and shipping details, receive costs, and attribute transactions to the project and its labels. Technician payroll, labor burden, and timesheets supply labor actuals; materials, equipment, POs, bills, and subcontractor costs contribute to job and project cost. The Field Mobile App gives crews supported project, job, media, form, and time access. See the end-to-end project guide, Purchasing module, and Inventory module.
The integration is powerful only if the company prevents double costing. Chargeable materials, jobs booked from sold estimates, and overlapping billing methods can duplicate revenue or expense; ServiceTitan publishes specific double-costing controls because the risk is real.
KEY FINDINGS
- ServiceTitan can use estimate items to initiate requisitions and purchase orders, assign vendor and shipping details, receive costs, and attribute transactions to the project and its labels.
- Technician payroll, labor burden, and timesheets supply labor actuals.
- materials, equipment, POs, bills, and subcontractor costs contribute to job and project cost.

FieldPulse — connected projects, material lists, inventory, POs, and time
Native Project Management and purchasing; Custom Forms is separate. A FieldPulse Project can relate POs and child Jobs. Jobs can use Material Lists, inventory/item usage, serialized items, timesheets, files, and mobile updates; Purchase Orders can be emailed to suppliers, used for replenishment, and combined into customer estimates or invoices. Project custom fields can cascade into POs and downstream records, preserving installer, cost-code, or phase context. See Project Management, Material Lists, and Employee Timesheets.
FieldPulse is strong for equipment replacements and light-commercial purchasing. The documented project model does not provide ServiceTitan’s formal requisition, committed-cost, vendor-bill, and phase-budget controls; verify how open POs and received-but-uninvoiced cost appear in the margin view.
KEY FINDINGS
- A FieldPulse Project can relate POs and child Jobs.
- Jobs can use Material Lists, inventory/item usage, serialized items, timesheets, files, and mobile updates.
- Purchase Orders can be emailed to suppliers, used for replenishment, and combined into customer estimates or invoices.

Housecall Pro — native POs plus good Job-level material and labor capture
Native Job inputs and costing; native Purchase Orders in the HVAC package; Reece is an integration. Housecall Pro can place expected labor and material costs on services, populate material inputs on a Job, capture actual time, expenses, commissions, and miscellaneous cost, and compare expected with actual margin. Its newer Purchase Orders feature lets HVAC-package users create POs for self-managed vendors and link supported purchasing activity to work; the HVAC package guide lists POs beginning with Basic. Job Costing setup and Job Inputs document the cost chain.
The Reece Purchase Orders path is a separate supplier integration, not the limit of HCP’s general PO feature. Even with native POs, Housecall Pro does not document ServiceTitan-style requisitions, open commitments by project phase, receiving against a project budget, or construction procurement approvals.
KEY FINDINGS
- Housecall Pro can place expected labor and material costs on services, populate material inputs on a Job, capture actual time, expenses, commissions, and miscellaneous cost, and compare expected with actual margin.
- Its newer Purchase Orders feature lets HVAC-package users create POs for self-managed vendors and link supported purchasing activity to work.

FieldEdge — purchases and time tied to work orders and accounting
Native Parts Requests, Purchases, invoices, and time; QuickBooks PO/Bill posting is an integration. FieldEdge tracks work-order items, technician time, parts requests, purchases, invoices, and profitability. Its official workflow posts Parts Requests/Purchases into QuickBooks as POs or Bills rather than documenting a full standalone FieldEdge PO ledger. A parent Job consolidates the related work orders for installation review. See Create a Parts Request from the office, the QuickBooks Integration overview, and FieldEdge pricing.
This works best when QuickBooks is intentionally part of the design. Buyers looking for committed cost, procurement approval, receiving, and warehouse allocation inside the project record should not infer those controls from the presence of purchases or Elite warehouse inventory.
KEY FINDINGS
- FieldEdge tracks work-order items, technician time, parts requests, purchases, invoices, and profitability.
- Its official workflow posts Parts Requests/Purchases into QuickBooks as POs or Bills rather than documenting a full standalone FieldEdge PO ledger.
- A parent Job consolidates the related work orders for installation review.

Jobber — expense and time capture, not project procurement
Native expense/time workflows on eligible plans; supplier connections are integrations. Jobber can attach expenses and receipts to a Job, track team time, use products and services, and include those costs in job costing on Grow/Plus. The Home Depot connection can help source catalog items, and CompanyCam can supply project-oriented photos, but both are integrations rather than a native project purchasing ledger. See Expense Tracking, Time Tracking, Job Costing, and Jobber and Home Depot.
The workflow measures incurred cost after someone enters it. Jobber does not document project requisitions, vendor POs, committed cost, receiving, or phase-based procurement control, so it is the weakest choice here for material-intensive installation projects.
KEY FINDINGS
- Jobber can attach expenses and receipts to a Job, track team time, use products and services, and include those costs in job costing on Grow/Plus.
- The Home Depot connection can help source catalog items, and CompanyCam can supply project-oriented photos, but both are integrations rather than a native project purchasing ledger.

COMPARING BUDGET, ACTUAL COST, WIP, AND PROFIT
Finding a margin problem while the contractor still has time to correct it
ServiceTitan combines labels, budget, committed and incurred cost, contract value, billing, WIP, and forecasting. FieldEdge’s Job Financial Summary and Progress views aggregate estimated and actual cost, profit, margin, and billing need across the parent Job. FieldPulse can analyze Project fields and related records but does not document the same financial rollup or a WIP engine. Housecall Pro and Jobber remain Job-profit tools.
Test Results
ServiceTitan is the decisive financial-control winner; FieldEdge is the clearest project-financial runner-up, and FieldPulse has the best flexible operational project reporting.
What we compared
- ServiceTitan — real-time Budget vs Actual and WIP
- FieldEdge — Job Progress and expected-profitability visibility
- FieldPulse — strongest configurable operational project reporting
- Housecall Pro — clear Job margin, no project WIP
- Jobber — simple one-off-Job profitability
ServiceTitan — real-time Budget vs Actual and WIP
Native full Project Management; configuration and clean cost sources are required. The Budget vs Actual table compares expected revenue and expenses with actual labor, materials, equipment, purchase orders, bills, payroll, and other supported project transactions, organized by project labels. Users can trace totals back to sources and monitor margin as work proceeds. The WIP Active Projects report supports percentage-of-completion, earned revenue, and over/under billing; the ST-78 release added manual forecast-to-complete, forecasted margin, over/under cost, and saved forecast history. See Understand Budget vs Actual, WIP Active Projects, and ST-78 forecasting.
The apparent precision deserves controls. Payroll rates and burden must be maintained, project labels must be consistently assigned, and double-costing must be resolved. ServiceTitan is strongest because it exposes those dependencies and gives the project manager a financial audit path—not because the numbers become correct automatically.
KEY FINDINGS
- The Budget vs Actual table compares expected revenue and expenses with actual labor, materials, equipment, purchase orders, bills, payroll, and other supported project transactions, organized by project labels.
- Users can trace totals back to sources and monitor margin as work proceeds.
- The WIP Active Projects report supports percentage-of-completion, earned revenue, and over/under billing.

FieldEdge — Job Progress and expected-profitability visibility
Native project-financial reporting; saved views depend on plan. FieldEdge’s Job Financial Summary and Advanced Job Reporting aggregate original and change-order estimate cost, cost to date, cost variance, profit dollars, gross margin, percent of cost spent, profit variance, and additional-billing need. The profitability guide documents the parent-Job view, while FieldEdge pricing shows reporting on every plan and saved-report limits by tier.
This is useful project-like financial oversight, but it has a process dependency: FieldEdge instructs users to create an invoice for every Job work order so its costs register correctly. The official materials do not establish a phase budget, cost-to-complete forecast, retained amount, or native WIP schedule comparable to ServiceTitan. Buyers should identify which numbers live in FieldEdge and which must be produced in accounting.
KEY FINDINGS
- FieldEdge's Job Financial Summary and Advanced Job Reporting aggregate original and change-order estimate cost, cost to date, cost variance, profit dollars, gross margin, percent of cost spent, profit variance, and additional-billing need.
- The profitability guide documents the parent-Job view, while FieldEdge pricing shows reporting on every plan and saved-report limits by tier.

FieldPulse — strongest configurable operational project reporting
Native reporting plus web-only Job Costing; Project Management is Professional/Enterprise. The Project report exposes status, customer/location, dates, completion, teams, custom fields, accepted-estimate totals, related estimates/invoices/POs, notes, tags, and time in status. On each child Job, the Job Costing tab compares projected revenue, cost, profit, and margin from estimates/material lists with actuals from invoices, material lists or POs, and timesheets; item-level variance and labor double-count controls expose where execution departed from the plan. Admin or Team Manager permission is required. See Project Reports and Invoice Reports.
This is excellent for answering “which installations are late, unassigned, unpaid, or low margin?” The limitation is structural: Job Costing is web-only and belongs to each Job, not a Project-wide rollup with construction WIP, earned value, retention, or forecast-to-complete. FieldEdge has the clearer parent-Job financial summary, while ServiceTitan is much deeper.
KEY FINDINGS
- The Project report exposes status, customer/location, dates, completion, teams, custom fields, accepted-estimate totals, related estimates/invoices/POs, notes, tags, and time in status.
- On each child Job, the Job Costing tab compares projected revenue, cost, profit, and margin from estimates/material lists with actuals from invoices, material lists or POs, and timesheets.

Housecall Pro — clear Job margin, no project WIP
Native job costing; relevant data and permissions required. Housecall Pro calculates labor, material, miscellaneous, and commission cost and compares them with revenue to show gross profit and margin. Expected and actual inputs help the manager identify an installation that sold well but consumed too much labor or material. Job Costing reports support filters, columns, drill-down, and saved versions, while the setup guide explains the underlying costs.
Housecall Pro evaluates the Job or Segment rather than a project budget by phase. It does not document a parent-level financial summary across several child work orders, earned-revenue WIP, over/under billing, forecast-to-complete, or a portfolio exception view.
KEY FINDINGS
- Housecall Pro calculates labor, material, miscellaneous, and commission cost and compares them with revenue to show gross profit and margin.
- Expected and actual inputs help the manager identify an installation that sold well but consumed too much labor or material.
- Job Costing reports support filters, columns, drill-down, and saved versions, while the setup guide explains the underlying costs.

Jobber — simple one-off-Job profitability
Native, Grow/Plus. Job Costing combines revenue with labor from timesheets, unit costs, and linked expenses to calculate cost, profit, and margin. One-off Jobs expose the result in Job detail and the One-Off Jobs report; recurring Jobs now show rolling 30-day profitability, although recurring-job cost reporting and profit alerts remain unavailable. Plus adds one-off profit alerts and more automated supplier-cost capture.
That is practical for a replacement Job, but the cost belongs to the one Job rather than a phase and portfolio model. Jobber does not document project budget versions, committed vendor cost, earned revenue, WIP, retainage, or forecast-at-completion. It can tell the owner a Job was unprofitable more easily than it can manage a project’s financial trajectory.
KEY FINDINGS
- Job Costing combines revenue with labor from timesheets, unit costs, and linked expenses to calculate cost, profit, and margin.
- One-off Jobs expose the result in Job detail and the One-Off Jobs report.
- recurring Jobs now show rolling 30-day profitability, although recurring-job cost reporting and profit alerts remain unavailable.

BILLING DEPOSITS, MILESTONES, PROGRESS, AND RETAINAGE
Collecting cash in step with equipment orders and completed installation work
Jobber now has the cleanest lightweight payment-schedule workflow, and Housecall Pro offers flexible fixed or percentage progress invoices. FieldPulse supports deposits, partial requests, and generated progress invoices. FieldEdge can support progressive billing and additional-billing review but documents fewer construction billing controls.
Test Results
ServiceTitan is the only option here with a complete construction billing path, including Applications for Payment and retainage.
What we compared
- ServiceTitan — strongest progress billing and retainage system
- Jobber — best lightweight milestone payment schedule
- Housecall Pro — flexible Job-level progress invoices
- FieldPulse — deposits, payment requests, and progress invoice generation
- FieldEdge — progressive billing with accounting at the center
ServiceTitan — strongest progress billing and retainage system
Native full Project Management; progress billing and related features require account enablement. ServiceTitan supports a direct project progress invoice or an Application for Payment workflow. AFP can use a schedule of values, Continuation Sheet, stored materials, percent complete, and project- or line-item retainage; accepted payment applications can generate invoices, and project financials track billed, paid, and outstanding amounts. Change orders can revise the contract and schedule of values. See Bill for Project Progress, Progress billing overview and setup, and Complete an Application for Payment and Continuation Sheet.
ServiceTitan’s documentation also warns not to use ordinary job invoices for construction revenue when the project uses AFP or project progress billing. Buyers must settle the billing architecture before go-live or risk double-counted revenue and confusing customer statements.
KEY FINDINGS
- ServiceTitan supports a direct project progress invoice or an Application for Payment workflow.
- AFP can use a schedule of values, Continuation Sheet, stored materials, percent complete, and project- or line-item retainage.
- accepted payment applications can generate invoices, and project financials track billed, paid, and outstanding amounts.

Jobber — best lightweight milestone payment schedule
Native on all plans. Jobber can add a deposit-only requirement or a multi-installment payment schedule to a quote. Each installment can be a percentage or fixed amount with a description such as equipment deposit, rough-in, startup, or final payment. The schedule carries from quote to one-off Job; staff generate an invoice for each stage, and the Job shows scheduled, issued, paid, and remaining amounts. A schedule can also be created directly on a one-off Job. See Progress Invoicing.
This is unusually accessible and a genuine strength. It still does not calculate earned work, stored materials, schedule-of-values percentages, retainage, or AIA documents. It is milestone billing attached to one Job, not construction progress accounting.
KEY FINDINGS
- Jobber can add a deposit-only requirement or a multi-installment payment schedule to a quote.
- Each installment can be a percentage or fixed amount with a description such as equipment deposit, rough-in, startup, or final payment.
- The schedule carries from quote to one-off Job.

Housecall Pro — flexible Job-level progress invoices
Native invoice configuration. Housecall Pro starts with the Job’s total line items and can issue separate progress invoices for a percentage or fixed amount. Each invoice can carry its own due terms and payment options; the Job’s Invoice Summary shows issued amounts, payments, and the remaining balance. See Progress Invoicing Basics and FAQs, Invoice Actions and Summary, and marking progress payments.
Housecall Pro’s design is useful for a residential deposit/delivery/completion sequence, but Jobber’s payment schedule is easier to govern. HCP progress invoicing applies to Jobs created after the feature is enabled; created invoice amounts and due dates may require voiding/recreating rather than simple editing; some partial-edit flows are alpha; and multiple Segments cannot be combined on one invoice when Progress Invoicing is enabled. It also lacks schedule-of-values, stored-material, retainage, and WIP controls.
KEY FINDINGS
- Housecall Pro starts with the Job's total line items and can issue separate progress invoices for a percentage or fixed amount.
- Each invoice can carry its own due terms and payment options.
- the Job's Invoice Summary shows issued amounts, payments, and the remaining balance.
- the Job's Invoice Summary shows issued amounts, payments, and the remaining balance.

FieldPulse — deposits, payment requests, and progress invoice generation
Native records; online collection depends on optional FieldPulse Payments. FieldPulse can request a fixed amount or percentage when emailing an estimate or invoice, change the displayed amount due, or use Generate Progress Invoice to produce a partial invoice PDF. The record can then be emailed, saved, printed, or paid through the configured payment workflow. See Partial & Progress Payments and FieldPulse Payments.
This covers deposits and draws without requiring an enterprise system. The vendor documentation does not establish a formal project payment schedule that automatically advances by milestone, nor schedule-of-values, stored-material, retainage, and over/under-billing controls. Managers must align each generated invoice with their own project stage convention.
KEY FINDINGS
- FieldPulse can request a fixed amount or percentage when emailing an estimate or invoice, change the displayed amount due, or use Generate Progress Invoice to produce a partial invoice PDF.
- The record can then be emailed, saved, printed, or paid through the configured payment workflow.
- See Partial & Progress Payments and FieldPulse Payments.

FieldEdge — progressive billing with accounting at the center
Native Job/invoice workflow with accounting integration. FieldEdge distinguishes regular from progressive billing for larger Jobs invoiced and paid in phases. Jobs can contain several invoices and work orders, and Job Progress reporting highlights when another invoice is needed. Deposits and payments flow through FieldEdge Payments and accounting. See Regular vs Progressive Billing, Advanced Job Reporting, and Understanding Deposits.
The available documentation does not show a construction payment schedule, schedule of values, AFP, or retainage inside FieldEdge. Treat it as multiple-invoice and accounting coordination until a vendor demonstration proves the specific contract-billing controls required.
KEY FINDINGS
- FieldEdge distinguishes regular from progressive billing for larger Jobs invoiced and paid in phases.
- Jobs can contain several invoices and work orders, and Job Progress reporting highlights when another invoice is needed.

MANAGING FILES, FORMS, COMMUNICATION, AND CLOSEOUT
Keeping drawings, permits, approvals, photos, startup records, and warranties attached to the work
Ordinary ServiceTitan project notes, files, emails, and audit history are native, and formal RFI/COR is account-configured. Enhanced Document Management, dedicated Daily Logs, and certain submittal/reporting functions still require release-status qualification. Housecall Pro and Jobber handle field records well at Job level; FieldEdge organizes forms and history around work orders.
Test Results
FieldPulse has the strongest approachable project-and-customer record hub; ServiceTitan has the highest construction-administration ceiling.
What we compared
- ServiceTitan — strong core records; enhanced construction administration is preview-limited
- FieldPulse — strongest approachable project-and-customer record hub
- Housecall Pro — strong field documentation inside the Job
- Jobber — practical files, checklists, notes, and client documents
- FieldEdge — forms and history around work orders
ServiceTitan — strong core records; enhanced construction administration is preview-limited
Native project records and account-configured RFI/COR; enhanced Document Management is preview-limited. Generally available Projects retain supported notes, files, emails, jobs, equipment, financial records, and audit activity; see Understand project records and the end-to-end guide. The formal RFI/COR system is a configured workflow. Enhanced folders and permissions, drawing annotations, and richer media/form organization are described in Manage project media files and forms and remain in the Commercial preview catalog; dedicated Daily Logs and certain submittal reports also remain staged-release features.
ServiceTitan still has the highest ceiling, but buyers should require the proposal to identify which construction-administration modules are generally available in their account. The New Customer Portal exposes supported jobs, proposals, invoices, agreements, equipment, and documents; it should not be assumed to expose every internal project file, RFI, or closeout register.
KEY FINDINGS
- Generally available Projects retain supported notes, files, emails, jobs, equipment, financial records, and audit activity.
- see Understand project records and the end-to-end guide.
- The formal RFI/COR system is a configured workflow.

FieldPulse — strongest approachable project-and-customer record hub
Native Project records and Customer Portal; Custom Forms is separate. Projects can hold files, photos, comments, notes, subtasks, related work, and completion status. Comments can be marked visible in the Customer Portal so communication is preserved on the record; administrators can expose project dates, completion percentage, files, and photos. Customer Portal and Comments make FieldPulse the clearest non-enterprise option for sharing project progress. Field teams can access customers, Jobs, and Projects in supported offline workflows.
Custom Forms adds reusable inspection, commissioning, safety, and signoff documents when licensed. The tradeoff is construction formality: FieldPulse does not provide a formal RFI/COR register or cost/schedule-impact workflow. ServiceTitan’s RFI/COR is native but account-configured, while its richer Document Management, Daily Log, and submittal layers still need release-status confirmation.
KEY FINDINGS
- Projects can hold files, photos, comments, notes, subtasks, related work, and completion status.
- Comments can be marked visible in the Customer Portal so communication is preserved on the record.
- administrators can expose project dates, completion percentage, files, and photos.

Housecall Pro — strong field documentation inside the Job
Native attachments, checklists, activity, and signatures. Housecall Pro can attach photos, videos, checklists, and documents to Jobs and Estimates, include selected items with an invoice, and reuse attachments from customer or property profiles. Checklists can include required steps and media; Job templates standardize closeout requirements. The Activity Feed records schedule, invoice, payment, note, attachment, task, checklist, and communication events. See Checklists and sending attachments.
This is excellent evidence for a residential replacement. The Customer Portal does not document live installation completion, job attachments, or equipment closeout, and the internal record remains a Job/Segment rather than a project folder with document-control states.
KEY FINDINGS
- Housecall Pro can attach photos, videos, checklists, and documents to Jobs and Estimates, include selected items with an invoice, and reuse attachments from customer or property profiles.
- Checklists can include required steps and media.
- Job templates standardize closeout requirements.

Jobber — practical files, checklists, notes, and client documents
Native Job documentation; Files and Media Library is Plus; CompanyCam is an integration. Team members can attach notes, photos, and files to Jobs, complete checklists, and surface selected line-item images or invoice attachments to the customer. Plus centralizes reusable files and media, while the CompanyCam integration adds location- and time-stamped project photo workflows. See Job details and attachments, Checklists, and Client Document Settings.
Jobber’s documentation works well for a one-Job installation and customer handoff. It does not create project document folders, submittal packages, RFI status, closeout registers, or a customer-visible project completion view.
KEY FINDINGS
- Team members can attach notes, photos, and files to Jobs, complete checklists, and surface selected line-item images or invoice attachments to the customer.
- Plus centralizes reusable files and media, while the CompanyCam integration adds location- and time-stamped project photo workflows.

FieldEdge includes Custom Forms across current plans, while technicians can add work-order notes, media, equipment information, signatures, and invoice/quote documents that remain in customer history. A parent Job keeps related work orders and financial documents associated. See FieldEdge pricing, Create a Custom Form, and Getting Started: Jobs.
The Consumer Management Portal can expose invoices, quotes, and a service-request workflow, but it is not a documented project collaboration or closeout portal. Buyers needing drawing versions, approvals, transmittals, or warranty packages should plan an external document system or require a precise demonstration.

GOVERNING A PORTFOLIO, PERMISSIONS, REPORTING, AND ACCOUNTING
Giving project managers visibility without exposing margin, payroll, or unrelated branches
Housecall Pro, FieldEdge, and Jobber can filter and report on Jobs, but none documents an equivalent portfolio of first-class Projects. Accounting integrations matter for all five, yet they do not replace operational project structure.
Test Results
ServiceTitan is the strongest portfolio and governance system; FieldPulse is the only credible lighter-weight alternative with a native project report builder.
What we compared
- ServiceTitan — strongest portfolio, permissions, WIP, and accounting ecosystem
- FieldPulse — best lighter project portfolio and custom reporting
- FieldEdge — Job reporting and accounting-centered oversight
- Housecall Pro — useful Job reports without a project portfolio
- Jobber — fixed Job reports, not project governance
ServiceTitan — strongest portfolio, permissions, WIP, and accounting ecosystem
Native and configuration-gated components. Project Portfolio gives authorized managers a high-level view of projects, budgets, invoices, payments due, and other risk indicators; it must be enabled independently. Project, financial, attachment, status, and report permissions can be separated, and business-unit design governs reporting. Generally available WIP, project-financial, active-project, job, invoice, payroll, purchasing, and related reports support oversight; reports tied to preview-only Project Plan, Daily Log, or submittal data must be qualified with the underlying feature. ServiceTitan supplies native accounting/subledger workflows and direct accounting integrations including QuickBooks, Sage Intacct, and Viewpoint; other routes, such as Sage 300 CRE, may be partner-mediated rather than direct.
ServiceTitan’s governance is the category benchmark, but it is not turnkey. The company must decide which system owns vendor bills, payroll, revenue recognition, and GL truth; then test every project transaction across the integration before trusting consolidated financials.
KEY FINDINGS
- Project Portfolio gives authorized managers a high-level view of projects, budgets, invoices, payments due, and other risk indicators.
- it must be enabled independently.

Package note: Basic multi-job Projects are native. ServiceTitan’s projects comparison says full Project Management is included only in certain packages. Project Plan, Budget Codes, and Project Groups are Private Preview; the Commercial preview catalog covers enhanced Document Management. Buyers should map each generally available, configured, and preview function separately in the order form.
FieldPulse — best lighter project portfolio and custom reporting
Native reports with Enterprise expansion. FieldPulse Project list, status, and Gantt views give immediate portfolio visibility. Project Reports can filter and expose assigned teams, completion, customer/location, custom fields, estimates, invoices, purchase orders, dates, and time in status; saved reports can become dashboard widgets or CSV exports. Role and feature permissions govern which office users can reach projects and reports. Enterprise adds Open API and multi-location management, while linked Master Account/Franchise structures support broader rollups.
FieldPulse offers more flexible operational analysis than Housecall Pro, FieldEdge, or Jobber, but its project report is not a construction WIP subledger. QuickBooks Online/Desktop sync and API exports should be treated as delivery paths, not evidence of built-in revenue recognition or consolidated job-cost accounting.
KEY FINDINGS
- FieldPulse Project list, status, and Gantt views give immediate portfolio visibility.
- Project Reports can filter and expose assigned teams, completion, customer/location, custom fields, estimates, invoices, purchase orders, dates, and time in status.

Package note: Project Management is native and included on FieldPulse Professional and Enterprise under the current package table. Custom Forms and FieldPulse Payments are separate products when those workflows are required; Open API and multi-location management are Enterprise.
FieldEdge — Job reporting and accounting-centered oversight
Native reports; save limits are plan-gated. FieldEdge provides Job Progress, work-order profitability, class, invoice, employee, and other reports, with enhanced controls for filtering, grouping, sorting, columns, and CSV export. Premier can save ten reports and Elite unlimited; Select cannot save report views. Employee permissions control access, while QuickBooks classes and supported accounting integrations help segment financials. See Enhanced Reporting, Advanced Job Reporting, and pricing.
This can supervise a set of Jobs, but FieldEdge does not document a dedicated project portfolio, WIP engine, project-role matrix, or open self-service API for constructing one. Its API documentation is oriented to integrated partners.

Package note: Work Orders & Jobs, purchases, forms, reporting, and Integrated Payments capability appear across the FieldEdge plan table; merchant activation, processing terms, CMP, quote depth, saved reports, Proposal Pro, and warehouse inventory remain separate or tier-dependent. See FieldEdge Payments. The parent Job does not depend on QuickBooks, but procurement/accounting are designed as an integrated workflow.
Housecall Pro — useful Job reports without a project portfolio
Native reporting; advanced access varies by plan. Housecall Pro can report on Jobs, invoices, estimates, employees, business units, job cost, and profitability, then filter, drill into records, save custom views, and schedule eligible reports. Roles can separately control reporting and visibility of job-cost margins. See Managing Reports, Job Costing Reports, and Team Member permissions.
Managers can approximate an installation portfolio with Job types, tags, business units, or custom fields. They cannot use a dedicated project status, project manager, phase budget, or project completion field because the core model remains Jobs and Segments.
KEY FINDINGS
- Housecall Pro can report on Jobs, invoices, estimates, employees, business units, job cost, and profitability, then filter, drill into records, save custom views, and schedule eligible reports.

Package note: The relevant tools are spread across HCP’s native Job, estimate, invoice, costing, and documentation features. The HVAC package includes general Purchase Orders from Basic and Job/estimate Tasks in the package; Reece ordering is a separate integration. Progress Invoicing is enabled in invoice settings, and buyers should map remaining prerequisites against current pricing.
Jobber — fixed Job reports, not project governance
Native reports on eligible plans. The One-Off Jobs report can expose dates, status, client, revenue, cost, and profit; Visits, Timesheets, Expenses, Invoices, and other reports supply related detail. Admin or Reports permission plus access to the underlying records determines visibility. CSV export, the vendor-built Report Scheduler app, and the Plus API path can move data outward.
Jobber does not provide a project manager field, project status, cross-job budget, phase completion, WIP, or first-class project portfolio. A user-built naming/tag/custom-field convention can help identify long Jobs in reports, but it remains a workaround and is not a reason to select Jobber for project management.
KEY FINDINGS
- The One-Off Jobs report can expose dates, status, client, revenue, cost, and profit.
- Visits, Timesheets, Expenses, Invoices, and other reports supply related detail.
- Admin or Reports permission plus access to the underlying records determines visibility.

Package note: Jobber’s current pricing places basic scheduling, quoting, invoicing, and Client Hub on Core; time and expense tracking starts on Connect; job costing is Grow/Plus; and advanced reusable file management is Plus. Progress invoicing is all-plan, but it should not be mistaken for a full project-management module.
HVAC PROJECT MANAGEMENT SOFTWARE FAQS
What is HVAC project management software?
HVAC project management software coordinates long-running work that has several people, visits, costs, documents, and billing events. A genuine project system sits above individual appointments and can preserve a project owner, status, dates, scope, related jobs, financial documents, purchasing, labor, files, and portfolio reporting. A multi-day calendar entry is useful, but it is not automatically project management.
What is the best HVAC project management software?
ServiceTitan is the strongest overall project-management product because its workflow connects multi-job projects, crews, purchasing, labor, financial change orders, account-configured RFI/COR administration, budget versus actual, WIP, forecasting, Applications for Payment, retainage, mobile work, and Project Portfolio. FieldPulse is the best choice for most small and midsize contractors that need a real Project record without enterprise construction complexity. ServiceTitan's Project Plan, dependencies/Gantt, Budget Codes, Project Groups, enhanced Document Management, and certain Daily Log/submittal functions remain preview- or release-limited.
Is FieldPulse or ServiceTitan better for HVAC projects?
Choose ServiceTitan for commercial construction, new construction, financial change control, account-configured RFIs/CORs, phase costs, WIP, AIA-style billing, retainage, and portfolio governance. Choose FieldPulse for replacements, retrofits, and light-commercial projects that benefit from templates, teams, Gantt/status views, related Jobs and documents, custom fields, customer-visible progress, and flexible reporting. ServiceTitan has the higher financial and enterprise ceiling; FieldPulse is easier to proportion to a smaller operation. If dependency planning, Budget Codes, Project Groups, or enhanced document administration is mandatory, confirm preview/release status in writing.
Can Housecall Pro manage an HVAC installation project?
Yes, if the installation fits inside one Job. Multi-day Appointments coordinate several people and dates; Segments add separately scheduled, completed, and invoiced stages beneath a master job number; job costing, checklists, files, and progress invoices support execution. It is not a substitute for a dedicated Project when the office needs phase budgets, change-order status, procurement dependencies, WIP, retainage, or a project portfolio.
Does Jobber include project management?
Jobber supports project-like one-off Jobs with multiple visits, files, checklists, time, expenses, job costing, deposits, and all-plan progress invoicing. Its official model does not provide a separate Project object, phase hierarchy, Gantt, formal change orders, RFIs, submittals, WIP, retainage, or portfolio. We therefore do not recommend Jobber when project management is a primary buying requirement.
Which platform is best for HVAC progress billing?
ServiceTitan is strongest for construction billing because it supports project progress invoices, Applications for Payment, schedules of values, stored materials, and retainage. Jobber has the easiest lightweight quote-to-Job payment schedule and makes progress invoicing available on all plans. Housecall Pro and FieldPulse both support percentage or fixed partial/progress requests, but neither documents ServiceTitan's full construction billing framework.
Do these platforms replace construction accounting software?
No. They can originate estimates, costs, invoices, payments, and project reports, but the contractor must still define the accounting system of record, GL mappings, payroll, vendor bills, revenue recognition, WIP, and reconciliation. ServiceTitan goes furthest into construction financial control. FieldEdge is especially accounting-centered, while FieldPulse, Housecall Pro, and Jobber usually send selected transactions to QuickBooks or another supported system.
Are project-management features core, plan-gated, or integrations?
ServiceTitan's basic multi-job Project is native, but full Project Management is package-dependent; Project Portfolio, progress billing, and RFI/COR require configuration; Project Plan, dependencies/Gantt, Budget Codes, and Project Groups are Private Preview; and enhanced Document Management plus certain Daily Log/submittal functions are staged-release. FieldPulse Project Management is native on Professional and Enterprise, while Custom Forms is separate. FieldEdge and Housecall Pro use native project-lite Job structures, with proposal, supplier, inventory, payment, or accounting layers separately gated. Jobber's Job and all-plan progress invoicing are native, while job costing, time, files, and integrations vary by plan.
