Field service software that integrates with QuickBooks connects the work managed by dispatchers and technicians with the customer, invoice, payment, and cost records used by accounting. This guide is for owners, office managers, and bookkeepers at field service businesses choosing a platform for residential work, commercial service, or a business operating across several trades. The right connection reduces manual data entry and helps the office avoid chasing payments that have already been received. Accurate balances also protect customer satisfaction when the office follows up.

An integration exchanges defined records between field service management software and QuickBooks accounting software. Some connections send invoices and payments outward; others also return supported accounting changes. The useful difference is what happens when someone edits an address, records a check, corrects an invoice, or changes a purchase after the original transfer. That exchange can reduce double entry across accounting systems while keeping job details available to the service team.

Quick Verdict

FieldPulse — best overall for growing residential service businesses, including light commercial work. It supports QuickBooks Online and Desktop, with supported customer-address and payment updates returning to the operating platform. Flexible jobs, native inventory, and detailed customer asset records make it a strong choice when accounting needs to stay connected with varied field work.

BuildOps — best for complex commercial service and project businesses. Its accounting connections preserve commercial customer and job relationships alongside invoices, purchasing, costs, and payments. QuickBooks Online payments can return, while inventory and some other records follow separate rules.

ServiceTitan — best for large organizations with defined accounting responsibilities. Reviewed exports and accounting configuration suit companies that separate field completion, invoice review, purchasing, and bookkeeping. Optional Touchless journal-entry automation serves a different purpose from returning every QuickBooks customer or payment edit.

Housecall Pro — best for straightforward residential work maintained in HCP. It pushes supported Online invoices and payments outward and provides a manual payment pull from QBO. Its Desktop connection is one-way after the initial import, and later Online invoice changes need re-syncing.

Jobber — best for small teams using QuickBooks Online as the accounting destination. Its newer integration is automatic and one-way. That is approachable when the company keeps shared customer edits and payments in Jobber, but it does not return Paid status or provide ongoing Desktop integration.

FieldEdge — most relevant to established QuickBooks-centered service fleets. Both editions are supported, and supported accounting-side payments or credits can update invoice balances. Customer management follows its own rules; returning a balance does not mirror the complete customer or payment record.

QuoteIQ — an Online-only choice for teams already wanting its broader Pro, Elite, or Max package. It exports supported records without a separate QuoteIQ sync charge. QuickBooks changes do not return, and Desktop is unsupported.

QuickBooks Online and Desktop support, record direction, transfer triggers, supported corrections, operating workflows, plan requirements, and implementation effort.

For this October 2026 comparison, the Tools in the Wild editorial team used our existing trial and paid-account testing on desktop and iPhone alongside official integration documentation for FieldPulse, Housecall Pro, Jobber, ServiceTitan, QuoteIQ, BuildOps, and FieldEdge. We assessed how the accounting connections fit service businesses ranging from owner-operators to companies with roughly 50 technicians.

The evaluation covered the integration with QuickBooks and the field service management workflow around it:

  • Online and Desktop support, including the difference between an initial import and ongoing synchronization.
  • Record direction for customers, addresses, items, invoices, payments, purchasing, and supported accounting corrections.
  • Automatic events, manual actions, reviewed exports, and connector requirements.
  • Work spanning ordinary repairs, installation deposits, service agreements, commercial properties, time tracking, and project costs.
  • Required platform plans, the separate QuickBooks subscription, and implementation effort.

Hands-on findings inform the field-service comparison; the linked vendor documentation establishes the accounting mappings. Read our editorial methodology.

What Does QuickBooks Integration Add to Field Service Management?

Field service management software manages the work: customer requests, service addresses, assignments, equipment, service history, and the bill prepared from that work. QuickBooks receives the supported sales transactions and other accounting records. An integration makes that handoff easier without making the two applications identical. In the field service industry, this connects field operations with financial management while each application retains its own responsibilities.

A multi-trade contractor might service a furnace, replace a water heater, and repair a garage door for the same property owner. The operational data needs to explain each job and location. The bookkeeper needs recognizable customers, invoices, payments, and account mappings. Sending the invoice total does not automatically reproduce the equipment history or every location contact in QuickBooks. Clear record ownership helps field service businesses avoid data silos between their dispatch and accounting systems.

This guide focuses on the accounting connection across service industries. Our HVAC, plumbing, and electrical QuickBooks comparisons examine those trades’ operating requirements in more detail. Invoice preparation and collection belong in the field service invoicing software comparison; customer relationships and installed-unit history have separate CRM and asset management guides.

QuickBooks Desktop Enterprise, Online, and the Initial Import

QuickBooks Online and QuickBooks Desktop use different connection methods. Online support does not establish Desktop support, and Desktop connections depend on the supported company-file environment. QuickBooks Enterprise is a Desktop accounting product; its name alone does not establish a connector’s record mappings. A Web Connector may need an available office computer as part of the setup. For a QuickBooks Enterprise business, that environment belongs in the implementation plan alongside the field service management configuration.

An initial import brings starting customers or items into the service platform. It does not determine what happens afterward. Jobber’s newer connection, for example, can begin with an import and then continue as a one way sync from Jobber to QBO. QuickBooks data imported during setup and the field service data exchanged afterward follow separate rules.

Readers will also encounter Intuit Field Service Management, the Corrigo-powered product offered through Intuit, and Smart Service, another service platform with QuickBooks functionality. These names identify products; they are not generic labels for the integration capabilities of every FSM software platform.

FieldPulse: Best Overall for Growing Residential Service Businesses

Verdict: FieldPulse provides the best overall balance for growing residential teams that want supported accounting changes to return to their field service system. It integrates with QuickBooks Online and Desktop, and the surrounding platform supplies flexible jobs, native inventory, customer asset records, and light commercial project support.

For a business working across several service types, that combination matters. The office can retain equipment service history and job context in FieldPulse while supported financial data moves between systems. The accounting connection supports field operations without requiring every field record to become an accounting object. Its field service management software supplies the operating structure around that exchange.

Main trade-off: Two-way support has defined exclusions. Desktop also depends on the configured connector environment, so the connection has an operating requirement beyond the technician’s phone.

Customers, Invoices, and Supported Corrections

The QuickBooks Online mapping supports two-way core records. Primary contact and address details are included; additional contacts and locations, custom fields, files, and tags are outside that customer exchange. Invoices begin transferring at Invoiced status. Supported payments return, while tips, refunds, and voids do not.

FieldPulse’s Desktop mapping includes customer and address exchange, with estimate and invoice direction selected during setup. A QuickBooks Ship To address can update the matching FieldPulse location. Credit memos arrive as general payments, so the distinction between the credit and an ordinary payment is retained in Desktop.

A property owner with several locations still needs clear service records. A supported billing-address update helps the office, but it does not replace the installed equipment history or access instructions for a particular building. The mobile app gives technicians the operating context they need while the integration with QuickBooks handles its mapped records.

Price and Operational Value

FieldPulse uses custom seat-based pricing, and its team enables integration access. QBO Essentials, Plus, and Advanced are supported. Essentials does not supply the inventory functions available in higher QuickBooks configurations, and individual FieldPulse inventory hubs do not become separate QBO stock locations. Inventory tracking in the field service management platform therefore has a different level of location detail from the accounting transfer. QuickBooks Enterprise users follow the separate Desktop mapping.

FieldPulse is my first choice here when a company wants residential flexibility and supported accounting return flows together. A commercial contractor needing deeper construction financial control has a stronger fit in BuildOps; a large service organization may justify ServiceTitan’s administration.

BuildOps: Best for Commercial Service and Project Accounting

Verdict: BuildOps is the strongest fit for commercial contractors whose accounting connection needs customer hierarchy, purchasing, costs, and project context alongside billing. It integrates with QuickBooks Online and Desktop and explicitly documents QBO payment return.

Commercial work adds relationships that a flat customer list can hide. A facilities company may be responsible for several buildings, with service calls and installation projects under different properties. Accounting needs to recognize the job details when reviewing costs or applying payment. BuildOps combines that exchange with field service management software designed around commercial delivery.

Main trade-off: The commercial platform takes more implementation than most small residential shops need. Two-way support also varies by entity.

Commercial Records and Payment Return

The BuildOps integration workflow describes invoices created at the job or customer-property level, supported QBO payments returning, and configurable purchasing transfers. PO receipts can create a purchase order or bill in QuickBooks, with line-level details carried into the financial record.

The same guide excludes QBO inventory from the connection. A commercial electrical contractor can therefore use BuildOps’s inventory tracking without assuming that all stock records are reproduced in QBO. Desktop uses the Web Connector and the configured company-file environment. Field operations and accounting remain connected through the supported transactions, with the mobile app supplying the technician’s working record.

Price and Fit

BuildOps uses a custom proposal. Reported base configurations around $299 or more per user per month describe the wider platform rather than a fixed connector price.

The value is clearest when the business needs commercial service, project delivery, purchasing, and financial coordination together. Job costing depends on complete time tracking and purchasing records; transferring the customer invoice alone does not explain job profitability. A small residential company seeking a straightforward accounting handoff has less reason to take on that implementation.

Try BuildOps →

ServiceTitan: Best for Large Organizations With Accounting Controls

Verdict: ServiceTitan suits large field service businesses that need a controlled path from field work through invoice review and accounting export. Its comprehensive suite connects field service management with centralized pricing, purchasing, and accounting review across teams and branches.

Main trade-off: The implementation and administration are substantial. A detailed export process does not establish automatic reverse editing for every QuickBooks customer or payment record.

Reviewed Exports and Touchless Accounting

ServiceTitan’s accounting integrations connect supported Online and Desktop configurations with accounting records, including configured vendor bills. The standard process includes reviewing, batching, posting, and exporting transactions. Those review stages are useful when technicians finish work before an accounting team approves the bill. The mobile app records field activity while the accounting office manages its review stages.

The optional Touchless workflow uses journal entries and accounting periods for a configured QBO integration. QuickBooks Enterprise is outside that Touchless route. A journal-entry workflow records financial impact; it differs from creating every field invoice as an individual QBO invoice. The FSM software and the accounting configuration determine that financial handoff together.

Price and Fit

Reported subscriptions run around $250–$500 per technician per month, with reported implementation from $5,000 to $50,000 or more. Configuration, migration, modules, and training affect the actual system.

ServiceTitan makes the most sense when review controls and organizational scale justify that expense. Its field service management software needs an owner for mappings and configuration. Time tracking, purchasing, and invoice review affect the result just as much as the final export. For a growing independent residential business, FieldPulse provides a more proportionate combination of field flexibility and accounting connection.

Housecall Pro: Best for Simple Residential Work Maintained in HCP

Verdict: Housecall Pro is a useful option for smaller residential businesses that like its guided workflow and keep shared operational records in HCP. Its Online integration handles outbound financial records, with a manual payment pull when accounting receives payment first.

Main trade-off: Later Online invoice edits need re-syncing. Desktop is one-way after setup, with specific restrictions on imported jobs.

Outbound Invoices and a Manual Payment Pull

The Online sync guide describes Finish, Invoice, and Pay triggers, generally taking two to five minutes. Changes to invoice quantities, descriptions, or prices after transfer need manual re-sync.

The QBO payment workflow provides a Pull Payment action on the job. This helps when the bookkeeper records a customer check in QuickBooks first. Someone in the office still initiates that return step. Payment processing and the return of an accounting-side receipt are different parts of field service management.

The Desktop connection is one-way after the initial import. Imported-job changes and payments do not push to Desktop. The Web Connector can run manually or on a schedule.

Price and Value

QuickBooks Online integration is included with Essentials and MAX. In our October 2026 signup comparison, selecting HVAC, electrical, or plumbing displayed $79 per month versus $59 for handyman, without an identifiable difference in product configuration or functionality. That is an added cost without an identifiable feature gain in the tested signup experience.

Housecall Pro is attractive when its simple residential process fits the team. Job scheduling and the mobile app support straightforward home service businesses, while the QuickBooks integration handles the documented financial transfer. The office needs to distinguish job status from invoice-transfer status. FieldPulse offers more flexibility and stronger documented support for customer-address and payment changes returning.

Try Housecall Pro →

Jobber: Best for Small Teams Using QuickBooks Online

Verdict: Jobber is the approachable choice for a small service company that wants to manage work in Jobber and send the supported financial result to QBO. Its newer connection is automatic and deliberately one-way.

Main trade-off: There is no ongoing Desktop integration. Customer edits and Paid status do not return through the newer Online connection.

One-Time Import and Ongoing Record Ownership

Jobber’s new integration FAQ separates the initial customer/item import from the continuing outbound sync. Shared edits belong in Jobber. A check recorded only in QBO does not update Paid status in Jobber through that connection. This one way sync reduces repeated data entry when the team follows that ownership rule.

The record guide covers supported clients, products and services, invoices, payments, refunds, tips, payouts, fees, and eligible timesheets. Timesheet transfer has its own QuickBooks Payroll requirement. Legacy integration descriptions should be kept separate from the newer workflow.

Price and Fit

QuickBooks Online sync is available on Connect, Grow, and Plus. Standard one-user Connect pricing is $99 per month with annual billing or $139 monthly, before temporary promotions. Team packages differ.

That can suit a locksmith, garage door company, or small multi-service team with straightforward jobs and a clear payment-entry process. Service professionals use Jobber’s user friendly interface and mobile app to find the client, open the job, and prepare its invoice. Job scheduling keeps the planned visit visible to the team. Customer satisfaction depends partly on the office using the current balance when sending reminders. A company that needs detailed installed-unit records, native inventory, and supported reverse updates has more room in FieldPulse’s field service management software.

Try Jobber →

FieldEdge: Most Relevant to Established QuickBooks-Centered Fleets

Verdict: FieldEdge deserves consideration when an established service fleet already values its operating and QuickBooks workflow. Online and Desktop are supported, with limited two-way behavior and useful returned-balance updates.

Main trade-off: A returned invoice balance does not mean every customer or payment field is mirrored. Customer maintenance and financial return behavior have different rules.

Customer Ownership and Invoice Balances

FieldEdge’s integration overview directs customer creation and maintenance to FieldEdge. Accounting-side payment and credit activity can update supported invoice balances. That helps the service office distinguish unpaid work from a receipt already handled by bookkeeping.

For a multi-truck company, that visibility is useful during collections. It can reduce double entry without changing the need for clear customer, property, and invoice relationships in the field service management application. The mobile app gives field teams access to their operating records while accounting maintains the ledger.

Price and Inventory Dependencies

Select, Premier, and Elite list QuickBooks connections. The Elite warehouse inventory configuration requires QuickBooks Desktop Enterprise with Advanced Inventory; an ordinary QBO connection does not supply that warehouse setup. Field service businesses comparing QuickBooks Enterprise configurations need to include that dependency in the full cost.

Reported FieldEdge pricing is $100–$125 per user per month, plus $500–$2,000 setup. Existing teams may value continuity, but FieldPulse gives a new residential buyer a clearer combination of flexibility and supported address/payment return.

Try FieldEdge →

QuoteIQ: Online-Only Export With Pro, Elite, and Max

Verdict: QuoteIQ can fit a company that already wants its broad general-service package and uses QBO as the accounting destination. The included connection exports supported records, while shared operational editing stays in QuoteIQ.

Main trade-off: QuickBooks changes do not return, and Desktop is unsupported. Dependent customer or service records can hold up an invoice transfer.

Transfers, Logs, and Record Dependencies

QuoteIQ’s sync troubleshooting documentation explicitly describes one-way synchronization. Contacts, services, estimates, and invoices have separate status and log information. An error in a customer or service can block the invoices that depend on it.

The integration guide describes automatic invoice and payment transfers. Batch and retry controls help the office resolve failed transfers. They do not return a bookkeeper’s later customer edit.

Price and Fit

Pro costs $199.99 per month for four users; Elite costs $299.99 for ten. Pro, Elite, and Max include QuickBooks sync without a separate QuoteIQ integration charge. A QBO subscription is still required.

Its broader toolkit can be useful to a small general-service crew. For businesses building service agreements around customer equipment, QuoteIQ’s notes-and-forms workaround for asset management is a separate limitation. The QuickBooks Online integration does not add a dedicated installed-unit record. The company’s field service management requirements still determine whether the wider package fits.

How Field Service Businesses Can Choose FSM Software and Its Integration With QuickBooks

Payment Entry and Improved Cash Flow

The biggest distinction often appears after the invoice is sent. If a technician records every payment in the service app, an outbound connection may fit well. If the bookkeeper routinely enters checks or customer payments in QuickBooks first, return behavior becomes more important. Field service businesses need that answer before they design their billing process around a connector.

A commercial customer may pay several invoices at once. A homeowner may pay an installation deposit and the remaining balance weeks apart. Decide which application records each payment and how the service office learns the new balance. Processor payouts and fees are a separate part of payment processing and reconciliation from the customer’s invoice payment. Cash flow reporting needs to distinguish money received from work that has only been invoiced.

Duplicate Data Entry and Customer Management

A tenant may provide access while a property manager pays. One customer may own buildings serviced by different crews and trades. Customer-address synchronization has to be assessed at the supported field level; it does not automatically reproduce every operational location, contact, asset, or access instruction. Consistent customer data makes manual data entry less likely to create a second customer for the same payer.

Maintain a recognizable reference from the service job to the accounting transaction. That helps a bookkeeper identify a garage door replacement, a pump repair, or an electrical installation without reading every technician note.

Give Corrections and Failed Transfers an Owner

A later scope change can affect both the operating invoice and its accounting copy. The team needs to know where the change belongs and whether it triggers an automatic transfer or a manual re-sync.

When a QuickBooks sync fails, use the integration’s error and status information before creating another accounting copy. A customer or item error can block several dependent invoices. Give that data entry correction an owner. Repairing the source record keeps the original transaction identifiable and reduces the chance of duplicate bills. During billing corrections and other daily business operations, the connection streamlines financial management when the bookkeeper can find the service invoice, its accounting copy, and the payment applied to it.

Job Costing, Time Tracking, and Inventory

Job costing needs more than revenue. Labor hours, parts consumed, purchases, and subcontract costs explain job profitability. The field service management software should capture that operating information before the relevant accounting records transfer. An incomplete timesheet remains incomplete after a successful sync.

Time tracking used for a job and payroll processing have different requirements. Likewise, inventory management by truck and warehouse is more detailed than a single accounting quantity. The best QuickBooks integration for a business is the one that fits those operating records and its accounting method.

Route Planning, Mobile Access, and the Financial Handoff

Scheduling and dispatch software manages technician schedules and resource allocation. Route planning and GPS tracking help coordinate field operations, but GPS tracking does not automatically establish payable working time or a customer charge. A GPS tracking feature belongs in the wider field service management assessment alongside the documented accounting connection.

Service scheduling software can manage scheduling without moving every appointment to the ledger. The mobile app should make job status and required documentation clear on mobile devices. Mobile access to the job also differs from using the QuickBooks mobile app: the technician needs operating context while the bookkeeper needs the supported financial result.

Match the Whole Platform to Your Business Operations

Field service management software may also supply lead management, customer communication, or a customer portal. Those functions help the company follow customer relationships through future work. They do not determine which invoice or payment fields cross an integration with QuickBooks.

For service businesses, seamless financial management depends on both that mapping and the people entering the source records. Clear responsibilities can improve cash flow visibility without turning every field note into an accounting transaction. Keeping paid customers out of overdue follow-up also supports customer satisfaction. Field service operations work better when the field service management record explains what happened and accounting can identify its financial result.

Customer equipment histories, truck stock, project costs, and recurring work affect what the business can deliver and bill. FSM software should fit those records as well as the ledger. FieldPulse offers the strongest overall residential balance here, BuildOps addresses complex commercial delivery, and ServiceTitan suits organizations that benefit from more formal accounting controls.

Frequently asked questions

Which field service software integrates with both QuickBooks Online and Desktop?

FieldPulse, Housecall Pro, FieldEdge, ServiceTitan, and BuildOps integrate with QuickBooks Online and supported Desktop configurations. Jobber and QuoteIQ provide ongoing Online integration only. A Desktop customer import or CSV export is a separate manual process.

Which QuickBooks-connected platform is best for a growing residential business?

FieldPulse is the best overall QuickBooks-connected platform here for a growing residential business. It integrates with QuickBooks Online and Desktop and combines supported address/payment return with flexible jobs, native inventory, customer assets, and light commercial capability.

Does two-way QuickBooks integration sync every field?

Two-way QuickBooks integration does not sync every field. Direction is defined for particular records and fields. Additional locations, attachments, custom fields, refunds, voids, and stock locations can have exclusions even when core customers, invoices, and payments move both ways.

Can a payment entered in QuickBooks update the field service platform?

A payment entered in QuickBooks can update the field service platform through supported return workflows. FieldPulse supports payment return, BuildOps documents QBO payment return, Housecall Pro offers a manual QBO pull, and FieldEdge supports returned balance updates. Jobber’s newer integration and QuoteIQ do not return those accounting changes.

Does Jobber integrate with QuickBooks Desktop?

Jobber does not provide ongoing QuickBooks Desktop integration. Desktop customers can be imported using CSV, but that migration step does not create future invoice, payment, or customer synchronization. Jobber’s continuing accounting connection is with QuickBooks Online.

Which Jobber plans include QuickBooks integration?

Jobber’s Connect, Grow, and Plus plans include QuickBooks Online integration. Core does not include that connection. The newer integration sends supported records from Jobber to QBO, with shared operational edits maintained in Jobber.

Does QuickBooks integration replace field service inventory management?

QuickBooks integration does not replace field service inventory management. The accounting connection transfers its supported inventory or financial records, while truck quantities, warehouse stock, job usage, and replenishment depend on the operating inventory system. BuildOps excludes QBO inventory from its connection; FieldPulse’s individual inventory hubs do not become separate QBO stock locations.

Can technicians use a phone while the office uses QuickBooks Desktop?

Technicians can use a field service mobile app while the office uses QuickBooks Desktop. The service platform holds the technician’s operating record, and its configured connector transfers supported data to the company file. A QuickBooks Enterprise company follows the supported Desktop connector setup; the technician does not need the full accounting application on the phone.

Does ServiceTitan Touchless create full two-way QuickBooks synchronization?

ServiceTitan Touchless does not create full two-way QuickBooks synchronization. It automates a configured journal-entry workflow for Online, using accounting periods. That is different from returning every accounting-side customer edit or payment to ServiceTitan.

What does field service software with QuickBooks integration cost?

Field service software with QuickBooks integration costs the required service-platform plan plus the separate QuickBooks subscription. Jobber requires Connect or higher, QuoteIQ requires Pro or higher, and Housecall Pro includes QBO integration on Essentials and MAX. Custom platforms such as FieldPulse and BuildOps use a configured quote; implementation and additional modules affect the total.

Does an initial QuickBooks customer import mean future edits return?

An initial QuickBooks customer import does not mean future edits return. Importing creates starting records; the ongoing connection has its own direction and triggers. Jobber’s newer connection can import customers first and then operate one-way from Jobber to QuickBooks Online.

Can the same platform support several field service trades and one accounting process?

The same platform can support several field service trades and one accounting process when its job records, permissions, and accounting mappings fit the business. The field platform should preserve each job’s trade, location, scope, and costs while the supported financial result reaches QuickBooks. Separate legal entities or company files require the corresponding accounting configuration.

Are Intuit Field Service Management and Smart Service the same product?

Intuit Field Service Management and Smart Service are separate products. Intuit’s Corrigo-powered offering includes one user with a QuickBooks Desktop Enterprise subscription, with additional users and optional modules carrying fees. Smart Service markets its own field service management platform with scheduling, customer records, mobile work orders, and QuickBooks invoicing. Smart Service has a separate product and implementation path; a Smart Service account is not the same subscription as one of the seven platforms compared above.
